The IT Analyst 1 - Inbound, Account Management is primarily responsible for providing remote access management and software support to many core Heartland Dental systems. Duties include, but are not limited to answering, documenting and escalating customer inquiries received via phone and electronic channels, ensuring efficient and accurate issue resolution while delivering exceptional customer service.
With more than 1,800 dental offices supported across 39 states and the District of Columbia, over 15,000 team members and over 3,000 supported doctors in our support, Heartland Dental has a proven track record of growth and success. We're looking for professional individuals who are open, positive and mentally flexible to join our network of support.
To give an idea of the team structure, this position will work on a team with other account management analysts and report to the IT Account Management Support Manager or Supervisor.
Below is an overview of the duties and responsibilities you would take on in this role:
* Deliver efficient and valuable customer service via phone, email, and tickets
* Handle inbound communications professionally; answer inbound phone calls, addressing customer needs promptly and courteously
* Respond to electronic requests from customers in a timely manner
* Support user account provisioning, maintenance, and de-provisioning of dental office users within a variety of applications
* Troubleshoot and resolve user account login issues (password resets, Active Directory changes, Office 365, email, etc.)
* Facilitate electronic claims setup and address related support questions
* Provide support to the internal stakeholders to ensure dental providers' user account information is set up and functioning within the current dental practice management software
* Handle creation, maintenance, and troubleshooting of dental office accounts on insurance websites, ensuring seamless access and functionality
* Educate end users on self-service tools for common account management tasks
* Participate as a member of the IT Account Support Team by providing feedback on current processes and tools used to support and solve user account issues and incidents
* Accurately document support activities, escalating complex issues to appropriate teams for resolution as necessary
* Other projects as assigned
Minimum Requirements:
* Completion of one year of relevant experience in a customer service/support role
* Practical customer service skills, demonstrating the ability to manage customer inquiries and deliver exceptional service
* Ability to answer telephone calls and communicate information to customers
* Exceptional verbal and written communication skills, with the ability to convey information clearly and across various channels
* Strong computer skills, with excellent organizational skills, accuracy, and attention to detail
* Ability to work well under pressure and prioritize multiple tasks
* High level of maturity, personal initiative, and sound judgment with the ability to interact with co-workers in a collegial manner to accomplish common task
* Attendance and punctuality are essential
* Meet or exceed documented KPI's
Desirable Qualifications:
* Customer service experience in IT or healthcare fields
* Completion of associates degree in IT field

Job Responsibilities:
Start up and shut down all X-Ray equipment
Proper identification of patient and confirmation of ordered examination
Prepares patients for radiological procedures and conducts x-rays following established procedures for patient care and safety
Obtains detailed history from the patient and notes any observations made during radiologic examination
Use a variety of radiation protection and shielding materials
Ensures radiology equipment is functioning appropriately and reports equipment malfunctions to the Lead Radiologic Technologist
Completes Radiologic Procedures in EMR and notates as necessary for billing of the procedure
Obtains pre-authorization from insurance companies for CT scans
Confirmation of X-Ray exam in PACS and ensuring report is available in the patient's chart
Clarifies discrepancy radiology readings with the medical provider
Cleans and stocks the site with other members of the team
Participation in quality control and assurance program
Performs basic medical assisting and occupational medicine technician duties to support efficient patient flow, including greeting and registering patients and appropriately triaging incoming phone calls
Minimum Experience Requirements:
Mastery of best practice x-ray procedures and protocols
Understanding of the anatomy and physiology necessary to perform x-ray testing, including body mechanics and patient movement
Knowledge of radiology equipment, including safety hazards common to radiology
Knowledge of anatomy and physiology necessary to perform x-ray testing including body mechanics and patient movement
Capability to identify equipment issues and troubleshoot problems
Capacity to apply written instructions and standardized work practices and protocols
Friendly and outstanding customer service skills

Minimum High School degree or equivalent required.
Completion of an accredited Radiologic Technology program, or a current student with an upcoming graduation date within the next 4-6 months (offer contingent upon successful graduation and ability to obtain required certifications and licensures)
Active ARRT (The American Registry of Radiologic Technologists) Certification and Registration
Applicable state licensure (as required by state)

Essential Job Functions:
Responsible for taking patient history and obtaining vital signs
Perform basic testing or screenings such as: vision, audio, urine drug screens, breath alcohol, EKGs, pulmonary function testing
Perform necessary phlebotomy for collection of laboratory samples, if certified

Registration duties: explain to patients what insurances that are accepted and those that are out of network as well knowledgeable of all pricing - Properly collect and record payments, complete registration screen in a timely manner
Accompany the provider to the bedside
Accurately and thoroughly documents the patient's medical history, physical exam, and procedures
Completes transcription as requested
Perform tasks to improve provider efficiency during the course of a shift
Greet and registers patients
Answers and appropriately triages phone calls
Takes payments for visits
Printing, scanning, and faxing reports
Other front desk and cleaning responsibilities as assigned
Document the provider dictated patient history including history of present illness, review of systems, past medical and surgical history, family and social histories, medications and allergies
Document physical examination findings and procedures as performed by the provider
