* Responds to inquiries and requests for service from internal departments and supervises technical/support staff.

PRIMARY JOB RESPONSIBILITIES
* Plans, organizes, maintains, and manages the operations and reliability of the facilities and general infrastructure systems.
* Establishes and monitors preventative maintenance processes and programs and facility inspection processes for on-going review of maintenance work by agencies having jurisdiction.
* Supervises services skilled and technical/support staff.
* Develops, recommends, and administers policies, procedures, and processes in support of grounds and building maintenance operations; implements and monitors compliance with approved policies, procedures, and processes.
* Administers procurement and fiscal management activities associated with building and grounds maintenance activities, which may include RFPs, and contracts for grounds and maintenance related work to acquire trades and professional assistance
* Monitors spending on project and cost account basis; recommending and implementing corrective spending plans
* Reviews and authorizes purchase orders; administering contracts; obtaining price quotes and bids; purchasing and approving employee purchases, ensuring compliance with public purchasing rules
* Trouble-shoots and responds to after-hour issues as needed regarding the operational aspects of the facilities such as HVAC issues, fire alarm malfunctions, electrical outages, water leaks, etc.
* Monitors the safety and accessibility of the facilities
* Serves as the point of contact for the department for code (e.g. ADA, Fire Life Safety) compliance issues, accessibility improvement projects, and/or other code-related issues.
* Monitors and oversee the work of external contractors to ensure terms of agreements are met and work is completed satisfactorily
* Participates in the development and administration of grounds and building maintenance budget
* Collects and analyzes a variety of complex data and information, including utility costs and usage
* Serves as a liaison with other departments within the Harborview Medical Center's campus, the community, and external agencies to provide information on available resources, projects, and/or services
REQUIRED:
* Bachelor's Degree Facilities Management, Engineering, Architecture, Administration or a related building construction field
* Five years' progressively responsible, grounds, and/or maintenance experience, including two years of medical institution supervisory/lead experience.

