Qualifications
BSW degree or BA in related field from an accredited college/university.
Two years of experience working within an outpatient, crisis, and medical settings.
Ability to use an Electronic Health Record to document medically necessary clinical services.
Must be able to perform each essential duty satisfactorily.
Ability to communicate effectively verbally and in writing.
Bilingual/trilingual (Spanish/Portuguese) preferred; candidate will have a demonstrated understanding of and competence in serving culturally diverse populations.

Patient/MD/OD Communication:

o Knowledge of how to review template and assign appropriate slot for appointment type (new, est, consult, post op, urgent etc.)
· Maintain lines of communication regarding templates concerns with the Practice Manager/Supervisor.
· Monitoring schedules and reporting scheduling problems to the Practice Manager/Supervisor.
· Responsible for maintaining a high level of scheduling accuracy.
· Make outgoing rescheduling calls.
· Manage and work the waitlist regularly and as openings in the schedule arise.
· Work on the recall reports and follow up as needed.
· Document no show appointments and handle patient follow up.
· Scheduling of MRI, CT, labs, pathology.
General Practice Administrative tasks:
· Faxes- receive and handle incoming faxes.
· Pathology- follow up on and document pathology results after provider review.
· Import paperwork as needed for all tasks.
· Process incoming patient referrals.
· Handle mail as needed.
· RX refills and PAs for RX refills for the specialty.
· Performs related job duties as required.
Education and Experience:
· At least one year of customer service and healthcare experience; at least three years for PatientCareCoordinator III.
· Bachelor's degree preferred.
· Experience using electronic medical records, specifically Epic preferred.
· Experience answering a high volume of patient calls.
· Strong verbal and written communication skills, as well as attention to detail.
· Ability to work in Microsoft Outlook, SharePoint & Teams with a strong knowledge base of all three.
· Advanced skill in multi-tasking and ability to prioritize functions based on business need.
· Ability to work with difficult people in challenging, sometimes stressful, situations.
Typical Physical Demands:

Reporting to the Scheduling Supervisor, the Clinic Scheduling Specialist I is a mission critical position responsible for administrative tasks that occur in the Jimmy Fund Clinic including; scheduling appointments in accordance with the scheduling guidelines; liaising among patients/families/providers/leadership; utilizing institutional and technical knowledge to properly triage patient and provider requests.
The CSS role is essential to institute operations, simultaneously working with multiple disease centers, offering exemplary customer service, and managing complex high-volume scheduling tasks while balancing multiple real- time priorities. The PatientCareCoordinator (PCC) is an integral part of the clinical team - they lead the way in creating excellent patient experiences and drive administrative excellence inside the clinic. The PCC greets patients, schedules appointments, collects co-pays, accurately relays insurance benefit information, and provides authorization details to patients. The PCC performs tasks to relieve clinical staff of administrative and clerical duties.
This position is set to start at our Quincy location with the flexibility to become a "float" role.
What You'll Do:
* Retrieves daily messages from the answering machine, updating appropriate schedules to reflect changes.
* Greets and directs patients, vendors and visitors of the clinic.
* Ensures new patients complete appropriate paperwork. Once completed, organizes and adds to patient chart for first appointment.
* Answers multiple line telephone system, obtaining demographic and insurance information from new patients scheduled for an initial evaluation.
* Collects co-payments from patients, clearly documenting payment transactions on a written receipt.
* Responsible for patient appointments and cancellations. Reviews therapist schedules to effectively fill openings through medical records system. Documents pertinent conversations for future reference.
* Assists therapists with faxing patient information to medical offices as requested.
* Maintains a general understanding of insurances, including how to read benefit eligibility.
* Explains benefit details to patients including authorization requirements, copays, and deductibles.
* Initiates appropriate collection activity in accordance with company policies and procedures.
* Negotiates payment terms with customers in accordance with established guidelines to minimize collection agency potential.
* Regularly reviews essential reporting and dashboards to ensure all tasks are completed in a timely manner.
Qualifications:
* High school diploma or general education degree (GED)
* Two to three years of related experience and/or training
* Associate degree in healthcare administration or a related field of study preferred

The partnership is built on a collaboration among five community-based provider agencies: Advocates, Family Continuity, South Middlesex Opportunity Council (SMOC), Spectrum Health Systems, and Wayside Youth and Family Support Network, throughout MetroWest, Central and Northern Massachusetts.
The CareCoordinator will collaboratively coordinate and develop appropriate health care services for individuals who receive Behavioral Health care (“Enrollees”).

Utilize effective, dignified, empowering and creative engagement strategies to ensure Enrollees are at the center and lead in their BHCP services.
