The AdministrativeAssistant I provides specialized administrative support for the JEA (Joint Enforcement Agreement) program, including the JEA Supervisor, PST II (Public Safety Technician), and Alaska Wildlife Troopers who perform duties within the JEA. This position performs complex clerical functions requiring independence, judgment, and initiative in determining needs, and in prioritizing and organizing work. The position has working knowledge of and understands the policies, procedures, and agreements between the State of Alaska and NOAA/NMFS (National Oceanic and Atmospheric Administration) (National Marine Fisheries Services) and performs duties that are specialized to the JEA program.

THE WORKING CONDITIONS YOU CAN EXPECT:
This position is in Kodiak at the Department of Public Safety Post. The post is cohabitated by the Division of Alaska State Troopers and the Department of Motor Vehicles and includes a large bay garage, kitchen, and conference room. Minimum Qualifications
Six months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.
OR
Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)
Special Note:
Examples of advanced clerical experience include:
* Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
* Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).

Employees who are hired or rehired to any position shall be placed at the entrance pay step, and advancement from the entrance step to the maximum step within a pay grade shall be by successive steps.

Under the direction of the Purchasing Director, provides advanced level administrative and executive services. Prepares plans, schedules and performs a wide variety of administrative and clerical work for the Department. Processes and monitors Assembly and Information Memorandum through OnBase system. Coordinates and schedules, department meetings. Manages the Purchasing Director's calendar to include scheduling and planning meetings. Monitors and maintains incoming and outgoing projects, correspondence, files, policies and procedures, and confidential employee related matters for the Purchasing Department. Maintains positive and professional working relationships within the Department, the Municipality and the public. Responsible for the procurement of all office equipment and supplies for the Department. Maintains new vehicle titles and retirement of such titles for the MOA (excluding AWWU). Secures all Department related travel arrangements. Develops, monitors, and reviews budget functions; audits, and ensures proper disbursement and/ or return of bid bonds, performance and payment bonds, surplus sale/ auction proceeds. Performs personnel and payroll transactions. Performs as Work Leader for support staff. Provides support to the P Card Administrator as requested.
High school diploma, GED or equivalent and six (6) years of experience in the field related to the position.
OR
Associate's degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and four (4) years of experience in the field related to the position.
OR
Bachelor's degree in Accounting, Business Administration, Computer Information Systems, Finance or similar discipline and two (2) years of experience in the field related to the position.

Evaluates traffic safety issues via data analysis, performance monitoring, and site investigations and regularly updates policy makers, municipal departments, and partnering agencies. Supports implementation of municipal-wide programmatic changes, policy updates, and specific projects (including public safety campaigns and demonstration projects) to improve traffic safety using emerging best practices and adopted professional traffic engineering standards, such as the Manual on Uniform Traffic Control Devices (MUTCD), Institute of Transportation Engineers (ITE) recommended practices, Alaska Traffic Manual (ATM), Alaska Sign Design Specifications (ASDS), National Association of City Transportation Officials (NACTO), etc.
Works with stakeholders to advances traffic safety. Reviews agency investment programs, policies, standards, construction plans, land use development plans, and regional transportation plans for consistency with Vision Zero principles, priorities, plans, and traffic safety standards. Coordinates and initiates collaboration (meetings, action plans, etc.) between Municipal departments, other agencies, law enforcement personnel, and other applicable stakeholders. * Provides visitors with detailed information in the areas of various permits and pass requirements, trip planning, local area information, ecological, and wilderness information.
* Plans, creates, and provides presentations for the interpretive displays regarding forest management, ecology, and natural and cultural history that will be displayed in kiosks throughout the visitor centers.

What You Will Be Doing
This position leads a clerical unit of two Office Assistant 2`s by assigning work, setting task priorities, and evaluating performance. This position has the primary responsibility to provide hard copy case record management and administrative support for the Anchorage Regional Office. Includes independently providing hard copies to other regions and to court agencies as needed. Is independently responsible for complete closed case file management, from initiation of a new case file upon case assignment, to the archiving of closed case files, per current OCS directives. Completes and/or assists in competition of Child Protection (CP) background checks of prospective Adoptive Parents and numerous statewide agencies that provide licensing for day care providers. What You Will Be Doing As the Law Office Assistant 3 for the Nome District Attorney's Office, you will play a critical role in the process of prosecuting violations of criminal law. In this position you will provide advanced level administrative support to attorneys, process legal documents, perform data entry, provide office management, supervise support staff, and perform administrative functions, such as processing financial paperwork, performing human resource needs, making travel arrangements, maintaining equipment, and collaborating with various individuals and outside agencies to accomplish tasks.

The general office hours are 8:00AM to 4:30PM but there is flexibility in establishing your regular hours around core business hours.

Minimum Qualifications
PI01A3 - Law Office Assistant 3
Two years of cumulative experience as a Law Office Assistant with the State of Alaska;
OR
Three years of clerical experience in a law office, or clerical experience that included the regular, proficient use of electronic management information systems and word processing and other standard business software applications and preparing, reviewing, or processing legal documents such as affidavits, court reports, demand letters, discovery requests or responses, entries of appearances, hearing transcripts, memoranda of advice/instruction, motions, legal opinions, subpoenas, and/or writs.
Substitutions:
A bachelor's degree in a legal field of study may substitute for up to 18 months of the required experience.
An associate's degree or specific vocational-technical certification in a legal support career area (e.g., paralegal, Law Office Assistant, legal secretary, or criminal justice) may substitute for one year of clerical experience in a law office.
Vocational-Technical Certification in a business support (e.g., administrative office technology, business and marketing management, entrepreneurship, or office assistance) career area may substitute for up to 6 months of the required experience.
Post-secondary education from an accredited college or university may substitute for up to 6 months of the required experience (2.67 semester hours or 4 quarter hours equal one month).
Special Note (All Levels):
Most positions require incumbents to be able to obtain a Notary Public upon hire, and to be able to pass a criminal background check to meet security requirements for using criminal record networks such as APSIN and National Crim Enforcement Information Center/National Law Enforcement Telecommunications System (NCIC/NLETS). If this requirement is present, it will be stated in the vacancy announcement.
Some positions are required to work regular overtime during the standard workweek, on weekends, and/or holidays to provide support to the assigned duty attorney. If this requirement is present, it will be stated in the vacancy announcement.
