Job Summary
The Dealership Accountant supports the office operations at the dealership through a range of accounting and administrative activities including paperwork for vehicle sales and purchases, parts statement, accounts payable, filing, scanning, and copying.
Essential Duties and Responsibilities:
Ensures that we have W9 information for vendors.
Ensures the remote bank deposit is done daily and accurately recorded
Maintains complete and accurate file of Sales & Use tax Exemption Certificates. Reaches out to vendors that need to update or complete an exemption certificate.
Posts invoices related to the Factory Statement. Prints out and posts the necessary weekly reports related to the factory statement. Reconciles the monthly factory statement to the GL to ensure they balance.
Prepares and submits all paperwork for GAP, vehicle service agreements, and outside warranty company cancellations.
Prints out and posts weekly GAP report and ensures GAP chargebacks are posted to the proper accounts. Ensures all GAP chargebacks are logged weekly on the GAP log book.
Processes all paperwork relating to new and used vehicle sales.
Uploads all required incentive paperwork related to new vehicle sales.
Processes all paperwork for Dealer Trades.
Scan/upload/index deals to the scan site when needed.
Ensures all used vehicles are purchased timely and accurately recorded.
Ensures all new and used vehicle registrations are complete with title/MSO and complete all title processing in accordance with state law.
Processes payoff checks for vehicle tradeins in a timely manner.
Processes outgoing mail daily.
Posts accounts payable invoices and processes monthly payments. Ensures all invoices are coded correctly before posting.
Scan/upload/index accounts payable files.
Prepares accounts receivable statements monthly. Ensures that statements are accurate and control variances are corrected. Follow up on collection of accounts that are past due.
Maintain the title files and ensure all titles are accurate and signed. Update the DMS with the title status and follow up with lenders if a title is not received in a reasonable amount of time after a payoff is sent.
Assist with Reception Duties as needed.
Assist with DMS schedule review.
Assist with Monthend reconciliations.
Assists Office Manager/Controller with other projects and duties as assigned.
Assists General Manager with other projects and duties as assigned.
Maintains a neat work area.
Vehicle Sales/Buys/Dealer Trades Job Duties:
Processes all paperwork relating to new and used vehicle sales.
Processes all paperwork for Dealer Trades.

Acts as a backup for new vehicle purchases.
Ensures all used vehicles are purchased timely and accurately recorded.
