Your New Role
As an Experienced HVAC Dispatcher in the Austin area, you'll own day-to-day dispatching for residential (and potentially light commercial) service calls. You'll be the calm in the chaos-balancing priorities, traffic, tech skillsets, customer needs, and real-time changes throughout the day.
You'll be responsible for:
Owning the dispatch board and managing the schedule in real time
Coordinating, routing, and dispatching technicians to maximize productivity and minimize drive time
Triaging incoming calls and prioritizing jobs based on urgency, location, and technician strengths

Experience:
3+ years of dispatch experience in HVAC ( preferred) or another skilled trade (plumbing/electrical/field service)
Skills & Attributes:

WORK ENVIRONMENT AND PHYSICAL DEMANDS
Work is generally performed in an office environment in which there is only minimal exposure to unpleasant and/or hazardous working conditions. This position works with multiple project timelines and is responsible for managing employees performing work of a complex nature.
Incumbent must have the ability to stand and sit frequently throughout an eight-hour period, reach vertically for overhead use as well as horizontally. Must be able to use a telephone or headset equipment. Incumbent must be able to lift and move material weighing up to 20 lbs., perform work at a computer terminal for 8 hours a day, and function in an environment with constant interruptions.

Every single occurrence that is outside of normal operations must be communicated to Airlines as they occur (in real time)
At the end of each shift, ensure that all lights have been shut off on all trucks, and check the back of the warehouse and all trucks for cleanliness, fuel, etc.
Must ensure that crew is back from break on time, any downtime must be utilized by getting ahead on loading of the trucks, cleaning of the trucks, and/or building bulk items
Dispatch will be cross trained on different aspects of the Warehouse operations and build bulk and ice
Update GPET according to the shift worked - GPET MUST BE UPDATED FOR ALL FLIGHT SERVICED PER SHIFT including double checking for accuracy to ensure that all extra charges and information is inputted correctly
Ensure that the Security declaration is completed for each flight
Ensure that carrier check lists are completed and uploaded onto Google Drive
Ensure that the Driver Log is completed in full and any issues with the truck are reported on the driver log.

The Dispatcher position ensures the optimal assignment of personnel, equipment, and trucks to meet daily operational requirements for TDS. This role plays a central part in maintaining daily workloads by monitoring route progress, re-routing or splitting routes, and resolving driver and customer concerns as they arise. The Dispatcher collaborates closely with Operations, Customer Care, Sales, and affiliate partners to support service delivery and maintain high operational standards.
CORE RESPONSIBILITIES
Updates master files and prepares route files for producing schedule and work order-based routes based on schedules provided by Operations Management.
Support drivers by uploading daily route information and troubleshooting data issues with on their tablets.
Assign work to drivers and vehicles based on various factors including distance, time restraints, traffic, and driver skillset.
Communicate to Operations Management of any drivers not logged into their assign routes daily.
Respond to internal calls and emails regarding services including equipment placement, driver ETA and service concerns.
Respond to driver's calls via landline and driver issued radios.
Review future work requests to ensure adequate drivers will be scheduled, equipment required is onsite and ready to meet customer's requests.
Communicate to drivers on route multiple times throughout the day to ensure safe operations of trucks, completion of work assigned, and resolve service concerns. Rerouting any work that may not be completed but the current driver to ensure it will be completed.
Debrief drivers at end of route to ensure all work is reflected as complete, disposal information was obtained and entered, pictures reflected on any service concern or skipped stop, and log off time is populated.
Obtain detail on any incomplete work orders and share with the driver's management team.
Review open logs and route files from prior day. Resolve missing data and close the files.
Communicate route delays to customer support teams with projected plans on completion of delayed services.
Properly identifying priority services in routing software to help identify trends and efficiency concerns.
Follow TDS communication protocols for service calls, safety incidents, hot loads and other abnormal safety concerns while on route that may arise.
Attend monthly safety meetings.
Enter and maintain vital operational service documentation on accounts ensuring routes are profitable and efficient.
Communicate service concerns with customers same day to prevent delayed services.
Enter any necessary work orders to help ensure service for a customer. Contact customers to help resolve issues when a driver is onsite.
Other duties as assigned.
REQUIRED SKILLS & QUALIFICATIONS
High school diploma or its equivalent
At least two years of customer service or waste industry experience Excellent written and verbal communication skills
Ability to use common office equipment - i.e., phones, radio systems, desk top computers

Confirm all team members have had the opportunity to take their break(s)
Maintain communication with all team members and ensure that they are where they are supposed to be, and they are returning to the base in a timely manner
Maintain constant communication with crew members and/or airlines operational staff or representatives
Update next day blocks for AM/PM and put names of drivers and shift times and corresponding truck that they are to use and inform Manager/Supervisor regarding any deviations in manpower scheduling
Ensure that blocks for following days are created properly and drivers are confirmed for the following day - trucks should be assigned according to the flights that they are doing.
Every single occurrence that is outside of normal operations must be communicated to Airlines as they occur (in real time)
At the end of each shift, ensure that all lights have been shut off on all trucks, and check the back of the warehouse and all trucks for cleanliness, fuel, etc.
Must ensure that crew is back from break on time, any downtime must be utilized by getting ahead on loading of the trucks, cleaning of the trucks, and/or building bulk items
Dispatch will be cross trained on different aspects of the Warehouse operations and build bulk and ice
Update GPET according to the shift worked - GPET MUST BE UPDATED FOR ALL FLIGHT SERVICED PER SHIFT including double checking for accuracy to ensure that all extra charges and information is inputted correctly
Ensure that the Security declaration is completed for each flight
Ensure that carrier check lists are completed and uploaded onto Google Drive
Ensure that the Driver Log is completed in full and any issues with the truck are reported on the driver log.

Maintains branch's budgeted trucking profit margin (repair & maintenance cost control)
Works with branch manager to determine driver schedule availability, and schedule deliveries/pick-ups outside of normal business hours.
Track registrations of fleet equipment & vehicles.
Install license plates on equipment as needed.
Assist & maintain paperwork for branch audit purposes.
Work with mechanics about truck repairs and calls for parts from vendors.
Conduct Safety Meetings.

Asks vital questions and provides pre-arrival information to police, fire, and emergency medical personnel.
Works an assigned shift using judgement in deciding course of action, being expected to handle difficult emergency situations.

Receives and responds to a variety of emergency and non-emergency services and complaints.
Asks questions to interpret, analyze, and anticipate the caller's situation as to resolve problems, provide information, dispatch emergency services, or refer callers to other agencies.

Enters and modifies information into local, state, and national computer databases.
Performs radio dispatch duties for Police and Fire Departments.

Ensures all sources are checked for outstanding warrants on prisoners or when requested.
Prepares letters, forms, and reports on computer keyboards as required.

Makes entries into automated record files.
Maintains accurate, up-to-date files and logs.
Communicates effectively with those contacted in the course of work.
