This is a state-funded position sponsored by the Texas Child Mental Health Care Consortium (TCMHCC). TCMHCC was created by the 86th Texas Legislature to leverage the expertise and capacity of the health-related institutions of higher education to address urgent mental health challenges and improve the mental health care system in this state in relation to children, adolescents, and perinatal women. The University of Texas Dell Medical School is a Health Related Institution (HRI) for the TCMHCC.
The SeniorAdministrativeAssociate will work as part of the External Relations and Education Team that supports all Dell Medical School Texas Child Mental Health programs, including the Perinatal Psychiatry Access Network (PeriPAN) and Child Psychiatry Access Network (CPAN), Texas Child Health Access Through Telemedicine (TCHATT), Youth Aware of Mental Health (YAM), and other related mental health programs. CPAN and PeriPAN provide primary care clinic providers and OBGYNs prompt access to on-call psychiatrists for expertise in assessment, treatment, and referrals for pediatric and/or perinatal patients with a mental health challenge. TCHATT provides telemedicine or telehealth services to school districts to help identify and assess the behavioral health needs of children and adolescents and provide access to mental health services. YAM is a school-based program for students in eighth through 12th grades to learn about and explore mental health.
This position has an end date of 8/31/2026 but may be renewable based on funding availability, work performance, and progress toward goals. Funding is expected to continue. A flexible working arrangement may be accommodated based on program needs and with supervisor approval. This position may require occasional on-site work. Remote work will require reliable internet access and a private, distraction-free workspace.
Purpose
The SeniorAdministrativeAssociate will support CPAN, PeriPAN, TCHATT, YAM, and other related mental health programs with meeting and event management, patient referrals, communications, promotional supply inventory, data documentation, and other administrative duties. This role will support the External Relations and Education Team to increase the visibility and impact of these programs in accordance with statewide goals.
Responsibilities
Support scheduling of virtual and on-site meetings, webinars, and outreach events with school districts and/or community organizations.
Assist with calendar management for outreach-related events, workshops, and meetings.
Manage email correspondence for outreach and program activities.
Create agendas and arrange logistical details for meetings and events.
Organize receipts and documentation required for reimbursement.
Determine appropriate referrals based on the patient's clinical background.
Enhance and maintain a database of community providers who accept referrals from TCHATT, CPAN, and PeriPAN.
Maintain updated referral records.
Track patient referrals across programs.
Use the Electronic Medical Record to communicate referral information to the team.
Develop and maintain program materials such as FAQs, charts, graphics, reports, dashboards, websites, workflows, and instructions.
Maintain accurate and professional correspondence logs, files, databases, and other tracking systems.
Schedule time for communications and document review.
Participate in activities that support an organizational culture of learning, collaboration, and collective responsibility.
Assist with staff hiring, onboarding, and offboarding processes.
Maintain current inventory records for paper and promotional supplies.
Develop estimates for supply needs.
Organize purchase requests.
Coordinate purchase orders.
Assist in data entry and data collection for program monitoring and evaluation.
Maintain accurate and timely data documentation for reporting, auditing, and continuous improvement.
Support alignment with legislative mandates and institutional goals.
Perform other duties and special projects as assigned.
Required Qualifications
Bachelor's degree and three years of experience in administrative support, operational support, or customer service; or a high school diploma/GED with seven years of experience
Experience working in a medical, mental health, educational, or related setting
Excellent communication skills
Basic proficiency with Microsoft Office programs (Excel, PowerPoint, Word, Outlook, Visio, etc.)
Relevant education and experience may be substituted as appropriate
Preferred Qualifications
Bachelor's degree and more than five years of experience providing high-quality administrative or operational support in a medical, mental health, or education setting
Experience with Google Suite products

