As a Service Dispatcher, you will have the opportunity to support our Service Department with scheduling daily service activities for a team of HVAC and Plumbing service technicians within an assigned region. The Service Dispatcher will serve as a vital link between SVM's commercial customers and field technicians, ensuring the accurate scheduling of field technicians and the highest level of customer service is upheld.
What you will do
Schedule routine maintenance visits, service calls and quoted repairs for assigned technician team.
Evaluates incoming service requests, determining their nature and urgency, and assign an available technician with the required skillset.
Monitors assigned team's technician schedule to ensure the timely completion of service calls, promptly notifying relevant personnel of any availability changes.
Generate work orders (WOs) and audit submitted WOs from field team, ensuring hours worked, work performed, and PO number referenced.
Create, update, and maintain customer accounts within the system, ensuring notes reflect site protocols for our field technicians.
Monitor Technician's service call progress, advising for follow-ups as required.
Communicate with customers, both verbally and written, to coordinate schedules, address incoming inquiries, and provide timely updates on technician arrival times and any service-related information.
Escalate recommended solutions and warranty inquiries as needed to the area Foremen and assigned Account Manager.
Submit necessary paperwork upon completion of assigned jobs including WOs, POs, and Special Reports.
Prepares monthly reports for the Lead Dispatcher outlining assigned technician team's PM hours and open WO's.
Transition incoming calls into Service leads.
Approve Technician's schedule, ensuring Foreman are notified of any availability changes.
Support Service Admin with timecard related questions.
Support the Service department with other tasks and projects as business requires.
Education, Skills & Experience
3+ years' experience in a customer service or similar role required.
Prior experience as a Dispatcher highly preferred.
2+ years' experience working with a mechanical contractor highly preferred.
High school diploma or general education degree (GED; or equivalent combination of education and experience) required.
Highly proficient with various office equipment and programs including MS Office Suite (Word, Outlook, Excel) required.
Working knowledge of HVAC systems and common terminology utilized highly preferred.
Excellent written and verbal communication skills required.
Ability to maintain professional relationships with internal team members and customers required.
Proven ability to be an effective multitasker with great time management and organizational skills required.

This is a full-time exempt position. The compensation for this role is $75,000 - $110,000 annually and is based on experience and skillset.

THE POSITION:
The Public Safety Dispatchers uses a computer-aided dispatch system to receive calls and dispatch police, fire or other City services by answering emergency and non-emergency calls and providing assistance.
THE DEPARTMENT
The Hayward Police Department Communications Center is responsible for dispatching both Police and Fire Services throughout the City of Hayward. The Hayward Police Department is one of 18 CALEA (Commission on Accreditation for Law Enforcement) accredited police departments in California and is committed to maintaining CALEA's high standards and broadly recognized excellence.
The Communications Center is frequently the first point of contact when a community member requests assistance. The information gathered by the communications operator during this contact is critical to a positive outcome. The Communications Center consists of six (6) stations with each Public Safety Dispatcher assigned to a specific job.
DISTINGUISHING CHARACTERISTICS
This is a journey technical level position in which incumbents are expected to independently perform the full range of duties assigned. This class is distinguished from the Communications Supervisor in that the latter provides technical and functional supervision over assigned communication personnel.
What you will do:
Duties may include but are not limited to the following:
Receive emergency calls from the public requesting police, fire, or other related services; determine nature and location of emergency; determine priority and dispatch emergency units as necessary and in accordance with established procedures; coordinate emergency calls and relay information and assistance requests involving other law enforcement agencies.
Use a computer aided dispatch (CAD) system to enter calls for service/radio traffic and monitor real-time status of situations; use an automated records management system (RMS) related to public safety activities to enter and retrieve information.
Maintain contact with all units on assignment; maintain status and location of field units and monitor radio frequencies of outside public safety agencies.
Receive incoming telephone and voice radio calls for non-emergency assistance; dispatch animal control, utilities and street maintenance staff as needed.
Enter, retrieve, and update information from teletype networks, including the California Law Enforcement Telecommunications System (CLETS) relating to wanted persons, stolen property, vehicle registration, stolen vehicles and other information.
Maintain familiarity with major roads, streets, areas, and industrial and public facilities within City boundaries.
May complete recovered stolen vehicle reports in accordance with established procedures.
Relay emergency and non-emergency information to public safety personnel and other agencies in the field.
Monitor multiple frequencies.
Determine and report the need for equipment repairs.
Receive structured classroom and on-the-job training.
Assist in relaying information during response to natural disasters.
Perform the duties of a Public Safety Call Taker, as assigned.
Perform related work as necessary.

