Position Summary
The Operations and Communications Coordinator (OCC) provides administrative and project-based support to the Executive Director (ED) and the Board of Directors and leads organization-wide marketing efforts.
The OCC is responsible for all email and digital marketing as well as social media management. General office management is the responsibility of the OCC, and other projects may be assigned in support of the organizational mission.
The position reports to the Executive Director. It is a full-time position, Monday through Friday, with the potential for hybrid work. Occasional Saturday and evening work may be required. The role is based at our facility in Roxbury Crossing.
Responsibilities
Executive Support: 40%
Ā· Manage internal calendars, coordinating as necessary to maintain a thorough and complete schedule. Juggle priorities and changes transparently and diplomatically. Ensure necessary information for all appointments, including background and travel details.
Ā· Oversee campus-wide matters that touch both the Co-op and the Reuse Center buildings and ensure smooth organizational communications.
Ā· Assist the management team in tracking projects, priorities, and deadlines, providing forewarning of potential conflicts and time management issues.
Ā· Take and distribute minutes for internal staff meetings.
Ā· Participate in and support the delivery of events, meetings, and other hospitality.
Ā· Conduct research as appropriate to projects or initiatives.
Ā· Other duties as assigned.
Board Support: 10%
Ā· Serve as the principal liaison between the ED and Board members as it relates to the administration of governance matters.
Ā· Coordinate Board and Committee meetings, including preparing meeting agendas, minutes, informational packets, and correspondence. Ensure smooth operation of meeting-related technology.
Ā· Maintain directory of Board and Committee meeting minutes in Sharepoint.
Ā· Facilitate technology setup and coordinates food and beverage for board meetings.
Ā· Support special governance events such as annual meetings, volunteer events, etc.
Communications and Marketing: 40%
Ā· Coordinate creation of flyers, newsletters, press releases, and digital content with interns or volunteers.
Ā· Lead the management of website content updates, ensuring information is accurate and up to date.
Ā· Maintain brand standards across all materials and channels.
Ā· Create, schedule, and post digital content including video, copy, and visuals, to grow BBR's social media presence.
Office Management: 10%
Ā· Manage all aspects of BBR's office administration.
Ā· Ensure office supplies are ordered and maintained, as needed.
Ā· Negotiate vendor contracts for office suppliers, copiers, faxes, and other external services.
Ā· Track and document all service provider invoices, upload receipts to SharePoint and Bill.com.
Ā· Assist in the distribution of mail, as needed.
Qualifications
Ā· Experience in a position with responsibility for direct support of an Executive Officer, Manager, or Administrator.
Ā· Experience with marketing and/or social media management.
Ā· Demonstrated success managing complex projects.
Ā· Ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
Ā· Ability to work independently and as part of a team. Ability to self-motivate and self-manage to meet deadlines.
Ā· Position requires continual attention to detail and excellent proofreading skills.
Ā· Demonstrated high-level of proficiency with technology including the Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Teams, Zoom.
Ā· Flexibility, a positive attitude, and a strong work ethic are required, as is the ability to maintain professional boundaries and the highest level of discretion in handling confidential information.
Ā· Demonstrated ability to work professionally and tactfully, representing BBR with the highest level of integrity, supporting management decisions in a positive and effective manner.
Ā· Experience with Canva, Adobe Creative Suite, or similar is a plus.
Ā· Bilingual in Spanish a plus.
Salary and Benefits

JOB OVERVIEW
Interns work closely with NOVA's digital video team and are expected to have strong research skills and digital video production and editing skills (in Adobe Premiere). Interns learn how NOVA approaches science storytelling from beginning to end. They'll also have dedicated opportunities to learn from NOVA staff about a range of topics including broadcast production, interactive production, media rights and licensing, and audience development.

Job Summary
Spring 2026 Internship: Mass General Brigham Science Writing Intern
Mass General Brigham is looking for a motivated undergraduate or graduate student with a background in and a passion for science who is interested in gaining experience working on a communications team.
The intern will work directly with and support the Director for Research Communications and research communications team to find, assess and write stories about cutting-edge research and innovation across Mass General Brigham. Interns will receive mentorship from experienced science communicators and have opportunities to network with communications professionals across the Mass General Brigham communications team.
The successful candidate will gain experience by working on wide variety of activities including:
* Research, report and write articles to appear in communication publications and e-newsletters (including the Mass General Brigham newsroom and Bench Press blog), covering topics in the basic, translational, clinical and digital sciences.
* Write and contribute to news summaries, research spotlights and press releases on newly published research papers on a range of scientific and medical subjects.
* Interview subject matter experts for stories, Q&As and profiles.
* Join meetings with marketing and communications team members and other groups that support the Mass General Brigham research community.
* Share media and social media coverage of new papers with clinicians and researchers.
* Interns have also had the opportunity to shadow and/or support the media relations team on media interviews and press conferences; attend (virtually or in person) and cover research events; develop content for social media; and contribute to video productions.
* Previous science writing interns have gone on to secure jobs at the Salk Institute, the American Society of Hematology, Boston Children's Hospital, the Alzheimer's Association, Biogen and Brigham and Women's Hospital.
Qualifications
* Pursuing a bachelor's or master's degree or recent graduate within 1-2 years post degree with coursework in health, science writing or science (preferably in the biological sciences) with an interest in writing and/or journalism
* Must possess excellent writing and organizational skills
* Must demonstrate professionalism and willingness to learn
* Familiarity with AP style and/or journalistic writing a plus
* Must demonstrate aptitude for lay-friendly science writing
Schedule:
* 20 hours/week for 10-12 weeks during Spring 2026. Target start date January 2026
* Remote, eastern standard business hours required. Quiet, secure and stable working station is required
