The Role:
The Math and Writing Tutoring Manager position is responsible for providing leadership for the math and writing tutoring, overseeing training curriculum, and coordinating the creation of relevant digital content for on campus, online, and Center students. This position develops ongoing training for math and writing tutors using content-specific tutoring strategies that align with best practices and the Learning Commons training curriculum. This position reports to the Assistant Director of Tutoring Programs. This position works collaboratively with other Learning Commons staff and campus partners to determine and meet emerging student academic support needs through outreach, program initiatives, and collaborations. All employees are expected to uphold and contribute to CWU's vision, mission, and values, fostering a culture of student success and institutional excellence.
Job Duties
Leadership:
* Check and respond to CWU emails and report time daily.
* Meet with Assistant Director of Tutoring Programs weekly to ensure she is apprised of happenings in math and writing tutoring and to gain insight into any struggles occurring.
* Participate in and contribute to weekly Tutoring Programs meetings, helping to create and adjust policies to equitably suit the team and support students.
* Collaborate with Assistant Director of Peer Mentoring and Advising Programs to ensure funding is being responsibly used for two graduate student employees.
* Collaborate with the Assistant Director of Tutoring Programs to create and host the Summer Bridge Program. This will include researching and organizing stipends for the Summer Bridge program, writing math curriculum, and overseeing/approving the creation of writing curriculum.
* Collaborate with tutoring team on the creation and editing of tutoring agreements and student employee handbooks.
* Support the Assistant Director of Tutoring Programs with Inspire testing with student employees, including making screen-recorded videos to update Inspire on issues. Serve as point person for the creation of the Screencast functionality in Inspire.
* Help resolve conflicts within the team, acting as a mediator, employing conflict resolution skills, and speaking with the appropriate channels to support team unity.
* Manage folder in Administration channel of Teams with Math and Writing Administration related materials, including current and historical trainings and budget documents.
* Track departmental spending related to employment of math and writing tutors and student fee funding. Collaborate with PALs Coordinator and Assistant Director of Learning Commons Operations to ensure responsible budgeting.
* Support developmental curriculum in math and English departments, including through overseeing planning of socials, putting together care packages, and spearheading embedded tutoring discussions.
* Lead collaboration with National eTutoring Consortium through selection of tutors, ensuring training standards are met, reviewing evaluation forms, and attending semi-yearly eTutoring update meetings.
* Lead collaboration between writing tutoring and peer mentoring and the PADstone 184 courses to encourage students to utilize our services.
Supervision:
* Supervise two graduate student employees from the Wildcat Academic Mentoring legislative initiative to support developmental curriculum and students in developmental courses in the math and English departments. Assign, review, and approve the completion of tasks via Excel sheets, checking student progress on a weekly basis.
* Supervise 8-10 undergraduate math tutors, including one lead undergraduate math tutor and one Spanish-speaking math tutor. Assign, review, and approve the completion of tasks via Excel sheets, checking student progress on a weekly basis.
* Supervise 8-10 undergraduate writing tutors, including one lead undergraduate writing tutor. Assign, review, and approve the completion of tasks via Excel sheets, checking student progress on a weekly basis.
* Create, facilitate, review, and assess pedagogically sound training curriculum for biweekly staff meetings grounded in CRLA standards.
* Create, facilitate, document, review, and assess five hours of in-person onboarding and training curriculum and assessments based on CRLA Level 1 standards to ensure student employees are prepared to tutor.
* Purchase online training for student employees to complete required CRLA training topics. Track completion of these courses and upload proof of completion to Teams for the Assistant Director.
* Request quarterly student employee availability to schedule bi-weekly staff meetings for math tutors and bi-weekly staff meetings for writing tutors so that all student employees have equal access to training.
* Assign tutors to develop and facilitate synchronous, asynchronous, virtual, and/or in-person workshops for professional development. Oversee and approve the development of workshop material.
* Conduct daily informal check-ins with tutors to ensure they have the resources necessary to complete their position descriptions and encourage rapport-building among the team.
* Manage timesheets and approve time at the end of each pay period.
* Open and close the screencast queue quarterly. Regularly audit the queue to ensure screencasts are being returned in a timely manner. Troubleshoot systems relating to Microsoft Office and Teams.
* Keep records of courses math tutors can tutor and ensure they are stored in an easily accessible place for Office Assistant access. Upload courses math tutors can tutor to each Inspire tutor profile on a quarterly basis.
* Complete yearly (or as needed) recruiting and hiring process to maintain team of 16 undergraduate and 2 graduate student employees. Communicate with Student Employment Office to post and close job positions, review job applications, invite for and host interviews, review writing samples, and check references. Communicate with faculty and staff to let them know of job openings.
* Communicate with HR, including submitting RPC, NTP, and hiring forms as needed, to ensure student employees have all MyCWU-related features clear and available and are being paid correctly.
* Track and update student pay increases related to minimum wage changes, loyalty raises, and lead pay by recording rates.
* Collaboratively coordinate end-of-quarter events. Plan and oversee event activities, submit food memos, complete shopping orders, set up, and clean up after events.
* Recognize and reward student employees for good performance and encourage positive reinforcement and rapport-building.
* Create tickets through the TeamDynamix platform to grant new student employees access to scheduling appointment and drop-in availability and tracking student usage.
* Create and amend the Math and Writing Tutoring Handbook addendum to reflect expectations for student employees.
* Communicate with Office Assistants new student employee names, start dates, and tutoring schedule to maintain departmental collaboration.
* Quarterly, audit, add, and remove new or terminated math and writing tutors to relevant Teams channels and shared email inboxes.
* Ensure new student employees have taken CWU-required Understanding FERPA and MyCWU New Student Onboarding and submitted appropriate documentation for I-9 to meet required new employee standards.
