Stanford University, Department of Medicine, is seeking a highly motivated, hard-working professional to work in the role of Grants and Finance Specialist under the general direction of the Research Operations Manager to develop, implement and administer the vision, strategy, and goals of the various research efforts within the Division of Primary Care and Population Health (PCPH). The role of this position will oversee both pre and post award portfolios for our research population, collaborating with faculty and researchers to develop and manage their funding sources. This role requires serving as a resource expert, supporting the growth and development of our faculty and research efforts. Given the significant growth of our Division in recent years, we are seeking a candidate who is adept at multitasking, extremely detail-oriented, self-motivated, and a strong team player. Excellent communication skills are essential for high-level interactions within our diverse academic and medical community.
This role will be in a hybrid agreement frequenting our Stanford campus but is remote eligible.
Duties include:
* Participate with principal investigator in the preparation of the administrative components of proposals within parameters of sponsored and non-sponsored research guidelines. Oversee and communicate submission process, both paper and electronic; review documents for completeness and compliance.
* Develop, prepare, and finalize project budgets, and provide budget justification.
* Serve as liaison and active partner between principal investigators, Office of Sponsored Research, research groups, and other departments; respond to sponsor inquiries.
* Collaborate with Office of Sponsored Research to ensure awards are set up properly and cost sharing requirements are fulfilled; initiate cost transfers.
* Review and approve expenditures, advise on post award spending and commitment activity, and oversee compliance related to fund and revenue.
* Develop and communicate reports supporting project status; create effective forecasting and decision aides.
* Understand, apply, and advise on university and government policies for projects.
* Serve as a resource on subject area and overall technical resource to principal investigator and other university staff.
DESIRED QUALIFICATIONS:

The Natural Capital Project seeks an expert in nature finance to join a research and engagement program focused on mainstreaming natural capital approaches into standard financing offerings and processes among international financial institutions (IFIs, such as the Inter-American Development Bank and Asian Development Bank), as well as into country government policy and finance pathways. A key goal of the program is to inspire the mainstreaming of development financing approaches in IFIs that integrate natural capital into standard financing offerings among IFIs and drive growth in overall investments, policies, and uptake of this approach among IFI member countries.
The Nature Finance Specialist will join an interdisciplinary team of scientists, analysts, and consultants working with 6 focal country governments and several IFIs to co-develop natural capital approaches that lead to nature-positive outcomes. The ideal candidate will bring a strong understanding of the current state of nature finance as well as practical experience working collaboratively to advance nature-positive policy and finance.
**Your Responsibilities will include** **:**
+ Lead nature finance-related aspects of a research and engagement program focused on mainstreaming natural capital approaches into standard financing offerings and processes among international financial institutions (IFIs) and into country government policy and finance pathways.
+ Conduct outreach to and coordinate among country-focused project teams as well as outreach to project collaborators (or prospective collaborators) at IFIs.

Reporting to the Senior Finance Manager in the Integrated Business Office (IBO) consisting of the departments of Dermatology, Neurology and Neurosurgery, the Financial Analyst 2, Post Award will be responsible for supporting and managing clinical research and clinical trials in assigned portfolios and other non-sponsored (internal/gift/endowment) funding sources used primarily for clinical research by faculty. The role may expand to support non-clinical sponsored research portfolios as well. This individual will provide analytical and financial services, guidance and consultation to faculty and staff optimizing each PI's use of clinical research funds for awards within assigned portfolios, and mitigate risk of non-compliance for all awards. The role involves managing post-award functions, ensuring high levels of client satisfaction through strong relationship management, and conducting complex modeling for resource planning. It includes financial and budgetary management, quality assurance initiatives, and supporting the development of training resources and best practices. The Financial Analyst collaborates with faculty, PIs, department administrators, YCCI, and the Office of Sponsored Projects, and others to create and update financial plans and accommodate sponsor requirements.