This role plays a critical part in centralizing and standardizing CR2P across all departments in SoM, driving process improvements, and ensuring accurate revenue reporting as per UW policies and procedures.
The Customer Requisition to Payment Manager will report directly to the Shared Environment Director and is responsible for supervising Shared Environment supervisors. This person will also serve as departmental liaison between UW central finance offices and other stakeholders. It demands strong personal initiative, problem-solving abilities, as well as advanced interpersonal skills for effective communication with faculty, academic staff, employees, and the public.
This role is critical in ensuring School of Medicine (SoM) compliance with University of Washington, State, and funding agency policies and procedures across the full Customer Requisition to Payment (CR2P) lifecycle. The Customer Requisition to Payment Manager supports accurate revenue recognition and reporting, which improves operational efficiency and reduces financial and audit risk.
**DUTIES AND RESPONSBILITIES**
**Management of Customer Requisition to Payment (CR2P) Program (60%)**
+ Oversee the SE supervisors and provide direct support in training and standardization of CR2P transactions, ensuring timely and accurate processing of transactions across the School of Medicine.
+ Ensure all transactions comply with policies and regulations from the University of Washington, State, funding agencies, and the School of Medicine as well as ensure that relevant documentation is complete and accessible.
+ Review and standardize the training materials developed and maintained by the SE supervisors to ensure alignment of CR2P training and best practices.
+ Utilize reporting tools to monitor transactions to ensure they are fully processed and approved in a timely manner maintaining accountability and efficiency.
+ Perform analysis of transaction volumes and utilize the findings and trends to balance workload distribution across the team.
+ Drive process improvement initiatives in all CR2P tasks including billing schedules, invoicing, compliance review, customer service ticketing, accounts receivable, and more.
+ Report on data and trends to ensure relevant information is shared throughout the CR2P team.
+ Monitor and report on team-wide key performance indicators (KPIs) to evaluate operational effectiveness and highlight opportunities for training, support, or recognition. Share findings with SE supervisors and Director to inform staff development efforts and guide staffing recommendations.
+ Ensure all record retention practices adhere to UW policies and Washington State laws, optimizing both efficiency and audit readiness.
**Consultation and Stakeholder Engagement (25%)**
+ Serve as a liaison between SE supervisors, departmental stakeholders, dean's office business unit partners, central finance offices, and SE leadership to resolve escalated issues and ensure service quality in the CR2P program.
+ Act as a subject matter expert for CR2P systems, procedures, contacts, and policies.
+ Assist users with escalated requests that are highly technical and complex related to overdue balances, customer contracts, billing, and receivables.
+ Periodically run reports on ad-hoc banking transactions by SoM departments and analyze outliers to identify if Workday invoicing can be used to record such revenues.
+ Coordinate with SoM departments on overdue balances and work with UW central finance offices as needed to resolve aged receivables.
+ Communicate policy updates to relevant stakeholders to promote awareness and ensure compliance.
+ Collect and evaluate stakeholder input on the customer requisition process experience to continually review and refine best practices. Communicate updated procedures to SE supervisors and oversee the updates of their training materials.
+ Facilitate the customer requisition systems' onboarding process by setting up access and accounts for new hires, ensuring a smooth start for staff within SoM.
+ Provide education and guidance to department users on best practices and conduct regular drop-in or formal training sessions.
+ Maintain strong, effective relationships with the end users, UW central finance offices, stakeholders, and leadership to ensure cohesive collaboration and mutual understanding.
+ Attend meetings with other units in SoM and UW to align procedures, goals, and strategic initiatives, promoting interdepartmental teamwork and cooperation.
+ Act as communication bridge between UW central finance staff and end-users in SoM departments when there is a change in process, ensuring clarity and minimizing inefficiencies that could impact operations or workflows. This may include change management, conducting office hours, etc.
**Team Management and Development (15%)**
+ Supervise a team of SE supervisors, who supervise teams of SE specialists.
+ Provide coaching, mentorship, and performance evaluations of direct reports.
+ Lead recruitment, onboarding, and training efforts for new supervisors.
+ Participate in recruitment activities, including reviewing resumes, participating in interviews, and contributing to the selection process of CR2P roles to contribute to team cohesion and performance.
+ Foster a collaborative, inclusive, and high-performing team culture.
+ Act as backup to the supervisors by overseeing the team, approving timesheets, managing absence requests, and ensuring smooth operations in the supervisor's absence.
+ Provide input and feedback for personnel evaluations and the annual review process for specialists.
+ Provide timely and actionable feedback to new and existing employees to foster their growth and performance. Consult Human Resources to engage in the corrective action process as necessary.
+ Connect supervisors with Human Resources to engage in performance management of SE specialists as needed.
**MINIMUM REQUIREMENTS**
+ Bachelor's degree in business, finance, or related field.
+ Four to five years of experience in progressively responsible experience in customer requisitions and administrative related processes.
+ A track record of successfully managing multiple projects and delivering projects on schedule.

Qualifications:

