Purpose Statement The Warehouse Coordinator/Admin performs various administrative tasks including managing the process of inbound and outbound trucks and working as a key communications link with the warehouse. This includes the accurate and timely handling of customer orders, recording of materials, products and supplies and communicates with internal and external Key Accountabilities and Outcomes * Maintain a safe, clean, and organized work area in compliance with housekeeping safety and Good Manufacturing Practices (GMP) requirements. * Adhere to GMP guidelines for personal practices regarding hygiene and cleanliness. * Coordinating and reserving daily inbound and outbound truck schedules, work activities and accurately entering data into our Warehouse Management System. * Receiving next-day shipping needs and pre-staging loads as required. * Rearranging work assignments as required by truck schedule changes, production changes, work requirements or other issues. * Recording materials received for finished goods shipped on the daily tally sheets. * Accurately completing tally sheets and turning them in timely * Accurately checking and signing off on team E-Time timecards for both shifts. * Applies all GMPs and safety requirements, both personal hygiene and housekeeping, associated with these tasks. * Identifies problems at his/her assigned work tasks on an on-going basis and determines if solution is within his/her training and knowledge; if so, corrects problem; if not or if not sure, communicates to appropriate person for solution. * Develops and maintains a good working relationship with Warehouse Group Leaders and other managers, team members, and other co-workers. Resolves problems and conflicts in an acceptable manner that shows respect for the other person(s). * Follows plant rules and policies and Company code of ethics in performing job. * Entering orders or requests for raw materials accurately and in a timely manner and printing out the necessary register * Ensuring order registers are picked up by plant order person and product is delivered in a timely fashion. * Ensuring the efficient return of unused raw materials to inventory * Reserving freezer space for the daily plant production in a timely and efficient manner and in accordance with preset guidelines; printing out the production register and distributing as necessary having knowledge of warehouse dumps procedure and handling those not requiring team leader approval. * reserving product for outbound shipments, double-checking for errors or problems, * Performing other functions of the Warehouse Management System as necessary and according to preset guidelines * Follows safety practices and identifies/corrects potential hazards. * Attend and complete any RPC sponsored training. * Learn and participate in required TPM activities including AM models. * Other duties as assigned. College degree preferred; minimum three to five years' administrative experience preferably in a warehouse; or equivalent combination of education and experience. * Ability to follow defined policies, processes, and procedures. * Must have excellent computer skills and experience in extracting and analyzing data using information systems reporting tools such as Excel. * Efficient with all Microsoft Office products. The Warehouse Supervisor is responsible for supervising and coordinating the day-to-day operations of all warehouse activities and procedures, including the dispatching and maintenance of all equipment and materials in order to obtain optimum efficiency, safety, quality and timely implementation of work. Issue, maintain, and track tool and equipment issued to field personnel. Oversee the offloading of all equipment and tools being returned from jobs to the shop. Make sure they are accounted for and returned to inventory. Maintain a master log of all tools and equipment and its location in the field within the warehouse management system (Align/ToolWatch). Maintain and repair tools and equipment as needed. Ensure that all tools and equipment that is returned to the yard has been inspected and ready for service. Keep an inventory of tools and equipment that are in the Foreman trailers. Work closely with Fleet Management on reporting movement, condition, utilization, and requirements of fleet at Norwich location. Work closely with the Safety department regarding equipment safety programs and training. Maintain on file all maintenance and repair records. Keep yard clean and organized. Dispatch delivery vehicles to jobsites, as needed. Make arrangements for any maintenance, registration, or inspection needed with Fleet management. Manage the driver operations, including supervising and instructing as needed. Perform other duties as required or assigned. Qualifications 5 + years of experience working in a warehouse environment; previous supervisory or lead experience preferred; must have mechanical experience to repair tools. Acceptable driving record. Ability to work well with and support internal customers Must know how to operate a fork lift truck; ability to safely operate various power tools. Must have an active CDL A that permits interstate travel. Ability to analyze and interpret technical information, such as repair manuals, parts books, etc. Ability to organize construction assets and account for the cost of maintenance and the location of those assets. Proficient computer skills, including Excel, Word, Access, and e-mail. Experience in Align/ToolWatch (warehouse management system) and Motive (fleet telematics) is a plus. Experience using SAP, RF Next Gen. The Warehouse Supervisor will be responsible for effectively communicating and collaborating with all departments to insure that company policies and decisions are consistent, efficient and in compliance. RESPONSIBILITIES INCLUDE: Initiating and managing his/her departmental hiring, performance management and termination processes in collaboration with senior management to insure consistency, compliance and fairness of actions. Communicating effectively and in a timely manner with internal and external customers to resolve issues as applicable. Assist customers with any questions or issues that they might have. Managing the effective day-to-day operation of outgoing ecommerce orders in a high-volume, fast-paced distribution center. Supervising the performance of the warehouse personnel team members so that business objectives are optimally achieved. Completing the Performance Management process using FMP's system and process for all warehouse personnel on an annual basis Assist GM with monthly safety meetings and safety inspections to insure safe operations at all times. Recommend and conduct disciplinary action with reporting personnel as needed under the guidance of General Manager and Human Resources. Utilize available systems and technology to perform daily tasks using such systems as Ulti-Pro and/or FMP's ordering or inventory systems such as JMO and shipping software. Monitor daily warehouse and delivery volume and expense to insure profitable operations. Train and instruct employees on most efficient means of executing their tasks and manage the new hire process of all new personnel. Ensure all warehouse assignments are completed on a daily basis Perform all additional responsibilities and tasks as assigned by management in a timely manner. KNOWLEDGE, SKILLS & ABILITIES : Must have strong computer skills, proficiency and knowledge. Willing to learn new systems and programs as required.