Purpose
This position will provide high-level administrative and transactional support to the Department of Educational Leadership and Policy, which includes the Education Research Center, with a customer service emphasis as a staff team member in a large academic department. Ensure consistent application of all departmental, University, and UT systems policies and procedures.
Responsibilities
* Procurement, Purchasing, & Payments: Responsible for Department and ERC purchasing, procurement, and payments, researcher access fees. Order and process Department-related expenses in a timely manner. Serve as the Department's ProCard holder. Request, collect, and upload receipts to UT Box for reconciliation. Responsible for creating payment vouchers (VP1, VP2, and VPE documents). Process Official Occasion Expense Forms as appropriate. Serve as department representative for contract processing in ContractsPlus. Travel: Serve as the Department's coordinator for faculty, student, and visitor travel and ERC faculty and staff. Create VE5 documents in DEFINE prior to travel and create VP5 travel reimbursement documents. Work with the Accountant to ensure accurate processing.
* Document and Request Management: Review, evaluate, and prepare incoming documents and ensure proper routing prepare transmittal documents, set up documents for signature complete file set-up and data entry create project status reports, and perform follow-up. Manage FERPA review requests. Manage proposal, extension, and amendment submissions, and researcher onboarding and project and researcher closeouts. Track and document data files each researcher is allowed to access. Routed researcher documents needing signatures through DocuSign. Coordinate with COE HR for any HR needs.
* Website, Audit & Inventory: Update documents on the ERC website and send to the IT Coordinator to update the website. Monitor website for accuracy. Annual downloads from the state agency websites. Provide all necessary/requested documentation for the yearly audit. Maintain the ERC equipment inventory database. Track ERC assets, including WORQ Space reports, computer equipment inventory, and computer replacement schedule. * Scheduling: Add researchers to the Google Calendar VM use. Keep track of training requirements and expiration, IRB dates, and project expiration. Track when payments need to be invoiced. Schedule FERPA reviews and by what date the reviews need to be completed.
* Events Coordination: Assist in the coordination of events and meetings and logistics for department meetings and events (including new student orientation, semester receptions, retirement receptions, guest lectures, faculty recruiting, etc.). * Room Reservations: Responsible for assisting individuals with reserving ELP classrooms for non-class-related events. Front Office: Serve as the first point of contact for ELP visitors when work study staff is not present. Required Qualifications
Bachelor's degree and five years of experience at the AdministrativeAssociate level, or
high school graduation or GED, and five years of clerical experience, including one year

Purpose
Serves as the primary customer service, financial, and administrative point of contact for the unit and stakeholders within and outside the University.

Purpose
The Office of the Executive Vice President and Provost (EVPP) partners with the campus to ensure all students succeed and thrive, faculty and staff are supported in their research and scholarship and the campus community has the support it needs as a world-class public research university. This position will serve as the SeniorAdministrativeAssociate for the Office of the EVPP, providing front reception coverage, high-level administrative support to the office and the Assistant to the EVPP, and serving as back-up to the Assistant to the EVPP as needed.
Responsibilities
Operations Support (35%)
* Manage coverage of EVPP reception area, greet visitors with a friendly and professional demeanor, and ensure lobby appearance is clean and well maintained.
* Answer EVPP office main phone line and direct inquiries as appropriate with a friendly and professional demeanor.
* Ensure office supply inventories are stocked and organized; place administrative orders (office supplies, catering, refreshment vendor, water vendor and toner for copiers).
* Prepare electronic documents, official occasions, required for purchase of goods and services for EVPP office. Coordinate with the Business Affairs team to initiate and complete financial processes.
* Acts as point of contact for facilities on behalf of EVPP office for any issues within the suite or building using a proactive mindset.
* Process mailing, shipping, and reconciliation documents.
* Deliver, pick-up, and distribute internal mail and packages for the EVPP office.
* Support EVPP guests with parking permits and questions.
* Execute routine housekeeping tasks, including kitchen clean-up, emptying bins, refilling paper in copiers, etc.
* Collaborate with the Operations Manager to ensure all operations are within office standards, and compliance.
Administrative Support (35%)
* Screen and control flow of incoming communications and visitors to the EVPP staff and take appropriate action on messages, meeting requests, etc.
* Provide administrative support to the Assistant to the EVPP with the EVPP's daily calendar schedule and appearance materials.
* Provide administrative and calendar management support to the Chief of Staff.
* Provide back-up calendar management support to the Assistant to the EVPP and Senior Vice Provosts.
* Manage various EVPP email inboxes and respond to and/or route emails as appropriate in a timely manner while ensuring excellent customer service.
* Coordinate administrative and logistical support of meetings and events for EVPP office.
Event Management and Special Projects (15%)
* Manage EVPP office conference room calendars and act as point of contact for conference room technology; ensure meeting rooms are stocked, clean, and set.
* Prepare and set refreshments for meetings when requested.
* Event planning support for events organized by the EVPP. Coordinate with units across campus during planning, arranging, and implementation of programs, events, and initiatives.
* Plan, coordinate, and execute creative team building and team culture activities.
Supervise Student Associates (10%)
* Provide assistance to the Assistant to the EVPP with the supervision of Student Associates by providing guidance, tracking tasks, and help to ensure submission of weekly timesheets.
* Help the Assistant to the EVPP hire, onboard, and train new Student Associates each semester ensuring front desk coverage.