The Office of Research and Graduate Education (RGE) in the School of Medicine (SoM) promotes and facilitates research, teaching and science training within the UW Medicine community. We do so by building and enhancing infrastructure, providing UW Medicine and University leadership with strategic information and analysis, fostering an open and collaborative environment, streamlining processes, and maximizing opportunities for achievements in research and education.
Reporting to the Administrative Services Manager, the Senior Graduate Education Specialist is independently responsible for developing and delivering training and professional development content for workshops and seminars designed to support the research trainee community, as well as provide resources and guidance to graduate program faculty leadership and advisors. This position partners with SoM and interdisciplinary graduate programs to provide resources and guidance in areas related to research education and training for both graduate students and research postdoctoral scholars, including professional development; curriculum and handbooks; recruitment and admissions; and scholarships and fellowships. This role partners closely with the other members of the Administrative Services Unit, particularly the Senior Outreach Specialist, on planning and executing education-related workshops and school-wide events such as the PhD hooding ceremony and the research mentor education program. Strong organizational and leadership skills are required to manage relationships, deadlines and competing priorities.
This position has the lead responsibility within RGE for partnering with the Associate Dean for Research Education and Training and other faculty leaders and administrative directors to provide biomedical research training resources appropriate for both graduate students and postdoctoral scholars. The Senior Graduate Education Specialist must exercise independent judgement and ownership of managing fellowship and scholarship allocations and notifications; supporting committees, councils, and recurring stakeholder meetings; and supporting student organizations. The scope of this position is UW wide, partnering and collaborating with Public Health, Engineering, other UW Health Sciences schools, UW Bothell Interdisciplinary Arts and Sciences Program, and with regional partner institutions (e.g., Fred Hutchinson Cancer Research Center, Allen Institute, Gonzaga University, Seattle Children's Research Institute, others).
UW is challenged in offering career development programming for over 1,300 research trainees at the graduate and postdoctoral levels. The SoM employs over 400 postdocs in research-intensive roles and enrolls approximately 900 graduate students in our biomedical PhD programs. This is a mission-driven staff position, and requires a skilled, knowledgeable, and motivated individual to plan, implement and adapt events and services based on results and feedback. Faculty leaders are committed to and supportive of these programs.
By improving the readiness of research trainees for careers in science RGE is increasing SoM's success in training and placing the next generation of research scientists in academia, teaching, and government, which in turn increases interest in our graduate programs and postdoctoral opportunities and attracts high-achieving faculty researchers. Additional expected impacts include improved communication among trainees and faculty mentors and between international trainees and their mentors, a more attractive workplace for high-performing trainees, better resources for department and program managers to complement their formal training programs, enhanced relationships between the SoM and private sector business partners, and improved collaborative capacity overall within and among research labs and departments.
**DUTIES AND RESPONSIBILITIES**
**Program Management (75%)**
+ Plan and implement workshop and seminar content for the SoM's research trainee community, encompassing programs such as the Bioscience Career Seminar Series, Inclusive Leadership Workshop, Future Faculty Fellows, Science Teaching Experience Program (STEP).
+ Coordinates closely with the team to support large school-wide events honoring research trainees such as the PhD Welcome Event, PhD Hooding Ceremony, and fellowship receptions.

This Assistant Dean position will be directly tasked with developing new education products that serve the needs of post-baccalaureate students in the community, most of whom are currently employed. We anticipate launching three certificates (AI in Business, Business Fundamentals, Leadership in Engineering) that would be paired with existing certificates from Engineering and/or Computer Science.
Foster School of Business also plans to launch upwards of ten additional certificates that would be internal to Foster. The total annual student count in such programs is currently uncertain, but we anticipate approximately 100 students annually in the first three certificates, with the potential for an additional 100-200 students in the Foster-specific certificates once fully established. The summer high-school program is being expanded currently with a goal of 300 students each summer. The TechMBA program in India would ideally launch in AY28 with a total student count of 100 students.
DUTIES AND RESPONSIBILITIES:
Stackable Certificate Degree Development and Management
Three initial certificates are planned in partnership with other schools on campus (AI in Business, Business Fundamentals, Leadership in Engineering). The Assistant Dean will work with the Associate Dean to develop the structure of these certificates and guiding them through the approval process (MPC and Faculty Council within Foster; Graduate School at the University level). The Assistant Dean will partner with other schools on campus to facilitate their joint execution.
Help create upwards of 8-10 additional certificates run solely within Foster. The Assistant Dean will work with the Associate Dean, Department Chairs and Foster's Marcom team to identify certificates with significant market demand, plan stacked degrees, and guide them through the approval process (MPC and Faculty Council within Foster; Graduate School at the University level).
Manage the resulting Stacked Degree portfolio. Once launched, a team would be developed to help execute the stacked degrees that would report to the Assistant Dean. This team will likely include a director, an admission officer, a student affairs officer and a career advancement officer. Some of these individuals may be drawn from existing teams within Foster, particularly to the extent that some or all of those functional teams become centralized.
Experiential Learning Team Management
*The Assistant Dean will oversee the execution of Experiential Learning throughout the Master's portfolio including a variety of project-focused classes, independent studies, consulting projects and capstone projects.
A variety of individuals currently manage these projects in silos, typically specific to a given program or course. As part of a full reorganization within Foster, these individuals would now report into the Assistant Dean and the resulting group would be tasked with unifying sourcing efforts, in conjunction with other outreach from Career Services and alumni support.
Other Special Projects and New Initiatives
The launch of TechMBA program in India as part of a joint venture with a consulting organization. The Assistant Dean will work with the Associate Dean and a Faculty Director to help guide the new program through the approval process (MPC and Faculty Council within Foster; Graduate School at the University level). Effort would be focused on the launch of this program with no expectation of active management once launched in Autumn 2027.
Other new initiatives as they emerge
This position will collaborate with a full team of support staff from admissions, operations, student affairs and career management. Some of these individuals will likely directly report to the Assistant Dean of Stacked Degrees, some of them may have their primary report be to other Assistant Deans within the school.