Experience: Two (2) years of experience as a public safety dispatcher for a Public Safety Answering Point, including heavy public contact while performing multiple tasks and using a computer-aided dispatch system.
Education: Equivalent to the completion of the twelfth (12th) grade.
Licenses and Certificates: Completion of the California Commission on Peace Officer Standards and Training (POST) Basic Public Safety Dispatcher course is highly desirable.

POSITION SUMMARY

POSITION PURPOSE
Under the direction of assigned administrator, the Police Dispatcher receive emergency and non-urgent phone and radio calls for police assistance from students, staff, and the public on District property and safety. Contacts and dispatches police, maintenance and custodial personnel to incidents. Provides general clerical support to the department.
KEY DUTIES AND RESPONSIBILITIES
1. Receive calls and walk-in inquiries from students, staff, and the public by telephone or two-way radio regarding emergency and other situations. Determine the priority and respondent for all calls. Contact, inform, and dispatch Police Officers or others as appropriate of situation.
2. Receive and respond to phone calls regarding alarms, injury, accident, disturbance, bomb threats, or suspicious persons on campus.
3. Maintain two-way radio contact with all individuals and teams on assignments, including campus Police Officers, Traffic Officers, custodial and maintenance personnel.
4. Coordinate emergency calls and relays information and assistance requests involving emergency services from other jurisdictions.
5. Order ambulances and tow trucks or contacts the appropriate agency for extended assistance.
6. Receive reports and communicate facilities maintenance problems to custodial, grounds, or maintenance personnel.
7. Monitor fire and intrusion alarm systems. Locate and dispatch officers or other staff as appropriate.
8. Receive and verify permanent information from campus police records. Enter and update information onto related database and programs.
9. Request information as necessary related to wanted persons, stolen vehicles and property, vehicle registration, and other information from other public safety agencies and law enforcement databases.

15. Receive, maintain, distribute and log keys, radios, and/or access control equipment for police, custodial, maintenance personnel and all other employees, including vendors and contractors.
16. Operate and monitor access control and alarm monitoring, security surveillance and key locks via access control and/or video management software.
17. Monitor electronic surveillance cameras. Provide footage of historic events to police officers and/or other agencies for prosecutorial purposes.
18. Ensure that the Emergency Notification System is populated with accurate information and initiate Emergency Alerts via the emergency notification system; monitor the database.
19. Perform fingerprinting for District employees and the public for employment purposes in conjunction with Livescan protocols.
20. Collect and process fingerprint fees from the public, and balance daily funds that have been received.
21. Perform other duties related to the job classification.

THEPOSITION

The San Ramon Valley 911 Communications Center is equipped with the latest advances in emergency telecommunications technology, and is a Primary Public Safety Answering Point (PSAP) for the City of San Ramon and a secondary PSAP to the Town of Danville and unincorporated Alamo. Dispatchers process all incoming emergency and non-emergency calls for service and dispatch Police/Fire and EMS. The San Ramon Valley 9-1-1 Emergency Communications Center is an EMD Accredited Center of Excellence, certified by the International Academy of Emergency Dispatch. THE OPPORTUNITY:

Essential Functions
Performs tasks necessary to effectively dispatch police, fire and park operations units, as required:
* Receives telephone calls from citizens, employees or other agencies requesting general park information, police or fire assistance, to include "911" and other emergency calls;
* Transmits and receives radio messages;
* Analyzes situations and dispatches the appropriate units;
* Dispatches mobile units and other equipment to specified locations as ordered;
* Makes telephone requests for ambulance, vehicle towing, or other emergency services as requested by officers in the field;
* Monitors other law enforcement and fire agencies' radio frequencies and rebroadcasts pertinent information;
* Operates and makes minor adjustments to radio telephone transmitting and receiving equipment;
* Responds to in-field requests for communications aid at critical incidents or any aid when requested by a supervisor including: Responding to a Mobile Incident Command center or off-site communications center in emergency situations, assists in the facilitation of emergency evacuation of the communications center via patrol vehicle, Mobile Incident Command vehicle, or personal vehicle
* Participates in mandatory off-site department trainings including but not limited to out of jurisdiction locations
* Performs varied clerical duties such as typing, maintaining message logs, assisting on reports and records, filing, answering phones, and responding to inquiries from the public and other agencies;
* Processing police (court cases and parking citations), fire, medical and field reports;
* Performs data entry and retrieves data;
* May be required to collect monies from members of the public for the purpose of paying fees for towing, dog permits, copies of reports, or other services, or for paying fines.
Minimum Qualifications
MINIMUM QUALIFICATIONS:
Education:Equivalent to completion of the twelfth grade; AND
Experience:Two years of recent, responsible work experience.
License or Certificate:Possession of a valid California Driver's License with a satisfactory driving record is a condition of initial and continued employment in this classification.