Responsibilities
Financial Support: Process purchases and all payment transactions for STEMx and associated activities. Course & Event Logistics: Organize and support events and meetings from planning through day-of execution, including consultations with event owners, space reservations, catering, advertising, RSVPs, procurement, and contract processing. Coordinate faculty, student, and guest travel for programs. Support professional development courses, including scheduling, reserving classrooms, hiring and onboarding undergraduate course assistants, and logistics for course development committees.
Digital & Office Organization: Support document organization and access using campus-supported technologies, such as M365 (including SharePoint), Canvas, and UT Box. Track enrollment and participation in courses, events, and programs. Support the collection and organization of data to demonstrate program impact. Serve as the point of contact for office logistics (e.g., facilities, IT, supplies, keys, shipping/receiving). Procure office supplies. Adhere to established SOPs and develop internal processes when needed for consistency and efficiency.
Communication: Maintain cross-campus contact lists for all STEMx programs. Liaise with administrators in other CNS offices and departments to facilitate STEMx needs. Facilitate resource production by proofreading drafts and obtaining approvals. Organize information for STEMx newsletters, website updates, and annual reports. Engage regularly with the STEMx Assistant Dean and, as needed, with STEMx Faculty Directors.
Team Engagement: Participate in team meetings, events, special projects, communications, and day-to-day operations of the STEMx office. Supervise student workers as needed, providing mentorship and training. Other duties as assigned, including supporting special projects and staffing events within CNS.
Required Qualifications
Bachelor's degree and three years of administrative experience
Strong knowledge of budget tracking, purchasing, and financial reconciliation, with proven ability to ensure accuracy, accountability, and fiscal responsibility
Excellent organizational, communication, and problem-solving skills, with the capacity to work independently, balance multiple priorities, and exercise sound judgment
Demonstrated reliability, including consistent follow-through and timely completion of tasks.

Purpose
To support the growing needs of the Department of Air and Space Force Science programs at the University of Texas.
Responsibilities
* Assist the chair/ROTC Commander: compose and review correspondence; prepare reports; schedule meetings; advise on University policies and procedures.

Purpose

Required Qualifications

This position is part-time at 25 hours per week.
Purpose
Serve as a SeniorAdministrativeAssociate for the Institute for Geophysics. Provide support in the areas of facilities management and procurement.
Responsibilities
Serve as the ROC Building Manager and Space Coordinator.
• Monitor the appearance and condition of the Research Office Complex (ROC) building, shared spaces, and grounds, and coordinate maintenance services through UT Facilities
• Process maintenance requests in the UT Works system
• Manage annual space usage reporting and support related audits
• Serve as the Institute EHS Coordinator and Fire Warden, coordinating safety and emergency coordinator tasks, permitting requirements, and materials disposal
• Coordinate building access via issuance of physical keys and management of the electronic keyless entry/access system (BACS/Genetec)
• Coordinate and conduct movement of equipment, furniture, furnishings, etc., including office moves and property surplus activities.
Conduct facilities and procurement activities in support of research, administration, and events, to include:
• Serve as departmental procurement card holder
• Process procurements via Amazon.com, UT Market, HEB.com, and other platforms as appropriate
• Monitor and coordinate the replenishment of common office supplies and materials in the mail room, kitchen, and other common areas
• Manage event site reservation and preparation, including signage and permitting