This position will work collaboratively with the CTI group to contribute to various activities in support of our trials and studies including but not limited to screening and identification of prospective patients, conducting patient consents in our clinics or on wards at patient bedside, coordinating patient study visits in our research facilities, documenting and recording all required information in a variety of electronic data capture systems, completing patient assessments, providing support for all regulatory submissions under the direction of the CTI leadership, faculty Principal Investigators and research nursing staff. The successful candidate will have a background in clinical trials and observational patient studies and an ability to work collaboratively in hospital and clinic settings with diverse faculty and research teams across multiple care streams that patients interface with through the course of their treatment. The position reports directly to the Vice Chair of Research and maintains workspace at both the University of Washington Medical Center - Montlake (UWMC), and Harborview Medical Center (HMC).

The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. The Department of Psychiatry & Behavioral Sciences within the UW School of Medicine currently has an outstanding opportunity for a **Clinical Revenue Manager** .
The Clinical Revenue Manager position will play an integral role in managing the $42M (and growing) clinical portfolio of the department, supporting the department's clinical contracts, managing clinical faculty deployment and productivity tracking, and providing support to the department financial officer and Child and Adolescent division administrator.
This position will be responsible for executive level analyses and reporting necessary for managing the clinical portfolios within the Department, which spans 2 practice plans and 5 Seattle-area hospitals. This position will be responsible for managing and understanding the complexities of multiple clinical settings including 3 different inpatient and 17+ different ambulatory sites as well as different provider types (MDs, PhDs, APPs). The position will maintain a close and highly responsive relationship with day-to-day activities and responsibilities of the associate directors, navigating a comprehensive range of activities, managing shifting priorities with a high level of professional discretion and independent judgement. It is critical that the position has a high level of analytical and comprehension skills, as this position will be required to work independently in compiling information and data from a variety of internal and external entities for on-going assignments and special projects. The Clinical Revenue Manager will work closely with Department and Division leadership, Hospital Medicine and Ambulatory Program Directors, medical center staff, and contacts at external clinical sites.

