Key Responsibilities:

Key Responsibilities
๐ RFP Review & Scope Analysis
Review RFPs, drawings, and specifications for scope, accuracy, and completeness
Identify scope changes, missing information, and potential risks
Coordinate with PMs and Estimators to clarify client expectations
๐ Change Order Development
Prepare accurate change order pricing based on updated scope or client directives
Collaborate with Project Managers to validate scope and pricing
Format proposals and ensure all required backup documentation is included
๐ฌ Vendor & Rep Communication
Send RFQs to vendors, reps, and manufacturers
Follow up on outstanding pricing and delivery information
Track responses and maintain updated quote logs for each project
๐ Bid Board & File Management
Provide updates to the team to update the cost control bid board
Save all relevant documents in company-standard share drive folders
Ensure all files are properly named, organized, and accessible to team members
๐ฅ Client & Contractor Interface
Communicate with clients, GCs, or reps to clarify scope questions or resolve discrepancies
Ensure timely and professional responses to external pricing inquiries
๐ Documentation & Compliance
Ensure all submitted pricing packages meet internal quality standards
Double-check math, quantities, unit prices, and formatting before submission
Maintain audit-ready records of all pricing events
What We're Looking For
Minimum 2 years of experience in construction estimating
Strong attention to detail and accuracy
Excellent organizational and time management skills
Ability to juggle multiple tasks and meet deadlines in a fast-paced setting
Strong communication skills (written and verbal)
Proficient in Microsoft Office (Word, Excel, Outlook), Adobe Acrobat Pro
Willingness to learn and grow within the role
A positive, team-first attitude and the ability to interact with all levels of staff
Experience in the construction or lighting industry a plus
Associate's or Bachelor's degree preferred, but not required

The Mitigation Project Estimator is responsible for performing site inspections, document losses with accurate measurements, notes and photographs with strong attention to detail; estimating the cost of mitigation of the entire project through the use of Xactimate; negotiating mitigation costs with insurance carrier representatives; communicating with the Project Manager/Team Coordinator on issues that will affect the project schedule and/or budget.
Mitigation Project Estimator Responsibilities:
Use Xactimate software to estimate residential and commercial water, fire, wind and mold restoration projects
Ability to inspect and scope projects in a timely fashion
Respond to property damage emergency calls when required
Negotiate fair and accurate scope/cost for repairs
Handle estimating inquiries and demonstrate a high level of problem resolution and technical assistance.
Set proper client expectations and meet them
Establish and maintain client relationships as well as relationships with insurance adjusters and claim representatives
Mitigation Project Estimator Requirements:
3+ years' experience as an estimator, preferably in the restoration industry
Possess a strong construction background and be able to communicate with Insurance Adjusters/Reps that may have very little construction knowledge
Must have knowledge of both residential and commercial restoration experience
Xactimate proficiency is a plus.
Possess exceptional organizational and planning skills (detailed oriented person)
Ability to recognize and solve problems independently
Strong communication and negotiation skills
Self-motivated, responsible and accountable
