The Clerk II (Nursing Education Clerk) performs moderately complex work and reports directly to the Nurse Educator. Provides technical, clerical, and administrative support services to the Nurse Educator and the Infection Control Practitioner. The Nursing Education Clerk routinely performs the following tasks within well-defined guidelines: data entry and retrieval, prepares and files routine reports, collects and organizes statistical data, drafts written summaries, develops/revises forms, as well as other related work as assigned. Develops, utilizes and/or evaluates various data bases effectively. The Nursing Education Clerk serves as a liaison between nursing and other departments/disciplines and the community, and does so in a positive, customer service-oriented way. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
This position may also be eligible to earn additional pay for work performed on maximum security locations.
Essential Job Functions (EJFs):
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Performs clerical duties to include, but not limited to, office supply management, answering phones, taking messages, filing, copying, faxing, emailing, calendar management, preparing routine reports, collecting, and organizing statistical data, drafting written summaries, developing forms, assembling, compiling and organizing data, and performing data entry and retrieval for the Nursing Education Department.
Coordinates scheduling and training as well as other activities and duties associated with New Nurse Orientation (NNO). Activities include maintaining training schedules and arranging for location reservations, ensuring the NNO Manual updates are carried out on an ongoing basis, ensuring NNO Competency Checklists updates are implemented, administering NNO Testing Updates, updating the Electronic Manual, processing Pyxis paperwork.
Coordinates scheduling of interviews and assists the PNA IV Coordinator with proctoring interviews for PNA pool applicants. Assists with obtaining work references for PNA pool interviewees scoring high enough to be offered employment.
Coordinates scheduling and training as well as other activities and duties associated with Nursing Student Orientation. Activities include processing materials required for orientation, reviewing requests for clinical rotations, preparing clinical schedules, updating student handbook, collecting student evaluations, and entering data into the computer.
Serves as an effective member of the Nursing Education team and fosters a safe and risk-free work environment. Duties include infection control and prevention tasks, such as updating the database for patients per the Infection Control Practitioners instructions. Performs basic clerical responsibilities that include scheduling repair services for equipment.
Maintains annual training as well as any required department specific training.
Cross trains to assist with Nursing Administration clerical duties when the Nursing Administration colleagues are on leave, or out of office.
Performs data entry for HAI "Antimicrobial" (pts that are placed on antibiotics for both campus'), TB, Flu vaccinations (patient and employees), Antibiogram (labs for UA cultures), STDs, and filing for all the above for the Infection Prevention Department.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Registrations, Licensure Requirements or Certifications:
If required to drive a state vehicle, must possess a valid Texas driver license or obtain it no later than 90 days after hire date to drive a state vehicle. Eligible driving record required based on HHSC Fleet Management policy.
Initial Screening Criteria:

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE). Community-Based Care (CBC) is a new way to provide services than traditional foster care because it gives local communities the flexibility to draw on local strengths and resources and find innovative ways to meet the unique and individual needs of children and their families. CBC includes many of the services that Child Protective Services (CPS) normally provides. This includes foster care, case management, kinship, and reunification services. A single contractor in each designated community area creates a network of services, foster homes, and other living arrangements and, when ready, provides case management for each child and their family as well. CPS works with each contractor (Single Source Continuum Contractor or SSCC) to carefully manage the transition from traditional foster care to community-driven care. The position provides advanced (senior-level) clerical and general office support for the Program Directors of the Child Protection Investigation (CPI) Division. The Clerk works diligently to help maintain smooth office operations by planning, analyzing data, inventory control, assisting with human resource tasks, interpreting policy and procedures, provides professional and courteous assistance to our clients, families and stakeholders when needed, works well under pressure and is able to prioritize assigned tasks and deadlines. Works under limited supervision, with considerable latitude for the use of initiative and independent judgement. The position interacts routinely with Texas Department of Family and Protective Services staff and the community.
Essential Job Functions:
* Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
* Compiles, organizes, tracks and monitors various types of information, including but not limited to: agency random moment time studies, requests for any IT changes in hardware or information security and access, processes client services authorizations, accesses and provides information from the HHSC income eligibility database.
* Manages program related data entry and case tracking information into IMPACT such as maintaining on-call schedules, reviews, routes and logs courtesy requests and case transfers. Utilizes data warehouse for reports as well as information for internal or external stakeholders.
* Answers and screens telephone inquiries including managing client questions or complaints in a professional manner. Takes and routes messages, monitors and distributes faxes received. Opens and distributes incoming mail accordingly and processes all outgoing mail.
* Creates various correspondence and forms such as case staffing agendas, program meeting information, phone lists, organization charts, and will assist with meeting notes as requested.
* Maintains confidential program related documents such as performance evaluations, personnel records, case records, related files, and other documents to support work of the program area.
* Utilizes technology to maximize program efficiency and effectiveness by accessing applications to reserve conference and visitation rooms for meetings in various buildings throughout the program area, and assists staff with processing travel claims.
* Oversees supply inventory and creates purchase orders as necessary to ensure adequate supplies for all staff in office.
* May assist with switchboard operations, notarizing legal documents, and train new admins as needed. Performs other duties as assigned and required to maintain program operations.
* Attend trainings and meeting at various DFPS offices.
* May assist Program Director with preparation for meetings and trainings.
Knowledge, Skills and Abilities:
* Ability to answer telephones and distinguish emergency calls.
* Ability to type correspondence, forms and use Data Warehouse reports.
* Knowledge of DFPS policies and procedures.
* Skill in effective verbal and written communication.
* Ability to operate a personal computer and use various software packages.

Graduation from high school or equivalent. One year and six months full-time administrative support, general office, clerical or secretarial experience.

The Clerk II provides a variety of clerical support services to the Nurse Manger and to Nursing Services Program Supervisor. Performs Moderate (journey-level) clerical work that may include copying, tabulating data, checking documents for accuracy, recording minutes, and maintaining files. Maintains medical equipment, database, and logs. Tracking and troubleshooting various medical equipment around campus. Ability to learn new programs and maintain information and functioning of the program.
Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Essential Job Functions (EJFs):

Assist Nurse Manager and Nursing Services Program Supervisor I in researching and compiling information for reports.
Completes all clerical duties as assigned including reassignment to other units for coverage purposes.

Demonstrates effective communication when speaking to all co-workers or Department Heads.
Acts as Data Coordinator for unit and acts as backup to other units and Nursing Administration.

Registrations, Licensure Requirements or Certifications:

Initial Screening Criteria:
Minimum two (2) years' experience in clerical work, preferably in a healthcare capacity.