+ Quarterly Financial reporting and reconciliation of department contract budgets and manages costing allocations, JVs, and ensure compliance with federal, state and UW guidelines.
+ Assist with annual contract negotiations with various state agencies and navigating the SOM approval process.
+ Cross reference clinical contractual clinical FTE expectations with clinical projections for both UWP and CUMG practice plan members.
Department/School/UW Reporting Requirements (10%)
+ Prepare and analyze department faculty funding and compensation analysis and completing reviews for equity and compliance with UW Academic Personnel compensation guidelines. Assist with compensation variance analysis against AAMC 50th and 90th percentiles and creation of unit adjustment requests, in coordination with the Department of Psychiatry leadership team.
+ Prepare and analyze clinical Full-Time Equivalence (cFTE) reporting for submission to national consortiums and prepare Exception reports, in coordination with the Department of Psychiatry leadership team, for submission to hospital leadership.
+ Monitoring and supporting distribution of faculty development funds and grant surplus funds.
+ Tracking and communication around the biannual Family Medicare Survey.
+ Tracking and updating the Huron Mission Advance Total Effort Tracking and clinical modules.
Department Process Improvement & Other Duties Assigned (5%)
+ Prioritize activities of supported functional units to ensure obligations are met in a timely manner, exercising sound judgment and discretion as required.
+ Participate in process improvement projects across the department's administrative functions.
+ Help manage the clinical call schedules at HMC and UWMC and assure accuracy in the Web On-Call and Spinfusion systems. Assist with updating the weekday inpatient and consult schedules in Spinfusion.
Lead Responsibilities
+ UWP and CUMG Clinical Portfolio management, financial budgeting and tracking, financial analysis of clinical portfolio. Quarterly financial reporting of department contracts budgets.

+ Bachelor's degree in Finance, Business Administration, or a related field, and four years of relevant experience, or equivalent education/experience.

The Department of Urology at the University of Washington is consistently ranked as one of the top Urology departments in the United States. General Description
The Vice Chair reports to the Department Chair and School's Associate Dean of Administration and Operations and serves as the business manager and senior administrative support representative for the Department. As such, the Vice Chair has a comprehensive range of responsibilities, including: financial planning/management, budget development, supervision of the Department's classified and exempt staff, personnel, payroll, purchasing, special project support, and other administrative functions for the School of Medicine.
As a UW SoM Department Vice Chair of Finance and Administration, the incumbent carries out duties prescribed by the directing, overseeing, or partnering institutions and organizations. The critical knowledge and skills are organized into the areas of: Financial Management and Development Activities, Operations Management, Practice Plan Management, Compliance and Risk Management, Research Management, Information Management, Human Resource Management, Facilities Management and Educational Program(s) Management. He/she/they acts in an advisory capacity to the Chair and various Department committees, providing financial guidance, background information, and management advice. In addition, the Vice Chair is the Department's primary working-level interface with the Dean's Office, the Practice Plans, and other departments in the University regarding administrative issues.
DUTIES AND RESPONSIBILITIES
Financial Management and Development Activities - 20%
Manage the financial resources of the department to include budgets and funds from federal, state, practice plan, private, University, and foundation sources to ensure ethical and fiduciary practices.
Interacts with faculty and staff to facilitate the department's ability to achieve clinical, scientific, and educational goals.
Interprets policies and regulations concerning the department's financial activities; ensures compliance with the University's policies and procedures as well as guidelines from the federal government, state, and other research project sponsors.
Develops and implements of internal financial system controls to ensure integrity of all financial transactions in accordance with applicable jurisdictions.
Maintains a working knowledge of the department's financial operations, funding sources, policies, and procedures.
Human Resource Management - 15%
Manage the human resources of the department, to include the faculty and the department staff, in accordance with University of Washington and School of Medicine policy and procedures.
Key human resource (HR) management skills for the SoM Department Vice Chair are:
Interprets and integrates federal, state, UW, SoM, and other local laws and agreements into department policies and procedures.