Purpose
To provide advance administrative skills in the daily operations of the Department of Civil, Architectural and Environmental Engineering. Provide a high level of customer service support for CAEE faculty students, and staff.
Responsibilities
Front Office:
* First point of contact for CAEE visitors. Answer department main line and direct calls to other offices or staff, greet the public. Provide information and resources to faculty, students, staff, and guests. Distribute and order parking passes for official visitors.

Purpose

Responsibilities
Assists with the billing and reporting processes for federal, state, and private grants. Gathers backup documentation. Supports billing staff by submitting completed invoices to the sponsors per contracted terms. Collaborates with the billers to outline billing terms and financial deliverable tracking.
Provides support to the OSP leadership with sponsor portal maintenance and invoice submission. Follows up on submission confirmations and address any errors or issues under the guidance of the billers.

Purpose
Assist Bipolar Disorder Clinic research by conducting appointments to gather required documents and paperwork, creating and updating patient charts, scheduling telehealth appointments for patients in an electronic health record system, and performing other related duties.
Responsibilities
Support research endeavors as a valued part of our team.
Serve as the main point of contact for individuals with bipolar disorder. Follow up with bipolar individuals to ensure their issues are resolved to their satisfaction.
Provide exceptional support to clients via phone, email, and chat.
Assist with data entry and database management. Assists with updating electronic health records (EHR).
Maintain accurate records of client interactions and transactions.
Offer guidance and support in navigating our research studies and clinical services. Follow up with clients to ensure their issues are resolved to their satisfaction.
Collaborate with other team members to address complex issues and improve research and service quality. Contribute to creating and updating support documentation and FAQs.
Stay informed about research and services and updates to offer the most relevant support. Maintain positive relationships with other departments. Develops and maintains working relationships with behavioral health providers in the community.
Prepares patients for examinations and treatments. Records patient medical histories and vital signs.
Participate in departmental meetings, continuing education opportunities, and academic and research opportunities to optimize patient best practice and interdepartmental collaboration. Other duties as assigned.
Required Qualifications
Bachelor's degree and one year of clerical experience at the Administrative Assistant level in a medical or mental health setting or high school graduation or GED, and five years of clerical experience in a medical or mental health setting, including one year of experience at the Administrative Assistant level.
One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required.
Capable of documenting patient communication and clinical chart notes accurately and appropriately.
Demonstrate the ability to communicate and collaborate effectively with various other health care professionals (i.e., physicians, psychologists, social workers, care coordinators).
Exceptional customer service skills and phone etiquette.
Ability to anticipate needs and follow through with internal and external customers.
Ability to follow directions.
Ability to communicate effectively in a clear, understandable, and professional manner with patients and healthcare professionals, including the ability to explain registration policies and procedures.
Sound judgment in decision-making.
Ability to maintain regular, reliable, and punctual attendance.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Experience with data entry into electronic health record systems.
Experience as a medical assistant.
Two or more years of clerical experience at the Administrative Assistant level in a medical or mental health setting
Proficient with at least one (1) virtual meeting system (eg, Zoom).
Proficient with at least one (1) data collection system (eg RedCap)
Proficient in at least one electronic medical records system (eg Epic)
Can administer medications and treatments under supervision.
Can perform EKGs.
Knowledge of products, services, and best practices related to mental health service delivery via telehealth.
Knowledge of HIPAA and FERPA regulations related to student services and mental health.
Basic Life Support (BLS) certification.
Phlebotomy certification.
Bilingual in English and Spanish is strongly preferred.
Salary Range
