Essential Duties & Responsibilities: * Must work closely with the Consumer Lending team throughout the loan process to include, but not limited to completing application packages, obtaining required credit related information, ordering credit reports, appraisals, property searches, flood searches, and other due diligence items as necessary. * Willing to learn the Bank's loan origination system (ComplianceOne and Encompass, and any other applicable loan system) for processing documents necessary for loan package completion for various consumer loan and/or residential mortgage loan products. * Communicate with loan applicant(s) via phone / e-mail / secure correspondence regarding, but not limited to outstanding documentation required to render a credit decision, answering applicant questions, and proactively providing status updates with the applicant(s). * Document and review loan packages for accuracy and verify all conditions have been satisfied. * Keep thorough documentation of the loan process from origination through closing. * Maintain new residential & consumer loan files and ensure that the loan files contain documents with proper signatures, dates, and all relevant data. * Coordinate closing/settlement details for all consumer and residential mortgage loans. Prepare loan closing documentation as necessary. * Responsible for loan tasks that may include but not limited to imaging loan files, real estate tax monitoring, loan denials, tickler updates, insurance updates, collateral maintenance, and review of incoming mail for loan related items. * Follow-up on loan documentation in a timely manner and ensure deadlines are met. * Contact Relationship Manager/Loan Officer and/or appropriate branch personnel to coordinate loan closings. * Check documents for proper vesting, legal descriptions, closing dates, and signatures. * Actively communicate, cooperate, and interact effectively with other departments to advance the overall interests of the Bank. * Monitor DocuSign mailboxes and other queues to ensure the timely receipt and processing of documents. * Perform a variety of administrative duties requiring knowledge of departmental procedures. * Uses office computers for data input and other activities. * Understand and adhere to all policies and procedures. * Assist in loan reviews, audits, and regulatory exams. * Cross train in other areas of the Loan Department as assigned. * Perform other duties and assist with projects as assigned. Depth & Scope: * Works on an independent basis with little supervision * Receives assistance from manager with difficult questions and situations * Provides guidance to less experienced Closers * Prepares legal, regulatory and custom closing documentation if applicable within established Company policies and procedures and applicable legal and regulatory guidelines * Reviews loan documentation prior to sending documents to closing agents to ensure completeness, accuracy and compliance to state and federal lending regulations, consulting with more experienced staff as necessary to clarify or interpret regulations * Works with closing agents to ensure necessary information is provided to complete loan closing packages while maintaining positive business relationships * Completes quality control analysis of standard and nonstandard loan documentation, ensures data integrity and performs various functions related to the workgroup to avert losses and reduce undue risk * Acts as mentor and resource to Loan Closer I and Loan Closer II * Provides training to Loan Closer I and Loan Closer II * May assist Loan Closer Team Lead * Furnishes on-site training to new Retail Loan Closers in addition to reinforcement training * May manage the daily workflow of files throughout the day to ensure completion by Closers to meet the appropriate timeframe for the scheduled closing * Answers phones to assist internal and external customers Education & Experience: * Associates Degree and/or Bachelors degree * Mortgage Operations - 3-5 Years loan documentation experience * Consumer Operations 1-2 years loan documentation experience * Strong working knowledge of applicable lending practices * Advanced understanding and ability to apply processing procedures and processes * Extremely detail orientated with ability to audit and correct procedural errors * Ability to maintain positive business relationships with partners, customers and agents * Strong ability to handle heavy workload and meet stringent deadlines * Ability to interact effectively with internal customers from various departments * Strong working knowledge of Bank's loan products * Excellent oral and written communication skills, with ability to interact effectively with all customers, both internal and external * Excellent PC skills * Excellent customer service skills * Availability to work a variable schedule which may include nights and/or weekends * Physical Requirements: Never: 0%; Occasional: 1-33%; Frequent: 34-66%; Continuous: 67-100% * Domestic Travel - Occasional * International Travel - Never * Performing sedentary work - Continuous * Performing multiple tasks - Continuous * Operating standard office equipment - Continuous * Responding quickly to sounds - Occasional * Sitting - Continuous * Standing - Occasional * Walking - Occasional * Moving safely in confined spaces - Occasional * Lifting/Carrying (under 25 lbs.) - Occasional * Lifting/Carrying (over 25 lbs.) - Never * Squatting - Occasional * Bending - Occasional * Kneeling - Never * Crawling - Never * Climbing - Never * Reaching overhead - Never * Reaching forward - Occasional * Pushing - Never * Pulling - Never * Twisting - Never * Concentrating for long periods of time - Continuous * Applying common sense to deal with problems involving standardized situations - Continuous * Reading, writing and comprehending instructions - Continuous * Adding, subtracting, multiplying and dividing - Continuous The above statements are intended to describe the general nature and level of work being performed by people assigned to this job.