Manages the practice plans(s) of the department to include the member appointment process, budget process, revenue cycle, funds flow projections, pro forma accounting, the incentive plan, and compliance requirements.
Forecasts, plans, and reports practice plan revenue/expenses and develops budget models to guide faculty or the practice.
Maintains revenue cycle management, including on the evolving coding, documentation, billing and reimbursement developments. Serve as a primary point person catalyst to the Practice Plans to stay on top of developments.
Assists in interpreting and integrating current practice plan compliance directives and policies to ensure that billing faculty are in compliance.
Educational Program(s) Management - 10%
Support program director(s) and faculty in management of educational program(s).
Supports Program Directors (Residency, Medical Student, Fellowship, Graduate, Undergraduate, etc.) and faculty leaders in the management of educational programs.
Interprets and integrates federal, state, UW, SoM, ACGME, ECFMG, RRC, professional society, and other local laws and agreements into departmental policies and procedures.

Facilitates support of accredited and non-accredited Continuing Medical Education programs in the community
Research Management - 10%
Manage the research resources of the department, to include grant and contract staff and processes, research staff support, capital equipment, physical plant, IRB, and Protected Health Information compliance issues.
Designs and implements administrative procedures for grant and contract administration.
Interprets and integrates federal, state, industry, and private policies, laws, contracts and agreements regarding research activities at the UW.
Assists faculty in the identification of research sponsorship, pre-submission activities, IRB and animal research requirements, supporting documents and verifications, and submission of grant and contract proposals.
Reviews and approves all department grant and contract applications.
Facilities Management - 10%
Manage facilities to ensure effective, efficient, and safe operations and preservation of resources.
Reviews, develops, and assigns space to staff and faculty, including research lab areas and offices; coordinates moves and/or relocations of offices, laboratories, and personnel.
Develops written material for long-range space planning including major renovation projects; collaborates with the Chair and working with the Dean's Office when appropriate, to develop business plans and proposals to support requests for additional space.
Interprets and integrates federal, state, UW, and other laws and policies relating to safeguarding of facilities and capital resources.
Builds and maintains relationships with the medical centers' facilities staff to ensure timely correction of deficiencies/repairs to facilities, and to ensure compliance with remodeling and facility modification guidelines.
Compliance and Risk Management - 5%
Promote compliance and manages risk in accordance with policies of the University, UW Medicine, and other oversight bodies, to ensure operations and resources are in alignment with mission and requirements.
Interprets and integrates federal, state, and industry laws or policies on corporate compliance; topics to include fraud and anti-kick-back, to mitigate risk to the department and to individual faculty or staff.
Ensures that all spaces, rooms, laboratories have appropriate security measures in place to safeguard information, physical resources, and staff.
Information Management - 5%
Manage the information requirements of the department, to include academic, business, educational and research information needs, incorporating and utilizing the existing Information Technology architecture.
Coordinates and manages the department web site and links including all aspects of department functions: clinical sites of practice, service line and outreach activities, research enterprises, faculty biosketches and publications, training programs, and the residency program.
Develops written communication materials which may include department newsletter, CME brochures and mailings, development brochures, and other information to support public relations, scientific presentations, development activities.
Coordinates and participates in public relations and/or fundraising events including donor relations and represents the department at University and external functions; collaborates with SoM Development for fundraising events and issues.
Ensures a viable and secure Information Technology architecture is in place, and educates faculty and staff to the importance of and compliance with a configuration management plan and policy.
Service Line Administration - 5%
The Vice Chair of Finance and Administration has been involved in overseeing the financial aspects of the Institute for Prostate Cancer Research (IPCR). The IPCR is a collaborative effort between Fred Hutchinson Cancer Center and UW Medicine, comprised of a team of more than 40 scientists and scientist-clinicians in multiple disciplines. The IPCR draws on primarily foundation and philanthropic gifts to fund a variety of endeavors, including faculty recruitment and new programmatic research initiatives.
Serves on the Clinical Excellence Committee to help identify areas of opportunities for the Department of Urology, including forecasting recruitment needs.
MINIMUM REQUIREMENTS
This position requires a minimum of 5 years of experience and a Master's degree in Business Administration (MBA), Health Care Administration, Public Health, or related field.
