The Justice Administrative Commission (JAC) administratively serves 49 judicial-related offices (JROs) including the 20 Offices of State Attorney, 20 Offices of Public Defender, 5 Offices of Criminal Conflict and Civil Regional Counsel, 3 Offices of Capital Collateral Regional Counsel, and the Statewide Guardian ad Litem Program. Services provided are primarily in the areas of accounting, budget, financial services, and human resources. JAC also performs compliance and financial review of court-appointed attorney and due process vendor bills. The Work You Will Do:
JAC is seeking a candidate to serve as an AdministrativeAssistant. This position is located in the Operations Section of JAC and reports to the Director of Operations. The person in this position works closely with staff from JAC as well as staff from the agencies we administratively serve.
Duties of this position include, but are not limited to:
* Serves as the Receptionist for JAC answering incoming calls, greeting and screening visitors, and receiving deliveries. This includes answering and routing calls to the proper section or individual and assisting callers when they are unsure of who they need to speak to as well as greeting visitors in a professional and courteous manner, adhering to established procedures. For deliveries, this includes accepting and signing for deliveries after verifying the number of packages being signed for along with the staff name(s) and the address. Then notifying the appropriate Operations staff of the delivery.
* Answers routine non-technical questions regarding the JAC, its address and phone numbers, its functions (e.g., process payments for Court-Appointed Attorneys and Due Process Providers, administratively serve the 49 JROs).
* Refers inquiries to other state agencies (e.g., Department of Financial Services, Department of Management Services, the Judicial Qualifications Commission) as appropriate.
* Trains backup receptionists.
* Prepares to route calls for hearings attended by JAC Attorneys by reviewing the Hearings Calendar on a daily basis.
* Maintains the Reception Area in a neat and orderly manner.
* Sorts and distributes incoming faxes received via email, which involves the determination of the section or individual to whom the fax is addressed or should be addressed based on the content of the fax and forwarding it to the correct mailbox.
* Serves as a vendor add liaison for JAC and the JROs adhering to the DFS Statewide Vendor File Reference Guide and best practices as defined by JAC.
* Conduct the annual physical inventory for all of JAC's property items
* Assists other JAC sections with clerical duties as requested.

Pay:
The candidate selected for this position will start at $42,000 annually.
Education and Experience Requirements:

Your Specific Responsibilities:
Coordinates and tracks recruitment activity in the Prosecution Services Unit. Prepares requisitions to advertise PSU positions within 24 hours of request; assists in development of requisition language and interview questions. Assists Personnel Liaison in role of Timekeeper for PSU employees. Coordinates Leave and Attendance issues in PSU, reporting Leave Without Pay, tracking sick leave donations, Family Medical Leave (FMLA) and Family Support Work Program (FSWP). Incumbent investigates disparities in leave and attendance, FMLA and Workers Compensation issues for managers and staff; prepares responses and sends replies to all involved parties. Communicates with OPS employees and supervisors to ensure OPS timesheets are approved timely.
Serves as Workers Compensation liaison for PSU; oversees handling and reporting of workers' compensation injuries and advises supervisors and staff to ensure compliance with Workers' Compensation and Disability Leave policy. Works with employee and HR office to ensure correct timekeeping and coding of timesheets.
Assists the Personnel Liaison and Managers in facilitating timely completion of performance planning and evaluations for PSU employees by sending reminders and providing assistance with People First as required. Reviews reports from Human Resources and coordinates with managers, supervisors, and staff to address actions identified in the reports. Our Organization and Mission
The Division of Hotels and Restaurants (H&R) licenses, inspects, and regulates public lodging and food service establishments in Florida under Chapter 509, Florida Statutes (FS). The division also licenses and regulates elevators, escalators and other vertical conveyance devices under Chapter 399, FS. The division's three bureaus - Sanitation and Safety Inspections, Licensing and Elevator Safety - comprise a team of approximately 358 personnel fulfilling the regulatory obligations of the division throughout the state.

The Work You Will Do
This position independently performs advanced administrative and supervisory work supporting district operations and regulatory functions.
Supervision & Staff Development
* Supervises, trains, and cross-trains administrative and support staff.
* Evaluates employee performance, prepares performance plans and evaluations, and assists staff with questions or issues.
* Provides task coverage when staff are absent and assists with onboarding and training of new inspectors on office procedures.
Administrative & Operational Support
* Assists the District Manager, Deputy District Manager, and Supervisors with research, special projects, and operational requests.
* Serves as liaison between district staff and division personnel.
* Acts as building fire warden and point of contact for building maintenance issues.
Fiscal, Inventory & Asset Management
* Maintains vehicle inventory and transponder records and prepares monthly vehicle reports.
* Reconciles receipt books and completes year-end reconciliation for the district.
Records, Compliance & Regulatory Support
* Monitors district mailboxes and OnBase for service requests, complaints, and regulatory documents.
* Prepares accurate materials for public records requests and maintains the electronic public records log.
* Assists with administrative complaints, closures, determinations, unpaid fine notices, and delinquent license correspondence.
* Tracks resort dwellings, escalations, and unlicensed inspections in accordance with division guidelines.
* Responsible for scheduling the Certified Food Manager exam and arranging payment for new certifications and renewals for the district field staff.
Customer Service & Front Office Operations
* Provides customer service at the front desk, assists walk-in customers, answers calls, and signs off on beverage paperwork.
* Prepares front desk coverage schedules and manages conference room calendars for meetings and hearings.
Technology & Systems Support
* Enters and maintains data related to complaints, inspections, service requests, and licensing documents.
* Assists with assigning inspections and service requests to iPads and supports system updates and testing (e.g., Versa Regulation, OnBase).
* Assists with records filing, scanning, and annual document purging.
Perform other related duties as assigned.
Minimum Requirements:
* Two years of general office experience; and
* Two years of computer experience to include proficient use of Microsoft Word and Excel; and
* Two years of customer service experience assisting customers on the telephone or in-person.
Preferred:
* One or more years of experience leading, training, or coordinating the work of others.
* One or more years of experience in industry regulation, licensing, or compliance.

The Work You Will Do:
