Major/Essential Functions
* Manage calendars for the President and Executive Chief of Staff, coordinate meetings, and ensure timely follow-up on calendar requests from internal and external stakeholders.
* Keep the President's daily schedule on track, greet meeting attendees, initiate virtual meetings, and provide the President with agendas and other relevant documents.
* Collaborate with other members of the Office of the President operations team to ensure efficient daily operations of the President's office, including answering phones, staffing the front office, and distributing correspondence.
* Collaborate with other members of the Office of the President team to coordinate travel for the President and Executive Chief of Staff and process reimbursements for expenses in compliance with the Office of the President.
* Assist in the planning and execution of the Office of the President and university projects and events.
* Provide support in drafting and editing key documents and presentations as needed.
* Assist in preparing materials for Board of Regents meetings and assist with the coordination of logistics for related activities.
* Proactively identify and ensure timely communication about emerging or unexpected challenges in order to minimize disruption to the Office of the President's operations.
* Handle sensitive information with the highest level of confidentiality and professionalism.

Prepare, review, and maintain records and other documentation related to research compliance, proper authorizations, etc.
Assist with TTU's export control license applications, including drafting license applications to be submitted to regulatory agencies when applicable.
Assist with the development of technology control plans (TCPs) as needed and conduct monitoring of implemented TCPs.
Assist in the export control terms and conditions in sponsored program proposals, awards, procurement agreements, and ancillary agreements.
Assist the Assistant Director and other TTU units to develop and implement the University's Research Security Program in response to the requirements of the National Security Presidential Memorandum 33 (NSPM-33), CHIPS (Creating Helpful Incentives to Produce Semiconductors) & Science Act, and the NDAA (National Defense Authorization Act, annually updated), as well as regulations that have been adopted by federal agencies related to these and other requirements.
Assist the Facility Security Officer in the implementation and management of TTU's industrial security program.
Maintain facility clearance records.
Perform other related work as needed.
Stay up-to-date on relevant regulatory and policy changes to ensure continued compliance and best practices.
Participate in appropriate professional organizations such as AUECO, NCMS, ECTI, etc. with some domestic travel to professional seminars and conferences.

Assist with the Traveling Techsan Program by working closely with travel partners, marketing, and alumni engagement teams to ensure successful trip execution, broaden program visibility, and strengthen alumni participation through curated travel experiences.
Lead planning, logistics, and executing of 1923 Society events.
Lead planning, logistics, and executing of special events to include Matador Evening, Distinguished Alumni, and Top Techsan Award.
Prepare and present data-informed reports to direct supervisor to support tracking of performance metrics.
Contribute to the creation of monthly alumni updates and communications and work collaboratively with the communications and marketing team.
Assist with on-site logistics and alumni membership promotion at Frazier Pavilion gameday tailgates and other Alumni Relations events.
Other duties as assigned and needed.
Bachelor's degree plus one year related experience; OR a combination of education and/or related experience equal to five years.
