Job Description
Based in the Los Angeles area, the Assistant ProjectManager will report to the ProjectManager(s), or as assigned by the Senior ProjectManager. This person is responsible for the day-to-day projectmanagement of a development. Assisting in overall project planning and scheduling, resource allocation, budgeting and project accounting and control, while providing technical direction and insuring compliance with quality standards. The Assistant ProjectManager's responsibilities span a broad spectrum, covering all the areas of projectmanagement like - Project Planning, Cost Management, Time Management, Quality Management, Budgeting inputs into Yardi, Monthly Reports, Yardi Reports, Project Scheduling, and Contract Administration. We are seeking a detail-oriented and highly analytical Project Administrator to support our construction team in overseeing projects from pre-construction through close-out. Key Responsibilities
Project Planning & Scheduling
Assist in overall project planning, budgeting, and identification of resources needed.
Ensure that development activities move according to predetermined schedule.
Monitor the progress of construction activities or staff assigned to that function on a regular basis.

Provide organized and detailed inputs into Yardi for project agreements, contracts, change orders, and other commitments.
Contract & Document Administration
Organize and manage contract and consulting agreement templates.
Generate contract templates and consolidate invoice documentation leveraging AI-assisted drafting.
Ensure project documents are organized and archived properly in SharePoint.
Maintain strict adherence to ethical standards.
Format proposals, organizational charts, meeting agendas, and internal communications to professional standards.
Reporting & Communication
Create and issue Monthly Reports as needed.
Contribute to the preparation of Investment Committee Decks, as needed.
Communicate and share information consistently with all personnel and subcontractors.
Organize and disseminate monthly reports.
Organize meeting minutes for conformity to our template.
Administrative & Operational Support
Provide administrative support to other departments as directed.
Manage AI transcription services.
Manageproject software licenses.
Organize and manage access for software and hardware components of the project.
Maintain control of project digital storage software and digital archives.
Maintain CRM data integrity and manage calendar coordination.
Organize and update SOPs, knowledge bases, and operational documentation for easy access.

Construction & selected Tenant Improvement Oversight
Support Tenant Improvement management for assigned projects.
Help oversee minor property management tasks related to construction (e.g., signage, temporary facilities, etc.).
Maintain strict adherence to budgetary guidelines, quality, and safety standards.
Maintain project insurance requirements forms and templates.
Collect and manage consultant and contractor insurance certificates to comply with project requirements.
Community Engagement & Site Support
Participate in community outreach and special events as needed.
Travel to and from construction sites or field offices (2-3 days/week may be required).
Public speaking will be required.
Qualifications
Bachelor's Degree preferred and three to ten years' experience in commercial real estate and development is preferred.
Strong math skills; ability to work with percentages, ratios, budgets, and projections.
Mastery of basic real estate terms and concepts such as net leases, gross leases, contracts, rents, percentage rents, operating expenses, capital expenditures, recovery of expenses, construction financing and waterfall structures.
Familiarity with various real estate product classes with an emphasis on residential and retail products.
Expertise in use of Microsoft Excel, Power Point, and other such applications.
Highly organized with strong analytical skills and the capacity to self-motivate and work effectively within a team.
Strong written and verbal communication skills.

Responsibilities
Manage end-to-end execution of turnkey beauty and skincare projects across packaging, formulation, accessories and filling.
Act as the key point of contact for both internal stakeholders and external clients throughout the entire project lifecycle.
Collaborate with the Sales and Product Development teams to translate client needs into actionable project plans with clearly defined goals, timelines, and deliverables.
Source and coordinate with approved formula and packaging suppliers to ensure product compatibility and innovation.
Track development samples, formula submissions, compatibility testing, artwork approvals, and manufacturing timelines.
Drive the approval process for formulas, product standards, artwork, and all customer sign-offs.
Maintain comprehensive project documentation including quotes, specifications, timelines, and updates in project trackers.
Coordinate pricing quotes, cost sheets, and freight estimates with cross-functional teams and clients.
Troubleshoot delays, resolve quality issues, and adjust timelines while maintaining proactive communication with all parties.
Organize and contribute to collection presentations for trade shows, client pitches, and internal strategy meetings.
Stay informed of beauty trends, market shifts, and regulatory guidelines to support innovation and compliance.
Attend customer meetings, trade shows, and product development sessions as needed.
Qualifications:
Bachelor's Degree required; a focus in Marketing, Business, or a related field is preferred.
3-5+ years of experience in ProjectManagement within the beauty or consumer goods industry, specifically with turnkey/full-service experience.
Strong understanding of packaging and product development lifecycle including formulas, filling, testing, and launch.
Excellent organization and time management skills to juggle multiple projects at varying stages of completion.
Ability to anticipate obstacles, identify solutions, and escalate concerns with clarity and professionalism.
Proficiency in Microsoft Office Suite (Outlook, Excel, Word); knowledge of Adobe Illustrator is a plus.

About the Role
We're seeking a highly organized and proactive ProjectManager to support the Marketing team in all marketing deliverables related to product launches and marketing campaigns. This is a projectmanagement position; you will coordinate and update timelines, manage ASANA projects, and drive communication across licensed and hemp channels-ensuring alignment and prioritization of marketing efforts in accordance with new product launches and marketing campaigns. You will report to the Director of Product.
We would also like the ProjectManager to help oversee, update, and maintain the Marketing Budget as we move through the year. You will not be responsible for generating the budget, but rather assisting marketing leadership in regular audits, i.e. budget vs. actual, and making regular updates per marketing leadership to ensure that the budget remains accurate in our systems, and reflects real performance goals.

Key Responsibilities
Projectmanage and track work progress on all marketing deliverables related to product launches and marketing campaigns.

Operate in ASANA to manage the marketing section of all new product launches, and marketing campaigns. Organize, update, and maintain the marketing section of all product launch and campaign boards.
Coordinate key weekly meetings between marketing, product, and operations leaders to ensure prioritization of efforts, including but not limited to: graphic design resources, packaging design, marketing asset development, merchandise etc..
Take detailed meeting notes and track action items.
Maintain shared product tools and trackers (e.g., Asana, Google Sheets, Shared Drives)
Collaborate with marketing and sales teams to support go-to-market activities
Prepare presentation materials for internal updates, product briefings and market reports
Act as a communication hub between product leaders and the marketing team.
Assist in maintenance and coordination of the marketing budget. Work with Marketing leadership to help organize, maintain, and update the budget in accordance with marketing leadership.
Qualifications
Required:
ASANA Foundations Skills Badge & ASANA Workflow Specialist Certification is required for this position. These are offered by ASANA on the ASANA website; completion of these courses will be required prior to your start date.
3-5 years of experience in projectmanagement roles
Strong organizational and multitasking skills with attention to detail
