New York Institute of Technology- College of Arts & Science is seeking a part-time temporary AdministrativeAssistant to work 10 hours a week to support the Math & Physics department at the Long Island campus.
Responsibilities
* Student Support:Assist students who visit in person with questions about locating classrooms or instructors, adding or withdrawing from sections, and other academic matters. Direct students to the appropriate person or office (e.g., course instructor, department chair, or Math Resource Center). In urgent cases, contact the Chair via email or text message.
* Instructor and Student Communication:Assist with any queries from instructors and students using the appropriate form of communication as required.
* Faculty Assistance:Support faculty with photocopying requests and provide short-term coverage during exam proctoring when needed.
* Common Final Exam Preparation:Coordinate all tasks related to setting up common finals at the Old Westbury campus.
* Prepare an enrollment chart for each faculty member to assist in room assignments.
* Ensure exam rooms are properly arranged with the correct number of chairs.
* On the day of the exam, verify that each room is ready and in order.
* Xerox and securely store common final exams until faculty collect them.
* Department Communications and Events:Help promote departmental events by posting flyers and notices near Mathematics and Physics offices.
* Supplies and Equipment:Maintain availability of classroom supplies such as whiteboard markers and erasers. Monitor supply levels and coordinate with the secretary for timely reordering.Manage routine maintenance of the shared Xerox machine (used by both Physics and Math faculty), including replacing staples and toner cartridges. When breakdowns occur, submit work orders and assist technicians to ensure timely resolution.
* Emergency and Contingency Support:Provide on-site assistance in emergencies. For example, if a faculty member is absent or delayed, post notices to inform students as needed.

Position Summary

Minimum Qualifications
High School Diploma or its equivalent required. A maximum of three years related financial experience or the equivalent combination of education and experience required.
Bachelor's degree in Accounting or Finance preferred and two to four years of financial related experience preferred. Knowledge of GAAP and Uniform Guidance Principles strongly preferred.
Experience in AP/ARC preferred. Experience in proposal writing, budget preparation, accounting procedures, and Web site design are preferred.

The Bibliographic Assistant in this position will work mainly with monograph material in the Japanese language and process the material for discovery in the Libraries catalog. The incumbent will perform all phases of bibliographic editing for monographic materials received from acquisitions departments.
Schedule: This position is part time, 26hrs/week.
Test: Language tests will be given on the day of the interview, including the Hepburn Romanization System.
Responsibilities
* Provides original and copy cataloging support for monograph material.

* Prepares materials for binding and preservation. Update related records in CLIO as needed.

**Responsibilities:**
GENERAL PURPOSE
Under the direction of the Director of Nursing Perioperative Serivces provides high-level administrative support of a complex and sensitive nature requiring attention to detail and timelines, and ability to work independently with a high degree of efficiency. With minimum direction and considerable latitude for independent judgment; performs routine and non-routine duties for Perioperative Services requiring sensitivity to the needs and concerns inside and outside the department Is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures and practices of the University.
**Responsibilities:**
+ Proactively and effectively manages the time and calendar of Perioperative Services' leadership. Anticipates the needs of the leadership team.
+ Schedules meetings and events for the Director of Perioperative Nursing, Assistant Directors and Nurse Managers.
+ Oversees all arrangements for business meetings and events sponsored by the department by securing onsite/offsite location; presentation materials; IT requirements; catering; reservations, etc.
+ Schedules Division's shared conference room space.
+ Manages all daily operations of the office including mail.
+ Records, maintains, and distributes agendas, obtains information, distributes minutes from the Assistant Director Meeting and Perioperative Nurse Manager Meeting held biweekly; follows up on action items as requested.
+ Assists with Division communications.
+ Copying, scanning and faxing.
+ Assists with developing PowerPoint slide and poster presentations.
+ Composes routine and ad-hoc correspondence.
+ Finance Support
+ Prepares and tracks Capital paperwork, identifies and addresses invoice discrepancies.
+ Strong knowledge and frequent usage of McKesson Supply Chain Management (PMM) in the processing, receiving, and follow-up of capital purchases for the operating room.
+ Responsible for Division scanning of all forms and paperwork for electronic filing promptly.
+ Routes and tracks signature process for personnel forms/salary distribution changes.
+ Identifies and pursues issues (non-personnel) related to monthly reconciliation, including undocumented expenditures, payment follow-up, etc. Researches, follows up and collects supporting documentation identified as missing through the department's monthly account reconciliations.
+ Processes expense reports, requests for payments, cataloguing files and documents.
+ Requests for payment, travel and conference, 312 requisitions, employee expense reimbursements, etc.
+ Orders supplies, reconciles packing slips, and distributes/stores purchased items, keeping office supplies organized and accessible.
+ Initiates all procurement orders including University SOLO items.
+ Monitors department budgets for nursing, and manages paperwork submissions for reimbursement
+ On-boarding of new faculty and staff in Perioperative Services.
+ Assists with preparation and orientation of new faculty and staff, including computer and phone set up, building access, keys, etc. as well as acting as the new hire's initial point of contact.
+ Responsible for locker assignment for all OR staff
+ Serves as OR Gatekeeper by providing specific OR swipe access, both initiating and deactivating as needed.
+ Routinely responsible for obtaining swipe reports used to monitor swipe discrepancies.
+ Grants all Perioperative staff with initial access to scrubs.
+ Acts as direct liaison between staff and Cintas (scrub vendor) for all matters regarding scrub maintenance
+ Efficiently resolves scrub discrepancies through internal tracking mechanism and working with Cintas.
+ Human Resource Management
+ Assists with HR matters, such as, scheduling interviews and maintaining accurate logs of candidates interviewed and hired.
+ Verifies and approves time for staff in Perioperative Services.
+ Maintains time-off calendar.
+ Processes various HR forms.
+ Act as Division Ambassador by maintaining an open demeanor and helpful resource to individuals from both within and outside of the Division
+ Provides cross-coverage for Sterile Processing administrativeassistant, which requires the management of the monthly billing as well as other duties.
MINIMUM EDUCATION & EXPERIENCE
- Associate's degree and 2 years of relevant administrative experience required
- Bachelor's degree preferred
- Or equivalent combination of education and experience

The College of Performing Arts at The New School is seeking a highly qualified Seasonal Props Assistant to join its Performance Operations - Props Department staff. The Props Department is responsible for the creation, alteration, and sourcing of all props for all College of Performing Arts productions. The Seasonal Props Assistant is delegated as needed to oversee crews, provide support to outside designers, and answer time sensitive technical questions when the Props Supervisor is deployed on other projects.
This role is intentionally structured to support continuity, departmental leadership, and higher-level technical work throughout the academic year. The Assistant Props Supervisor will routinely be entrusted with independent oversight of projects, advanced fabrication assignments, and decision-making authority that maintains workflow and production quality.
The Seasonal Props Assistant is a qualified and organized collaborator who can lead independent projects, and thrive in a dynamic, fast-paced, and highly team-oriented environment. The Seasonal Props Assistant reports to the Props Supervisor.
