    We are seeking an experienced and proactive Dispatch Supervisor to lead our on-site dispatch operations. The Dispatch Supervisor will oversee daily scheduling, coordination, and monitoring of transportation activities to ensure efficient, compliant, and on-time delivery performance. This role requires strong leadership skills, operational expertise, and the ability to coach and manage dispatch staff and drivers while maintaining service quality and safety standards. Key Responsibilities Leadership & Team Management Supervise and guide dispatchers and support staff to ensure consistent, efficient, and accurate dispatching. Train, mentor, and evaluate dispatch team members, fostering a culture of accountability and high performance. Coordinate workload distribution across the team and monitor productivity. Dispatch & Scheduling Oversight Oversee scheduling and dispatch of drivers, trucks, and shipments, ensuring alignment with delivery requirements and company policies. Approve and optimize routing plans for efficiency, cost-effectiveness, and safety. Monitor daily dispatch operations and provide escalation support for complex scheduling or routing issues. Communication & Coordination Serve as the primary escalation point between drivers, customers, warehouse staff, and management. Ensure professional communication standards are maintained across the dispatch team. Collaborate with operations leadership to align dispatch strategies with overall business goals. Tracking, Compliance & Performance Management Oversee real-time monitoring of fleet activity using TMS and GPS tracking systems. Ensure dispatch team maintains accurate logs of driver hours, vehicle availability, and shipment status. Enforce compliance with DOT, FMCSA, and company regulations, addressing violations promptly. Review KPI reports and implement corrective actions to achieve on-time performance and service quality targets. Problem Solving & Incident Management Provide leadership during delays, breakdowns, weather disruptions, or other incidents by directing reroutes and recovery plans. Investigate and report service failures, accidents, or escalated issues to senior management. Partner with the operations team to minimize disruptions and improve overall service reliability. Administrative & Reporting Duties Review and approve documentation, such as bills of lading, manifests, and compliance records. Oversee preparation of performance and compliance reports for management. Support payroll accuracy by verifying driver hours and mileage submitted by dispatchers. Qualifications Required High school diploma or equivalent (Associate's or Bachelor's degree in logistics, supply chain, or related field preferred). 4+ years of experience in transportation dispatching or logistics, including at least 1-2 years in a supervisory or leadership role. Proficiency with dispatching software, TMS platforms, GPS tracking, and Microsoft Office Suite. Strong leadership, coaching, and team-building skills. Ability to work flexible hours, including nights, weekends, or holidays as required. Bilingual Mandarin for better communication internally with China team. Preferred Experience managing a fleet or dispatching in a high-volume logistics environment. Strong knowledge of DOT regulations, FMCSA rules, and regional transportation laws. Overview We are seeking a highly organized and proactive Dispatch Coordinator to manage daily first-mile pickup scheduling and truck driver assignments for our local warehouse operations. You will oversee the coordination of pickup requests, dispatch local truck drivers, and ensure accurate and timely communication with warehouses, carriers, and internal teams. This position requires strong multitasking ability, attention to detail, and the capacity to operate confidently in fast-paced, real-time environments. Key Responsibilities: 1. Pickup Planning & Route Assignment Pickup Scheduling: Review daily pickup requests from warehouse teams, vendors, and system-generated orders, converting them into clear and executable driver assignments. Route Consolidation: Combine same-area or same-facility pickups to reduce empty miles and increase driver efficiency. System Execution: Use scheduling tools, spreadsheets, and Dispatch Management Systems (DMS) to assign drivers and update real-time status. Real-Time Adjustments: Make urgent schedule or truck allocation changes based on volume spikes, warehouse delays, or driver availability. 2. Dispatching Drivers & Communication Primary Driver Contact: Act as the main communication bridge with all first-mile drivers, providing instructions, pickup details, updated ETAs, and resolving on-road issues. Performance Tracking: Monitor driver progress through tracking tools and maintain constant visibility of all active pickups. Status Updates: Ensure every pickup status is clearly recorded-picked up, failed, completed, or needed exception support. Support & Troubleshooting: Immediately address challenges such as truck capacity issues, access problems, delays, or miscommunication from warehouse side. 3. Cross-Functional Coordination Warehouse Coordination: Communicate directly with warehouse teams to confirm pickup readiness, pallet counts, and required equipment. Carrier & Line-Haul Sync: Work closely with the line-haul team to ensure picked-up freight is properly transferred to outbound trucks without delay. Exception Management: Collaborate with QA/QC or Operations teams to resolve discrepancies such as missing pallets, incorrect manifests, or late pickups. Documentation Accuracy: Ensure all paperwork, BOLs, manifests, and pickup confirmations are correctly captured and uploaded. 4. Operational Floor Presence Maintain visibility on the warehouse dispatch floor when necessary, interacting with warehouse staff, verifying outgoing freight, and ensuring drivers receive accurate pickup instructions. Able to stand or walk for extended periods when the operation requires on-site monitoring. Essential Requirements Bilingual Required: Must speak, read, and write Chinese and English with business proficiency level (Chinese proficiency required to communicate with local truck drivers and warehouse partners). Computer Skills: Comfortable using spreadsheets, dispatch systems, GPS/driver tracking tools, and able to learn new systems quickly. Logistics Knowledge: Understanding of warehouse processes, bill of lading (BOL), manifests, pallet counts, and first-mile/line-haul basics. Strong Communication: Clear, concise, and confident communication with drivers and warehouse staff in fast-changing environments. You'll be the calm in the chaos-balancing priorities, traffic, tech skillsets, customer needs, and real-time changes throughout the day. You'll be responsible for: Owning the dispatch board and managing the schedule in real time Coordinating, routing, and dispatching technicians to maximize productivity and minimize drive time Triaging incoming calls and prioritizing jobs based on urgency, location, and technician strengths Proactively communicating with customers about arrival windows, updates, delays, and next steps Supporting technicians with job status updates, approvals, reschedules, parts coordination, and follow-ups Keeping clean, accurate job notes and records in our systems (Service Titan and other tools) Partnering with Service/Operations leadership to hit daily goals (efficiency, capacity, customer experience) Hiring Expectations: Apply today, complete a quick phone screening, and get ready for an interview with our team to talk through your experience and goals. Job requirements Experience: 3+ years of dispatch experience in HVAC ( preferred) or another skilled trade (plumbing/electrical/field service) Skills & Attributes: Strong understanding of service call flow: triage → dispatch → updates → closeout → follow-up Confident communicator who stays professional and steady under pressure High attention to detail; fast, accurate typing and documentation habits Comfortable using dispatch/scheduling software and CRMs (Service Titan experience is a plus) Strong problem-solving instincts and the ability to make quick, smart decisions Bonus Points: Knowledge of Austin-area routing and traffic patterns Experience scheduling maintenance agreements/memberships and demand service Spanish/English bilingual Other Requirements: Background check & drug test required
