The Parts Inventory Analyst will be responsible for analyzing and managing inventory purchases to meet customer demand and organizational targets for inventory turnover. The objective is to be able to provide our customers with adequate stock of the right parts, at the right location, at the time they need it, at the lowest cost. In order to achieve this, the analyst must strictly follow the Company's inventory management guidelines which are designed to maintain an equitable balance between inventory investment, customer service, and operational efficiencies. Further, the Inventory Analyst must be able to interpret details from inventory management reports to validate sales demand, review item activity indicator and stock type, and item cost as stocking and inventory replenishment decisions are made. Starting wage will depend on experience and education. $20.00 - $22.00 Essential duties and responsibilities of a Parts Inventory Analyst include the following. Other duties may be assigned. • Perform detailed analysis of inventory control reports to determine parts stocking needs that meet customer demand and organizational targets for inventory turnover. Take action based on established company guidelines for parts stocking and replenishment. Must be able to articulate a detailed explanation of the thought process and criteria used to produce any single inventory stocking or replenishment transaction upon request. • Update and maintain system records to ensure that these drive proper stocking levels and the most accurate parts information is provided to Parts Department employees. This includes: pricing updates, replaced or discontinued items, alternate parts, editing history of calls/demands, etc. • Timely and accurate processing of miscellaneous vendor orders for inventory or customer emergency backorders as needed. Follow up on orders that are placed and communicate any issues to the store personnel or customer that processed the order. Timely and accurate resolution of any processing grief on emergency orders. • Process claims to vendors as required. Follow up until a resolution is reached. Determine proper course of action based on the type of claim. Communicate the resolution to the corresponding Parts Manager(s). Work with Accounting in the application of any credits or debits for claims to the proper • Coordinate yearly Caterpillar literature invoice audit. Work with all Parts and Service Managers to ensure that all internal literature subscriptions are still required and that they get coded to appropriate general ledger accounts. Perform timely and accurate invoicing of literature subscriptions to all Customers. • Reviews Unadjusted Demand Report and adjusts history demand accordingly. Reviews the Daily Returns report and submit a Return Request to CAT. • Assist in the completion of physical inventories and cycle counting as required. Travel to other Quinn Co. or Quinn Rental Service stores may be required. High School diploma with 3 years inventory control experience or equivalent; or equivalent combination of education and experience. You will employ methods such as; expert quote assistance, job walks, delegation of quoting a specific scope of work through an internal or external vendor in order to provide a fully documented parts list & service execution plan prior scheduled event. •Provide influence to customer for all service technician recommendations reported by a Technicians, managing representative, or as a result of being reported under a CSA inspection or service event. •Promote up sell opportunities for Advanced Electrical Services (Engineering Services) bundled into CSA's contracts •Solicits opportunities for private or government bid packages •Identify & pursue additional business opportunities by creating new or utilizing existing exception reports such as; new customer account number report, inactive CSA's, expiring ESC's, expiring factory warranty, PIP & Safety letter completion report, DBS equipment population list, IMACS new product sales list. •Investigate/resolve customer service issues communicated by the customer when assigned by management. •Interface as service liaison between customers, service technicians, supervisors, & sales representatives to culminate a team effort. •Work with technical quoter(s), management, & expert company resources to ensure quotes are accurate in materials, labor, and support requirements as requested for assured profitability and customer satisfaction. •Develop and maintain a close positive working relationships, open communication, & personal accountability with all associates; to include, sales, service, parts, engineering, vendors, and all support departments. •Maintain & strive to enhance your professional knowledge of new products, parts, & services, through personal engagement within manager assigned training lessons or individually selected courses performed online under the factory sponsored Dealer Performance Center (DPC). Two (2) years related experience and training, or equivalent combination of education and experience. Individual possess background knowledge of the Caterpillar and or competitor product lines within the commercial engine market. Position requires the ability to learn & perform Caterpillar dealer business operations within the Dealer Business System (DBS), TMI, Caterpillar (CWS), Saleslink, & IMACS. The Collection Analyst is responsible for independently analyzing and reconciling customer accounts, creating value-added reporting on the receivables activity as a whole, and managing several hundred customers' receivables accounts. Starting wage will depend on experience and education. $68,640 - $73,099 Essential duties and responsibilities of a Collections Analyst include the following. Other duties may be assigned. Develop regular Excel reporting (daily, weekly, monthly) on Accounts Receivable activity and progress by customer, business region, and coordinator. Analyze account activity to determine patterns for late and disputed payments using analytics to help predict customer behaviors. Maintain large and complex accounts by establishing a rapport with customers in order to be proactive in having them pay their invoices timely and to collect on past due invoices. Offer solutions to resolve billing disputes and issues. Build working relationships with internal departments to resolve customer disputes in a timely manner. Proactively and effectively communicate to the operations teams on all short paid and/ or disputed invoices with regular follow-up until dispute is resolved. Develop and implement reporting and tools to keep track of actions required from internal department personnel. Lead credit meetings through Branch Manager level for assigned branch(es). Includes preparation of informative and concise Excel reports and formulation of status notes and proper action items. Follow-up up on open actions to ensure resolution prior to the next monthly cycle. Limit bad debt exposure by assessing new orders on accounts that have exceeded customer's credit limit. Work with the Credit Analyst to develop credit decisions taking account standing and customer relationship into consideration. Coordinate with the Regional Credit Manager to identify delinquent accounts for escalation of remedies, including submission of account to attorney for collection; form collection strategies to mitigate customer objections to making timely payments. Follow up with customers on payment plans once established through Legal counsel. Manage incoming phone calls from external and internal customers while providing excellent customer service. Work with a ‘problem solver' attitude. Record accurate notes on all communication in AR system. Utilize company databases and software for data and information to help with collection efforts. Ensure compliance with company policies, industry regulations, and legal requirements related to collections. Identify inefficiencies in the collection process and suggest improvements to enhance efficiency and effectiveness. Work closely with cross-functional teams to implement best practices and optimize the accounts receivable workflow. Education and/or Experience A bachelor's degree and 4 years of billing and collections experience or equivalent combinations of education and experience.
