Position Summary
The Investment Processor is a key operational role responsible for managing the documentation, coordination, and communication behind each client investment. This role ensures that every transaction-from initial paperwork to final funding-is handled with accuracy, professionalism, and efficiency.
You'll work closely with Advisors, Custodians, and the Client Portfolio Manager (CPM) to ensure clients experience seamless service at every stage of the investment process. This position is full-time, onsite at our Del Mar office, reporting directly to the Client Portfolio Manager.
Responsibilities
Client Communication & Service
Act as a liaison between clients, custodians, and internal departments.
Provide timely updates and maintain professional, proactive communication.
Support client calls, verification calls, and document coordination.
Communicate exclusively through company-approved systems (Outlook, Zoom Phone, CRM, client portal).
Transaction Processing
Manage assigned transactions end-to-end, ensuring accuracy and compliance.
Prepare and process subscription agreements, W-9s, KYC forms, and transfer documentation.
Coordinate wires, ACH transfers, IRA transfers, and rollovers with custodians and clients.
Set up IRA accounts for our clients using self-directed custodians such as Equity Trust Company and Midland Trust Company.
Verify investment amounts, account allocations, and all supporting documentation.
Complete and submit quality control checklists for every transaction.
Compliance & Record Keeping
Maintain accurate, organized records in CRM, SharePoint, and client portals.
Use systems such as Platform Eleven, Wealthbox, and Agora.
Log all communications and updates in real time to ensure audit-ready documentation.
Send written recaps of all client and custodian communications.
Uphold 100% compliance with company and regulatory standards.
Team Collaboration & Training
Work closely with Advisors, Client Portfolio Managers, and Operations staff.
Participate in ongoing training, team meetings, and process improvement initiatives.
Provide cross-departmental support during high-volume periods or special projects.
This role offers hands-on mentorship and a clear growth path into client portfolio management or advisory operations. You'll receive ongoing training from senior team members and have direct exposure to real estate-backed investment transactions and private fund operations.

Qualifications

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
Accessioning clinical specimens upon receipt and entering data into LIS system.
Specimen verification, labeling, tracking, and all related clerical functions.
Capable of identifying specimen processing problems that may adversely affect the reporting of test results and immediately notifying the supervisor.
Documenting all corrective actions taken when test systems deviate from the laboratory's established performance specifications.
Following the laboratory's established policies and procedures.
Understanding of compliance regulations related to test ordering.

This role will also follow up on insurance, regulatory agencies, and investor claims in accordance with investor/insurer guidelines and applicable state and federal foreclosure requirements and update the internal system to ensure a record of steps, deadlines, and notices are documented.
Compensation
This role is a non-exempt position with a Targeted Salary Range of $23/hr to $31/hr.
Compensation at Guild is influenced by a wide array of factors including but not limited to local and federal minimum wage requirements, education, level of experience, and applicant's geographical location.
Essential Functions
* Provide copy of default notice to investor and mortgage insurance carrier.
* Monitor file in accordance with required notification periods and issue notice of sale once timeline is satisfied.

* Work with property preservation companies to place vacant properties in conveyance condition (ICC) and ensure deed is recorded.
* Request Tax Certifications on ICC properties.
* Prepare conveyance and title packages and submit to Quality Control for review, approval and submission to FHA for payment.
* Submit curtailment requests to property preservation companies if it is determined they were responsible for any property preservation delays.
* Review, monitor, and adjust escrow accounts.

Review and respond to HUD Demand Letters, Non-Compliance and other Notifications. Remit funds to FHA.
Update data in internal systems with status; Enter notes in system related to servicing, actions taken, delays, follow-up actions, and phone conversations. Enter completion date(s) in system and obtain approval to modify scheduled date(s) when delays occur that impact timelines.
Accurately prepare all HUD CWCOT claims.
Review and process all third-party sale files.

As a Commercial LoanSpecialist, you will provide support to commercial lending staff in commercial branches or banking centers. Process loan closings, attain loan perfection, and serviceloan customers.
In this role you'll have the opportunity to:
Prepare all loan request documents. Gather customer income and net worth information. Answer customer questions.
Responsible for ordering external agency reports such as titles, insurance, etc.
Prepare commitment letters. Arrange for payoff of property liens.
Coordinate loan closings and prepare disbursement checks.
Responsible for verifying loan system accuracy for boarded loans.
Responsible for ensuring each loan file meets bank and regulatory requirements.
Responsible for making advances and payments on commercial lines. Balance commercial loan suspense accounts monthly.
Responsible for complying with policies, procedures, security requirements, and government regulations.
Education & Certifications
H.S. Diploma: required (an equivalent combination of education and experience may be considered)
Experience
0 to 2 years of commercial loan support experience required
Knowledge, Skills and Abilities
Demonstrate ability to independently produce accurate work in a deadline driven environment.
Possess strong analytical skills with the ability to identify document errors or variances and make corrections.
Ability to deliver professional, responsive customer service.
Knowledge of accounting principles.
Proficient in Word, Excel, and commercial loan systems.
Knowledge of state and regulatory requirements pertaining to commercial loans.

Job Description
The Healthcare Loan Closer is a lending support role working directly with loans, customer accounts, inquiries, and items directly related to client satisfaction with the U.S. Bank relationship while working under the direction of Healthcare Relationship Managers and the Healthcare Business Development Officer.
Responsibilities include:
* Support sales teams in executing a One Bank strategy and growing market share.
* Retain and deepen client relationships by providing exceptional client experience and support that is knowledgeable, timely and professional.
Basic Qualifications
* Bachelor's degree, or equivalent work experience
* Typically, seven or more years of job-related experience
Preferred Skills/Experience
* Experience working with closing commercial loans for the healthcare industry
* Considerable knowledge of departmental and bank products and services
* Proven customer service and problem resolution skills
* Proficient computer navigation skills using a variety of software packages including nCino, Salesforce, and Microsoft Office applications
