    CLASSIFICATION/STATUS: Non-Exempt, Full Time, Permanent IMMEDIATE SUPERVISOR: Senior Manager of Patient Accounts SUPERVISORY RESPONSIBILITIES: None PAY BAND: Band 2 ($22.00 - $29.00/hour) WHO YOU ARE: YOUR ROLE & IMPACT As part of a dynamic team at Charles River Community Health (CRCH), a healthcare practice providing comprehensive, integrated, and equitable primary healthcare that matters most to them. The Patient Accounts Representative will play a critical role in the seamless administration of patient accounts. The Patient Accounts Representative will be responsible for following perform charge processing, payment processing, denial posting, insurance claims billing, and payment processing. YOUR RESPONSIBILITIES Process and reconcile 835 files. Reconcile reimbursement checks with claims submitted. Collect and account for cash and other payments received. Follow up on insurance denials and takes appropriate steps to resolve discrepancies. Input insurance billing information processes EOB's, rejections, and re-billings. Understand account adjustments, corrections and write-offs to bad debt and free care and input same into system. Understand set up of accounts receivable system in such areas as insurance carriers, claim forms, and service codes. Inform Patient Accounts Manager or Lead Patient Accounts Representative of issues or changes needed. Run insurance A/R reports and investigate status of outstanding claims. Review and track encounter forms produced from the health center s electronic record system. Approve and post encounter forms into the health center s billing system including service codes, fees, insurance billing information, patient co-payments, and supporting data for the generation of claims to third party payers. Work collaboratively with providers to correct incomplete and/or incorrect service and/or diagnosis codes and ensure electronic record documentation is complete for billing purposes. Prepare and process patient bills and third party claims. Communicate discrepancies and the need for additional information to the appropriate parties. Answer billing questions for patients. Answer staff questions related to more complicated payment and claims processing situations. Maintain patient confidentiality when discussing information regarding patient bills. Work collaboratively with other Health Center staff in meeting JCAHO accreditation and other regulatory and/or funding requirements. Perform other departmental support duties such as telephone answering and filing. Perform other duties, responsibilities, and tasks as assigned or approved by the Patient Accounts Manager or designee. YOUR QUALIFICATIONS, COMPETENCIES, TRAITS High school diploma or GED required; Associate s Degree or certificate program in third party billing preferred, or equivalent work experience. Three years of medical billing experience, preferably in a multi-service of FQHC environment. Understanding of the third party billing cycle and third party payer reimbursement rules, methodologies, and adjudication systems. Demonstrated understanding of and proficiency with the functionality of practice management and billing software systems/applications. Knowledge and experience with EPIC a plus. Demonstrated ability to effectively communicate, collaborate, and problem solve across multiple functional areas and departments. Demonstrated proficiency in using Word and Excel at an intermediate level. Proven commitment to providing patients with exceptional customer service, with dignity, respect, and compassion. To communicate on the telephone in an efficient, pleasant and respectful manner, even during periods of high call volume, in order to assist patients and guests with their meal service selections. A call center operator's average call time will range between 1 1/2 - 2 minutes. 3. To review therapeutic diet orders and modify the patient's order to meet the diet order parameters while attempting to honor the patient's request and be aesthetically pleasing. 4. To speak with the patient, family member(s) or nurse to explain needed modifications regarding meal orders. To communicate changes and if possible find a satisfactory substitution. To assure a nutritionally balanced meal that meets the dietary restrictions of the patient's diet order. 5. Communicate on the phone or in person to patients, staff, and guests according to department scripting policy and procedures. 6. To communicate patient diet order issues to the Call Center Operator Lead, Diet Tech or clinical dietitian when policy mandates. 7. Identify patients who are not able to place an order via telephone or who have not ordered their meal. Interact with patient family and nursing to enter a complete order in Computrition. Facilitates the meal service or communicate via Computrition the reason for refusal. 8. Acts upon patient, family, or staff meal service requests. These requests may include contacting and following through with the clinical dietitian regarding diet order issues or supplement changes, or room service team members to resolve meal service issues or handle special requests. When necessary escalating requests to management 9. Manage patient nourishment, supplement and tube-feeding delivery. 10. Proficient using the Computrition according department policy and procedures and maintains accurate and updated patient information via the electronic diet office system. 11. Manages difficult or emotional situations and responds promptly topatient needs. 12. Pickup diet order sheets from nursing stations and receive verbal diet order changes. Adhere to department policy and procedures when receiving a verbal diet order. 13. For administrative and tracking purposes, monitor, collect and/or record operation specific data. 14. Assist in orientation and on-the-job training of new Call Center Operators and Dietetic Interns. 15.Read hospital email periodically throughout the day to remain up to date on patient and policy and procedures information.
