Basic FunctionTo support caregiver and company needs. Process scheduling requests, provide telephone support, and manage special projects and clerical duties. To grow and manage assigned accounts through excellent customer service and attention to detail.
Responsibilities
Schedule caregivers with clients and communicate changes and updates to all necessary parties.
Collect and input pertinent client information in order to most efficiently match and deploy caregivers.
Enter new Clients in Generations as needed.
Provide assistance to team members as needed and respond urgently to last minute call outs.
Coordinate communication with caregivers among team members.
Update Caregiver availability and information and communicate appropriately to team. Work with caregiver to create optimum schedules.
Call Caregivers on Alerts, investigate why late, document, and notify manager as needed
Act as liaison between clients, direct care workers and management.
Manage and grow assigned Client Accounts and participate in Quality Improvement.
Work with management to ensure compliance with all company policies and procedures.
Problem solving and direct escalated issues to management
To organize schedules in coordination with the needs of clients and caregivers and perform diversified clerical duties.
Maintain and update employee attendance records as needed.
Participate in confirming and verifying Telephony daily, note and escalate repeat offenders to manager.
Participate in On-call rotation weekly and Weekends
Cover shifts with clients when needed.
Double check schedule accuracy for payroll and billing by deadlines.
Perform other related duties as assigned.
Job Requirements
1. Strong analytical, detail-orientation, organizational, and problem-solving skills
2. Strong written and verbal communication skills, be able to manage multiple projects with deadlines, prioritize and re-prioritize and multi-task.

Continuously monitors the structural integrity of the ECMO circuit.
Monitors relevant lab values and recommends adjustments as needed. Monitors the circuit for thrombosis
Flexibility in scheduling is required, adjusts schedule in order to support ECMO cases. Assumes responsibilities with other ECMO team specialists to coordinate in-house and on-call schedules.
Assists in data collection, quality improvement initiatives and research activities related to ECMO.
Successfully completes mandatory ECMO training, exams and competency within the required time frame.
Required to attend ECMO team meetings, case debriefings, simulations and other formal ECMO Team activities. Attendance at 75% of these relevant activities is expected.
Expected to attend water drills and simulations held 6x/year.
Travel will be required for initial ECMO training and re-training within identified time frames.
Performs other duties and works on special projects as assigned.

Purpose:
The overall goal of this position is to assist in ensuring the clinical schedules are compliant with agency policy and protocols as well as state and federal regulations.
Tasks/Duties & Job Responsibilities:
Provide a team approach to building Optimal's reputation of quality service, dependability, and ownership of delivering great care to our patients, sources, and staff.
Read and respond professionally to emails and phone calls in a timely and effective manner.
Receive inbound phone calls and address such questions/needs in a professional, timely, and comprehensive manner.
Check and read Admission Order daily (preferably every morning) and schedules the frequency provided by admitting nurse.
Check the Patient Profile Report to see if patient is on pre-admit status (every 15-30 minutes throughout the day) and then schedule the Start of Care (SOC).
Check and read the Communications & Physicians Order and schedules as necessary.
Check MD Orders that are uploaded into the patient charts and schedules accordingly.
Checks Missed Visit report and re-schedules patients as necessary.
Perform scheduling review to patient's files which will identify deficiencies in charts and help to identify any areas of concern to be addressed.
Assist field staff in ensuring clinical schedule(s) are correct.
Attend meetings (Monthly Administrative Meetings, Weekly Team Meetings, stand-up meetings, etc.) as requested by the Scheduling Supervisor and prepares data for such meetings as required.
Prepare daily, weekly, and other reports as necessary and as requested by leadership.
Support other departments by answering questions and providing expertise to these duties listed.
Provide feedback and recommendations to the Scheduling Supervisor to improve effectiveness and efficiency of processes and delivery of care & customer service.
May assist in the training and on-boarding of new and/or transferring employees.
Qualifications
Education: High School Diploma or G.E.D. required and bachelor's degree from an accredited college or university preferred
Experience: One year of computer and general office duty skills required; specifically, with Excel experience. One year of scheduling experience in a Home Health Care setting.
Effective with both written and verbal communication
Strong organizational skills and a detailed orientation
Possess adequate and effective interpersonal skills
Physically capable to perform basic office type duties
