The Front Desk Representative is the first line of contact for members and guests. They deliver the Ultimate Service Promise by providing superior customer service while assisting members with purchases and directing membership inquiries.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Front Desk Customer Service
Warmly greets members and guests as they enter and leave the club.
Answers incoming calls in a professional and efficient manner and transfers phone calls promptly and to the right department or individuals.
Checks in members and verifies membership; signs up members for group fit or ultimate classes.
Registers prospective members and directs them to the membership department.
Addresses members questions or direct them to the appropriate individual for better assistance.
Sells supplements, apparel and other UFC GYM retail items to members.
Rings up purchases on the POS system and provides accurate change.
Maintains a professional image and behavior at all times- avoids eating, sitting, reading, internet surfing, using a personal cell phone or other activities which are not work related.
Responds professionally to requests and inquiries from guests, members, and staff.
Provides information to members regarding special club events.
Immediately reports or escalates to management any unsafe conditions or emergency situations.
Administrative
Keeps front desk and lobby neat and clean at all times.
Performs opening and closing procedures for the front desk, as assigned.
Attends monthly meetings or other scheduled meetings.
Assist with inventory or product pricing, as needed.
Calls all past due members regarding late dues and down payments.
ORGANIZATION RELATIONSHIPS: The Front Desk Representative reports to the Front Desk Lead and Operations Manager. This position may interact with all levels of management and staff within Corporate and Field offices, in the clubs, and within the Front Desk Representative team.
REQUIRED QUALIFICATIONS:
1) Knowledge, skills & abilities:
Must be energetic and possess a very friendly, outgoing personality and positive attitude
Possess strong interpersonal and communication skills, including telephone etiquette
Possess a strong customer service focus
Understands and follows oral and written instructions
Able to multi-task and perform tasks with accuracy and attention to detail
Must be a team player and possess a can-do attitude
Adhere to meal and rest break periods and must clock in and out for all shift times
2) Minimum certifications/educational level:
High school diploma or GED required.
Current CPR/AED certification
3) Minimum experience:
Must have 6 months customer service experience in health club, retail, hospitality or food service industry
Experience with multiple phone lines preferred
Basic computer skills
Sales experience preferred but not required
4) Physical Requirements:
Required to stand, reach with hands and arms, stoop, kneel, crouch, or crawl
Occasionally lift and/or move up to 25 pounds
Ability to stand and remain on your feet for a full shift

Position Summary
Performs a variety of front desk activities (answering phones/greeting patients) that support the Center and professional staff and performs a variety of essential services (checking-in, checking-out, etc.) as directed or requested by Practice Manager.
Duties and Responsibilities
The duties include, but are not limited to:
Assist with/complete all Front Desk operations and the use of the Practice Management system to ensure efficient patient registration and check out processes.
Greeting patients and verifying/inputting demographic information into Practice management system.
Collecting and inputting all valid licenses and insurance information.
Collecting and posting all co-payments and payments made at time of service.
Maintaining/organizing patient documents/files
Answering phones, scheduling appointments, taking messages
Reconciling co-pays and time of service payments collected daily
Filing/labeling/sending outbound and inbound faxes
Maintain confidentiality and use discretion when handling patient's medical records and information.
May perform charge entry process.
Completing referrals for a specialist
Prior authorization requests from patients and/or providers
Filing any/all paper
Rooming patients when checked in and provider is ready to treat the patient
Performs miscellaneous job-related duties as assigned {keep this for all}
Qualifications or Education, Training and Experience
High School graduate or equivalent. Computer literacy required.
1-2 years of previous customer service/data entry, administrative/office management/clerical experience required.
Experience of working in the health or other public sector organization helpful, but not necessary.

Front Desk Receptionist Responsibilities:
Answer incoming calls on a multi-line telephone system with professionalism and efficiency
Schedule and confirm patient appointments
Transfer calls and take accurate messages according to office procedures
Greet patients and visitors and notify the appropriate team member of their arrival
Collect and post co-pays and communicate outstanding balances
Check patients out and follow proper check-out protocols
Notify the doctor when a patient cancels
Type correspondence and office memos as directed
Transcribe visit details into medical reports
Prepare charts, gather necessary paperwork, and print daily appointment schedules

Responsibilities of Front Desk Staff Member
⦁ Greeting and checking in members as they come in.
⦁ Resolving member issues in an effective manner.
⦁ Membership sales and retention.
⦁ Following up with prospects.
⦁ Selling in-store merchandise such as Retro Blends Smoothies, Cooler Drinks, Pro Shop items, etc.
⦁ Ensuring a safe and clean environment for all members and staff.
⦁ Applicable downtime tasks provided by Management may include upkeep & walk throughs of facility.
⦁ Opening and closing the facility if scheduled.
⦁ Following company policies and procedures.
All Front Desk employees are to wear company staff shirt along with either Khaki pants or black athletic pants. Sneakers must always be worn. No boots, heals, or open toe shoes or sandals. Front Desk staff should always be well groomed and neat. Opening shift employees are required to be inside the facility 15 minutes prior to scheduled opening time ensuring all items on the Opening Checklist are performed before members arrive. Closing employees are to close the facility at the established time. Employees are not to count money until all members have left the Retro Fitness outlet and the doors have been locked.

POSITION SUMMARY:
The Front Desk Receptionist reports to the Facilities Manager. The position is responsible for answering incoming telephone calls and forwarding those calls to the appropriate destination. Responsible for monitoring the entrance and exit of visitors, parents, families, vendors, etc. and maintaining the sign-in sheet. Will maintain awareness of the presence of management personnel. Thorough knowledge of facility policies and procedures, including safety policies and procedures is required. Will perform other duties as assigned.
POSITION QUALIFICATIONS:
High School Diploma
A minimum of two years' experience in hospital or business environment.
Articulate, tactful and able to deal with people in a pleasing, professional manner.
Ability to multi-task.
Possess good customer service skills
Computer literate
Must have good telephone skills and the ability to communicate effectively.