Under the direction of the TFC supervisor, the transplant financial coordinator (TFC) is a designated member of the multidisciplinary transplant team. His/her primary function is to assure transplant patients' medical services are covered by insurance. This includes: insurance verification, authorization submission, effective patient counseling of insurance plans, providing insurance guidance when patients have a lapse of insurance or are under-insured and solid understanding of the complexity of transplant benefits as dictated by different insurance coverage. S/he is responsible for accelerating patient financial clearance by following standardized process steps. The TFC is also expected to problem-solve in real time and provide appropriate insurance direction to patients and staff, as needed. The TFC will participate in team meetings and discussions related to complex cases, advancing operational throughput and process improvement to benefit patient care. S/he should possess analytic skills and be able to evaluate/analyze insurance information to effectively convey and communicate to others. S/he should have excellent verbal and written skills and an ability to easily learn hospital and transplant IT systems as they relate to financial clearance and insurance. Bilingual fluency is strongly preferred.
Responsible for coordinating and clarifying patient-specific insurance and financial aspects of care with less than 5% inaccuracy.
Work with patients and their families from referral through post-transplantation in a compassionate and tactful manner, in order to help facilitate access to, and provide, continuity of care. Assist patients with questions concerning insurance and other financial issues. Work with other members of the transplant team, administrative staff, billing, financial and clinical personnel at KMC to ensure financial coverage of transplant and living donor services. Alert staff to issues impacting a patient's ability to undergo transplantation.
Obtain and document detailed patient insurance benefit information, limitations and exclusions to determine appropriateness for transplantation services and financial criteria of program, including, but not limited to, all aspects of the transplant process: transplant surgery, organ acquisition, follow-up clinic visits, admissions, cost of labs, diagnostic testing, co-payments of outpatient prescription drugs and travel/housing benefits. Discuss benefits, and other transplant financial issues, with patients and/or family members during initial evaluation, including each time a patient's insurance coverage changes.
Serve as a resource for patients and their family members on financial and insurance matters. Provide patients with educational materials, which cover transplant financial benefits and pitfalls, coverage options and insurance types.
Obtain all necessary payor authorizations, approvals and clearance. Verify transplant coverage and other medical benefits. Acquire necessary referrals/authorizations for planned admission and procedures with less than 5% inaccuracy. Assist, as needed, with financial clearance of urgent inpatient transfers and patients in need of clearance for critical or acute care.
Routinely monitor insurance coverage for patients throughout all phases of transplant, particularly while patients are waitlisted for an organ. Cultivate relationships with insurance case managers and medical directors to facilitate and expedite authorization approvals. Retrieve clinical data in a timely manner when requested/required by third party payers.
Identify and effectively communicate financial information to transplant team members, patients and their families with emphasis on identifying any potential patient out-of-pocket liability, clearance issues, coverage gaps and alternate funding options. Proactively guide patients through application processes for government funded/financial assistance programs (i.e. Medi-Cal, KMC charity program, QMB, Legal Aid, LIS, etc.) and coordination of benefits as necessary.
Facilitate resolution of patient billing issues. Serve as a liaison to USC Care and Keck billing offices to resolve billing questions and problems.
Maintain familiarity with UNOS and CMS regulations related to transplant finance and billing practices. Follows KMC and transplant institute policies and procedures. Apply financial guidelines, protocols and policies equally when engaging patients, families and payors.
Work with clinical staff to coordinate recipient and living donor benefits, financial clearance, authorizations, planned surgical events and clarify any insurance issues related to living donation.
Participate in the weekly transplant selection committee meetings and multidisciplinary clinics to provide financial insurance expertise specific to individual patients and candidates. Prepare financial reports for each patient prior to the clinic or selection committee to best facilitate decision-making for patients and the multidisciplinary team.
Engage non-contracted health plans and medical groups to interface with Keck Hospital and USC Care contracting departments to obtain LOA, or other financial guarantees, to effectively cover transplant services from a fiduciary standpoint.
Follow all HIPAA related compliance by keeping patient clinical/personal information private. This includes, but is not limited to: Confirming a minimum of two patient identifiers prior to discussions with patients and staff, sending written or electronic communications and/or entering new information into electronic systems. Prior to speaking with any patient representatives confirm the representative is noted in the EMR, or transplant EMR, to receive HIPAA related information. If a HIPAA violation occurs, communicate immediately with a supervisor, quality department representative and enter the violation into the risk management system.
Act as a business professional in interaction and appearance by providing superior customer service when interfacing with patients, peers, physicians, superiors and hospital personnel/leadership. Represent the transplant department in a positive and proactive way to others when discussing role and duties.
Establish a sense of comradery among peers and with supervisor/lead TFCs to facilitate teamwork with others and throughout the department. Work well with others to problem-solve, provide coverage when necessary and assist clinical and non-clinical staff during acute and unforeseen circumstances to advance patient care.

