We are seeking a Billing Coordinator, with at least 5 years of related experience in law firms to join our Finance team. The Ideal candidate will have previous experience working in the legal field and have demonstrated proficiency utilizing our firm's applications.
PRIMARY JOB FUNCTIONS
Prepare complex clients' billing from pre-bills thru final invoices, including editing utilizing Aderant Expert.
Handle electronic billing through various outside third-party programs (CounselLink, Legal Tracker, CounselGo, Collaboration and others).
Responsible for all aspects of billing, including editing and creating bills.
Create and update clients, matters and timekeepers in systems.
Process various time and costs charges.
Provide various ad-hoc financial information to partners, clients and within the department.
Participate in the monthly closings and reporting as required.
Interact and respond to inquires from attorneys and staff.
Assist with special projects as needed.
Other tasks and duties as assigned.

Proficiency with Aderant Expert Time required, Chrome River, and ADP preferred.

Arranges for services of process of complaints and subpoenas.

Evaluate and determine whether conflicts are waivable and assist with preparing conflict waivers.
Assist the Office of the General Counsel in determining when screening or conflicts waivers are necessary to ensure all decisions align with ethical and regulatory requirements.
Act as primary point of contact for all conflicts-related matters, engaging with the initiating attorney to address questions and provide guidance on the conflicts analysis process.
Enter conflict data into the conflicts program to generate reports, conduct applicable research, and present findings to attorneys for review of conflict results.
Lead periodic conflicts training sessions for attorneys and staff.
Supervise the conflicts team and ensure timely and accurate conflicts checks.
Oversee the hiring, onboarding, and training of conflicts staff hires.
Conduct annual performance reviews of the conflicts staff.

This role will be based in our New York office, on an in-office basis. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building. This role reports to the Paralegal Manager in the New York office.
Position Summary
The IP Litigation Paralegal position will provide organizational and practice specific assistance to attorneys in the IP Litigation Department in preparing litigation cases from onset through post-trial including related research and analysis. Candidate should also be flexible to work overtime as needed.
Key Responsibilities
Assists with all aspects of patent, trademark and other IP litigation, including deposition and other discovery preparation, trial preparation, pre-trial compliance, trial, post-trial and appellate proceedings, including preparation for oral arguments, case strategy conferences and preparation and filing of motions and briefs electronically or manually
Assists with all aspects of AIA trials (inter partes reviews, post-grant reviews), including document preparation, proofing, and filing, case management, deposition scheduling and management
Assists with preparing and filing documents in post-grant patent proceedings (inter partes reviews and ex parte reexaminations) before Patent Trial and Appeal Board ("PTAB")
Supports patent litigation, patent appeals and contested proceedings before the Patent Trial and Appeal Board (PTAB) and U.S. International Trade Commission (ITC)
Creates and maintains organizational systems for case documents, document productions, and e-discovery
Creates and maintains case schedules and calendars
Reviews, analyzes and drafts discovery requests and responses, subpoenas, notices and other court pleadings and documents, including summarizing transcripts and other records
Analyzes multiple document productions to identify client attorney privilege for organization into witness files and preparation of privilege logs
Provides litigation related logistics, including legal discovery, research, trial preparation and support
Prepares filings for in state and federal courts
Prepares and sets-up for Markman hearings
Identifies, investigates, collects, analyzes and organizes factual evidence, including deposition and witness outlines, and deposition and trial exhibits
Assists with review and selection of documentation to in preparation of fact and expert witnesses
Participates in the creation of databases, including coordination with outside vendors and internal resources
Conducts database searches, review and coordination of productions and reports
Identifies, calendars and complies with regulatory agency or court-imposed schedules and orders in accordance with local, state and federal rules and regulations, including coordinating and negotiating scheduling of case events such as depositions and conferences
Conducts legal and factual research including investigating factual issues by review and analysis of documents, telephone interviews and field investigation
Assumes responsibility for coordination, operation and interactions with trial support technology team
Assists attorneys with case settlement, including gathering and organizing data and distribution of settlement materials
Assists with other department activities as needed, and performs additional duties and responsibilities as assigned

Education & Prior Experience
Bachelor's Degree required, Certificate in Paralegal studies from an accredited institution preferred; equivalent experience considered
Certified Paralegal a plus; Notary Public License or willingness to obtain one
Minimum of 5 years of experience as a Patent Litigation Paralegal or similar within a law firm with demonstrated knowledge of complex issues within the Litigation practice area
Patent trial experience, including exhibit preparation, witness preparation and management, knowledge of subpoena preparation, experience working with judicial assistants and trial presentation vendors, experience assisting attorneys in the courtroom.
Technology
Experience with E-filing and litigation support applications such as Relativity, Concordance, and other 3rd-party applications
Experience with the PTAB's E2E filing system
Working proficiency with Lexis-Nexis, Westlaw and internet search engines for research purposes.
Working proficiency with Pacer and ECF filing procedures.
Proficiency with Windows-based software and Microsoft Word, Excel and Outlook, and Adobe Acrobat.
Proficiency in utilizing AI tools and software.
Experience with iManage and/or Filesite is a plus.
Exceptional computer skills with the ability to learn new software applications quickly.
The expected pay range for this position is:
$51.16 to $53.68 per hour
Salary will be determined based upon education, experience, job related factors permitted by law, internal equity, and market data, including geographic pay differentials in locations where market pay differs from the national average.
