Summary
The Mail Services Associate is responsible for managing all incoming and outgoing mail operations, ensuring accurate processing, timely distribution, and exceptional customer service. This role requires strong organizational skills, attention to detail, and the ability to work independently while supporting a dynamic corporate environment.
Responsibilities
* Manage all incoming and outgoing mail, packages, and office supplies; ensure all accountable items are tracked and signed for.
* Conduct timely mail sweeps across multiple floors.
* Prepare mail and packages with correct postage and tracking; ensure international shipments include proper documentation and commercial invoices.
* Research and resolve issues related to undeliverable or unknown mail recipients.
* Scan and route mail to recipients when required.
* Respond promptly and professionally to customer inquiries and service requests.
* Maintain inventory and restock supply stations regularly.
* Keep accurate logs of all inbound and outbound mail and packages.
* Inspect workspace areas and identify items or equipment needing repair or replacement.
* Communicate effectively and professionally via in-person interactions, email, chat, and phone.
* Deliver exceptional customer service at all times.
* Perform additional duties as assigned by management.
Qualifications
* High school diploma or equivalent.
* Working knowledge of mail/distribution operations or equivalent office experience.
* Proficiency with Microsoft Word, Excel, Outlook, and Teams.
* Strong customer service and interpersonal skills; able to adapt in a fast-paced environment.
* Quick learner with the ability to pick up new skills rapidly.
* Flexible and comfortable managing multiple or competing priorities.
* Strong initiative; able to work independently with minimal supervision.
* Professional, diplomatic, and team-oriented.
* Excellent verbal and written communication skills.
* Ability to maintain confidentiality when handling sensitive materials.
* Ability to walk, bend, kneel, stand, or sit for extended periods.
* Ability to lift or move 50 lbs or more.