POSITION SUMMARY:
The Center seeks an experienced candidate for the position of Financial Analyst and Research Administrator. The position reports to the deputy director and works closely with the director, playing a key role overseeing the Center's financial day-to-day operations, planning, and forecasting. This position requires the incumbent to demonstrate knowledge about fund accounting and research administration and to personally manage and oversee all financial and research administration activities, complying with Stanford University policies. Responsibilities include, but are not limited to: expenditure reconciliations and reviews, revenue reporting/accounting of endowments and gifts, purchases and reimbursements, general ledger transactions, journal entries, and pre- and post-award sponsored project administration. In addition, the incumbent will work closely with faculty and staff to provide timely management reports, present to the CASBS Board of Directors when necessary, and communicate clearly about compliance and policy requirements to all members of the CASBS community.

**POSITION SUMMARY** **:**
The Center seeks an experienced candidate for the position of Financial Analyst and Research Administrator. The position reports to the deputy director and works closely with the director, playing a key role overseeing the Center's financial day-to-day operations, planning, and forecasting. This position requires the incumbent to demonstrate knowledge about fund accounting and research administration and to personally manage and oversee all financial and research administration activities, complying with Stanford University policies. Responsibilities include, but are not limited to: expenditure reconciliations and reviews, revenue reporting/accounting of endowments and gifts, purchases and reimbursements, general ledger transactions, journal entries, and pre- and post-award sponsored project administration. In addition, the incumbent will work closely with faculty and staff to provide timely management reports, present to the CASBS Board of Directors when necessary, and communicate clearly about compliance and policy requirements to all members of the CASBS community.
Working under minimal supervision, the ideal candidate is a friendly, proactive, and dependable self-starter with strong attention to detail, sound judgment and decision making, excellent client service, and strong interpersonal and communication skills. The role requires an individual with a high level of professionalism, productivity, and organization. The candidate should be able to work independently and in a team setting, and must be customer oriented.
This is a fixed-term (January 2026 - December 2026), 80% FTE, benefits-eligible position. The standard schedule for this position is a four-day work week, from 8:00 am - 5:00 pm. There may be occasional extended hours for event support. This position will be based at CASBS on the Stanford campus, and after a trial period will be considered for an option of a hybrid schedule (one day offsite), subject to operational need. **CORE DUTIES** **:**
+ Perform and design adhoc analyses of large complex data sets: reconcile complex accounts. Identify and resolve complex issues which may span multiple areas.
+ Construct and assemble data for budgeting and decision making; develop conclusions, and present high level summary of recommendations. May develop annual budget for individual department/unit.
+ Conduct analysis and resolution, and recognize exceptions. Participate in developing solutions that may require policy changes or the development of new processes; maintain broader organizational perspective in decision making.
+ Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. May manage compliance program for area of responsibility, and create complex compliance reports.
+ Develop reports and presentations of complex financial data and metrics for management and third parties.
+ Participate as a member of a project team; support new initiatives. Make decisions determining approach to managing and completing processes.
+ Contribute to unit and organization strategy; assist in the development of change management plans and materials as needed.
+ Develop and maintain desktop procedures and process documentation for area of responsibility.
+ Define requirements, develop and implement complex test cases, perform system testing and analyze results.
+ Participate in critical analysis of existing systems and processes, and identify opportunities for process improvement.
+ Provide consulting advice to client group(s); serve as a resource on matters that require specific technical, financial, or subject matter expertise; support negotiations with external partners.
+ Serve as liaison and active partner between principal investigators, Office of Sponsored Research, research groups, and other departments; respond to sponsor inquiries.
+ Collaborate with Office of Sponsored Research to ensure awards are set up properly, allowable expenses are properly allocated and cost-sharing requirements are fulfilled; initiate cost transfers in a timely manner with adequate justifications.
+ May supervise, train, coach, and review the work of other staff, as needed. Contribute primarily through applying individual expertise.

**MINIMUM REQUIREMENTS** **:**
**Education & Experience** :
Bachelor's degree and four years of relevant experience or combination of education and relevant experience.
**Knowledge, Skills and Abilities** :
+ Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.
+ Demonstrated knowledge of financial systems; internet and computer literacy.
+ Knowledge of Generally Accepted Accounting Principles (GAAP).
+ Strong communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal and external audiences and client groups.
+ Demonstrated project management skills and ability to contribute to or lead part of a multi-functional team.
+ Previous Stanford University experience preferred.
**PHYSICAL REQUIREMENTS** ***:**