* Select student employees to help with the Summer Bridge Program and oversee their efforts in preparing for the program, including practicing problem sets, creating lists of needed materials, and writing and practicing presentations.
* Ensure all tutors are registered with CWU for Zoom and that they have printing options available to them.
* Design, give, and write feedback on math review papers for math tutors to increase knowledge and expertise among math tutor team.
* Promote teambuilding by hosting tutor events and incorporating informal check-ins into staff meetings.
* Observe student employees' tutoring for quality control and to inform future training topics.
* Conduct quarterly evaluation and check-in process for student employees.
* Track student employee contact hours for CRLA certification quarterly and email the Assistant Director the names of tutors who have earned certification.
* Oversee the creation and approve finalization of tutor resources, such as calculus notes and workshop resource papers.
* Store contact and emergency contact information for tutors in easily accessible place for Assistant Director.
* Encourage professional development among student employees by keeping them updated on conference attendance and presentation opportunities and offering to serve as a reference.
* Host weekly one-on-one meetings or regular check-ins with lead undergraduate tutors and graduate student employees.
Outreach and Communication:
* Manage shared math and writing tutoring email inboxes for tutors to communicate with students and faculty. Check daily to ensure emails are being returned in a timely manner.
* Communicate and collaborate with faculty and staff across departments such as Mathematics, Library, History, Administration Management, Philosophy, and English in creating and hosting workshops.
* Share hours and availability for tutoring with faculty and staff on campus, via email, on a quarterly basis, before tutoring starts for the quarter and before finals week schedules change.
* Store campus partnerships list in math and writing tutoring channels for easy access for both manager and tutors.
* Give educational presentations and/or tours on Learning Commons resources to campus partners with audiences of up to 100 people.
* Connect with faculty via email to ensure they are aware of the Summer Bridge Program and invited to participate.
* Each August, connect with offices on campus to inquire about job postings and availability for Summer Bridge students.
* Oversee the creation, printing, and distribution of posters advertising math and writing to be posted on poster boards across academic buildings.
* Serve as liaison from the Learning Commons to the math and English departments, maintaining relationships with all faculty through meetings.
* With the graduate student employee for the developmental math program, collaborate with math faculty on the math self-placement process.
* Oversee informative and advertising posts for Instagram and social media concerning workshops, hiring, and math and writing tutoring services.
* Post quarterly campus notices via Central Today and the CascadeLMS system to spread awareness about math and writing tutoring hours.
* Promote Learning Commons services by aiding in the distribution of marketing materials throughout campus.
* Ensure math department tutors have access to training by letting them know of training dates/times for Learning Commons math tutors. Promote engagement and foster community.
* Collaborate with PADstone 184 courses and peer mentoring to promote student usage, market services, and integrate writing tutoring and peer mentoring into first year experience curriculum.
* Collaborate with Assistant Director, PALs Coordinator, and math instructors in embedded tutoring initiatives.
* Collaborate with Admissions, the Registrar's Office, Eastside Centers, and YV-Tech to design and implement the Summer Bridge program.
* Build rapport among other departments by requesting presentations at training events.
* Edit and update website pages related to math and writing tutoring.
* Recruit student employees for tabling opportunities.
Assessment:
* Perform co-curricular assessments on math and writing tutoring usage to inform staffing and availability.
* Troubleshoot data-gathering systems in Inspire and Microsoft Forms through collaboration with colleagues and the creation and editing of Standard Operating Procedure (SOP) documents.
* Complete quarterly tracking of usage of math and writing tutoring services, including appointments, drop-ins, and screencast submissions by agreed-upon deadline.
* Submit new and continued partnerships and points of pride to Assistant Director of Tutoring Programs by agreed-upon deadline.
* Support the PALs Coordinator and Subject-Specific Tutoring Coordinator in data tracking and technology troubleshooting.
* Contact the office of Institutional Effectiveness and Research Planning for additional data information on varying student demographics.
* Obtain student user feedback through use of surveys.
Professional Development & Ongoing Training:
* Participate in organized, professionally affiliated trainings/conferences, such as the College Reading and Learning Association and the Pacific Northwest Writing Centers Association.
* Read books and peer-reviewed research articles relevant to growth in position, including on topics such as self-regulated learning and math anxiety.
* Perform other duties as assigned.
Minimum Qualifications
* Master's Degree with 2 years' combined experience in teaching or tutoring mathematics and/or writing at the undergraduate level
* Experience developing curriculum and/or training materials
* Demonstrated written and verbal communication skills
* Demonstrated willingness and/or experience working with diverse student populations, including students at various levels of learning
* OR applicable combination of education and/or experience which demonstrates the ability to perform all essential functions of the position

* Supervisory experience, particularly of student employees

* Experience in teaching or tutoring at the undergraduate level
* Experience conducting assessment and using data to inform decision making

Pay, Benefits, & Work Schedule
Salary: This position has a minimum annual salary of $45,303 and maximum annual salary of $63,424. Tier 1: $45,303 - $51,343 (Expected hiring range): Considered fair value for a newly hired employee meeting the basic requirements of the job, and those who are new to a manager-level role. Tier 2: $51,343 - $57,384 (Potentially considered hiring range): May be considered if a fully competent applicant has 3-5 years of experience in a manager or similar role, and able to quickly assimilate and consistently meet or exceed performance expectations. Tier 3: $57,384 - $63,424 (Longevity range, not considered for hiring)
In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the hiring range is based on the candidate's current experience, education, skills, and abilities related to the position.
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)
Working Conditions: Work is performed in an in-person, indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
