Our capabilities include five linear accelerator vaults, a brachytherapy vault, an advanced diagnostic imaging suite with PET/CT scan, more than 70 infusion bays, a cryopreservation lab and much more. Our inpatient medical oncology unit also incorporates a program that utilizes the electronic surveillance partnership in caring for the patient, where remote nurses have the ability to interact with patients via two-way audio-video to assist the bedside nurse with patient care.
POSITION SUMMARY
This position is responsible for scheduling across the campus for physicians, medical facilities, and specialized medical practices by coordinating all aspects of scheduling including, but not limited to, appointments for physicians across the campus, surgical procedures, diagnostic tests, pain management, and other specialized tests and treatment as directed by physicians to ensure an exceptional customer experience at each point of service. Using a broad understanding of customer engagement strategies, clinical procedures, and company facilities, this position provides accurate and timely information to create an integrated, multidisciplinary schedule and an experience that is easy, empathetic, and differentiated in the oncology marketplace.
CORE FUNCTIONS
1. Schedules medical appointments through coordination of patients, providers, facility resources, ancillary staff, records, referrals, authorizations, and payers. Receives and initiates calls to/from patients, providers, provider offices and facilities, while following all established scheduling procedures and protocols to ensure patients receive the care they need, when and where they need it.
2. Receives physician's orders and effectively schedules and reschedules appointments, tests, and/or procedures leveraging various electronic medical record/scheduling software systems according to protocols established by clinical staff and scheduling standards. Identifies alternative scheduled solutions in the event the patient's preference is not available, while adhering to procedures and protocols and ensuring patient safety.
3. Provides patients with information, pre and post-test instruction, provides location of appointment and directions. The position answers questions as necessary within guidelines and protocols. Refers questions to clinical staff as appropriate.
4. Effectively communicates and builds impactful relationships through written, digital, and verbal channels with patients, facilities, providers, and clinical colleagues to ensure an easy, empathetic, solution-oriented patient experience, included but not limited to, phone, chat, email, electronic medical record messaging, and other digital channels. Anticipates patient and provider needs and responds accordingly.
MINIMUM QUALIFICATIONS
High school diploma/GED or equivalent working knowledge.
The position requires skills normally gained with two years of scheduling experience in a physician's office or hospital. Medical terminology may be required for some assignments. Must possess excellent communication, organizational and problem-solving skills.
Must be proficient with commonly used office software and have the ability to use software typically used for medical practice management and scheduling.
PREFERRED QUALIFICATIONS
Knowledge of ICD-9, CPT, and HCPCS coding is strongly preferred. Sound working knowledge of various types of insurance plans and/or worker's compensation preferred. Bi-lingual in Spanish may be preferred for some assignments.
Additional related education and/or experience preferred.

General Summary:

Processes all referral requests by physicians and patients within a timely manner and according to clinic procedure.
Notifies clinical personnel of patient arrival.
Maintains entry log of incoming visitors.
Processes and delivers departmental mail.
Processes and maintains medical records in accordance with records protocols.
Discharges each patient via established policies, including charge entry for current visit if appropriate, scheduling of future appointments, facilitation of ancillary procedures as necessary, and provides for the patient a receipt for services rendered.

Job Description
The transitional clinic oversees several practices that work to assist pts receive care in the right setting.
Under the supervision of the director, assists in clerical support functions, maintains departmental records and files, prepares documents and correspondence, organizes inventory of office supplies and forms, and designs forms, graphs, etc. Assists with chart documentation. Assists with patient scheduling, registration and insurance.
Assists physician or clinical staff with all facets of preparing for patient visits or processing post visit documentation. Assures completion of Consent to Treat, HIPAA and other forms as appropriate.
Responds to telephone inquiries from patients, physician offices and payers in an accurate and courteous manner.
Confirms appointments, explains any pre-visit instructions as directed by the MD, RN, or NP. Ensures appropriate patient information, labs, and testing are obtained for Center visits. Facilitates physician orders for testing, works with Schedule First to schedule tests ordered by the physician(s) or NP.
Establishes and maintains a good rapport with patients, families, visitors and referral sources, assists with phone calls; monitors patients in waiting area to ensure maximal comfort and safety.
Facilitates communication with patients and referral sources regarding the services.
Mails communication to patients and referral sources including but not limited to appointment letters, introductory letters, pre-visit assessments, etc.
Performs pre-registration & registration functions accurately and efficiently to reduce errors for billing, medical records, and other subsystems that use this data. Takes responsibility for making corrections to accounts when appropriate.
Obtains, completes and follows up on all necessary paper work in an accurate and timely manner. Maintains Center records and files, scans documentation into patient records.
Performs patient check-out and arranges schedules any necessary testing and appointments, assures patient has needed scripts for testing, and transcribes any orders that have been written by providers in the EMR or paper chart.
Informs patients of financial obligation when appropriate.
Informs supervisor on a daily basis of any problems resolved or needing immediate attention to keep system running smoothly and to avoid errors.
Monitors supply inventory in the area and orders front office supplies.
Assists with tracking patients who have not kept appointments by calling patients and rescheduling as appropriate.
Maintains neatness of office and waiting area.
Maintains high personal standards for customer satisfaction, productivity, learning, cooperation, responsiveness, communication and optimism.
Participates in performance improvement/Culture of Excellence activities to improve service and interdepartmental communications.
Performs other duties as assigned.
Skills & Abilities:
Handle multiple tasks simultaneously
Communicate effectively with patients, medical staff and team members
Adapt hours of availability to variable and changing needs of the Center
Maintain confidentiality with patients and team member information
Communicate effectively, orally and in writing
Answer phones
Work independently and take initiative in achieving Center's goals.
Demonstrated skills in:
computer literacy to include word processing, database and spreadsheets in Microsoft Office Professional software;
customer service;
attention to detail with follow-through; and
strong organizational skills.
Qualifications
Work Orientation & Experience:
2-3 years' experience in a medical office or related setting with computer experience; general knowledge of medical terminology.
EMR (EPIC) experience preferred.
Education & Training:
High school diploma or equivalency.
AA degree in Business or healthcare administration preferred.
