Family Description Corporate Services (AD) consists of executive, professional, and support services in the areas of general administration, facility and real estate management, health, security, and secretarial services as well as external affairs and information services. Comprises other enterprise-wide functions such as trainees. Subfamily Description Administration & Support (ASU) covers the performing of clerical, secretarial, and general administrative support services to the business and senior executives in the organisation. Acts as a coordinator between different interest groups. Impact Accountable for quality and accuracy of own output. Responsible for contribution to teamwork. Errors may have impact on function/project/customer. Usually delivers results with a short-term, operational focus and limited impact on others. Scope & Contribution Individual Contributor: Participates as individual contributor to team, usually with limited professional expertise. Typically 1-2 years directly related experience and a graduate equivalent degree. This role works collaboratively with the other EA's in the group. This role would interface mainly with other executives, managers, employees and vendors based in the SV campus. Travel & Expense Management: Plan and arrange complex travel itineraries, schedule appointments, and process expenses. On site support: Provide assistant support services in the Sunnyvale, CA office forassigned executives. Meeting Coordination: Organize and facilitate meetings, including booking facilities, distributing materials (minutes, presentations), and managing follow-up actions. Project Support: Assist in the production of presentation materials and the coordination of internal and external events. Team Collaboration: Interact and coordinate with members of the Product & Engineering leadership team, BG management team, and other executive offices. Process Improvement: Continuously seek opportunities to improve processes, methods, and overall efficiency. Calendar & Time Management: Proactively manage the executives' calendar, prioritizing appointments and ensuring efficient time allocation across multiple time zones. Communication & Information Management: Screen incoming topics, prioritizing and responding appropriately. Seek, update, and provide information, including research and compilation of reports, presentations, and organizational charts Knowledge & Experience A robust track record of strong executive assistance experience. Excellent planning skills, ability to manage complex calendars across multiple time zones, prioritize tasks in a fast - paced environment, and strong organizational skills. Ability to think critically, solve problems effectively and make sound decisions Strong attention to detail and a commitment to delivering high-quality work Ability to handle information with discretion and confidentiality Fluent English language skills (written and verbal) Proficiency in MS Office Suite: excellent knowledge of Microsoft office applications, including Outlook, PowerPoint, Excel and Word. SharePoint and Teams knowledge is a plus. Ability to create clear and concise communication in various formats Specialized or broader knowledge of theory and principles within a professional discipline. 8 + years of experience and a graduate equivalent degree. On-site position in Sunnyvale: Candidate must be local to Sunnyvale.
