This position provides comprehensive administrative support by managing office operations, coordinating personnel actions, and maintaining confidentiality. Oversees purchasing, travel, and budget processes, ensuring compliance with departmental procedures. Maintains organized records and correspondence, processes invoices, and supports fiscal reporting. Coordinates meetings, travel, and facility issues, and assists with enforcement plan documentation. Serves as a liaison between management and staff, offering guidance on policies and procedures, and contributes to special projects and report preparation.

Your Specific Responsibilities:
Manages the overall administrative functions of the office. Plans, coordinates, and organizes work assignments and projects. Coordinates/assists with personnel actions including, but not limited to, hiring packages. Maintains confidentiality on all issues. Stays up to date with the latest changes in rules, procedures, and processes related to: Human Resources, Purchasing, Travel, etc.
Maintains file system, correspondence, personnel actions, and other related documents. Processes all incoming invoices for scale facilities. Coordinates with management and other administrative staff on purchases, and surplus of equipment to ensure department procedures are followed and all offices are in compliance. Processes purchasing card charges in the P-Card WORKS SYSTEM. Assists the Manager in monitoring and administering the office budget for purchases.
Processes correspondence and requests from staff and management. Processes a variety of fiscal functions, including the following: assists with gathering data and developing reports, independently handles written communications, including compiling data, developing reports and preparing letters/memorandum. Makes travel arrangements and prepares travel reimbursements, schedules meetings and appointments.
Coordinates with Area Manager, scale maintenance personnel and district personnel on any facility issues. Also coordinates with Area Manager on personnel issues for Weight Inspectors.
Coordinates, schedules and set-up conferences and meetings for the Office/Section. Provides direction on personnel rules and other department policies, procedures.
Assists in research and records maintenance, preparation, reproduction and distribution of Annual Truck Size and Weight Enforcement Plan, State Enforcement Plan and the Annual Vehicle Size and Weight Enforcement Certification.
Reviews records and reports which require action and recommends solutions or courses of action. Performs special assignments, research, and report preparation. Proofreads reports and correspondences for staff.

Your Specific Responsibilities:
Assists in managing the overall administrative functions of the Facilities Management office. Assists in planning, organizing, and coordinating work assignments and projects. Researches subjects, coordinates information and creates documents, spreadsheets, and reports. Reviews documents for accuracy and completeness. Coordinates, schedules, and sets up meetings, conferences, trainings, interviews, etc. for the Office/Section. Provides direction and assistance to staff on personnel rules, travel requests/reimbursements, and other department policies and procedures. Uses electronic mail, Word, Excel, SharePoint, Teams, FDOT Service Center Portal, and other computer systems/databases used by Facilities Management. Assists vendors and customers who call, e-mail, or visit the Facilities Management Office. Reserves and coordinates meeting spaces for use by other FDOT districts, State of Florida entities, and other approved entities.
Procures services, equipment, furniture, centralized supplies, print center supplies, other supplies, and utilities for the District Seven Headquarters facility and Fixed Capital Outlay projects. Completes and submits Information Resource Requests (IRRs)and SharePoint Purchase Requests. Makes travel arrangements and processes travel documents. Prepares and processes financial paperwork for purchases made by Electronic Procurement Requisitions, Local Purchase Orders, and Purchasing Card charges using current state computerized systems/programs and follows current directives and procedures. Processes purchasing card charges according to procedure. Receives, reviews, and processes invoices/warrants in accordance with provisions and requirements of Section 215.422 F.S. Vendor invoice/warrant processing is required to perform these duties.
Serves as the District Seven Surplus Property custodian. Accurately processes, tracks, stores, and disposes of surplus property for the district according to established procedures. Provides training, guidance, and information to unit surplus property contacts. Serves as the District Seven Records Management Coordinator. Follows established records management procedures, rules, instructions, and processes. Maintains an electronic file for the disposition of records and a log of all records that are destroyed. Receives, reviews, and processes Records Disposition Requests and maintains Records Disposition Requests files for audit. Serves as Unit Custodian. Maintains accurate records and inventory of all cost center property. Conducts annual inventory and ensures property is transferred in accordance with processes and procedures.
Assists with tracking and reporting operating budget expenditures and encumbrances for the Facilities Management cost center.
Submits Property Management Reports (PMRs) as needed. Serves as Unit Custodian, maintains accurate records, and inventory for all cost center property. Conducts annual inventory and ensures property is transferred in accordance with processes and procedures. Updates and maintains the Facilities Management SharePoint site. Serves as timekeeper. Serves as backup for creating employee/consultant/contractor ID badges/access cards.
Serves as a backup to the Front Desk Receptionist for the District Seven Headquarters. Provides backup administrative/secretarial support to other departments in the Executive Direction & Support Services budget entity.
Maintains electronic and paper file systems, correspondence, meeting minutes, personnel actions, and other related documents. Prepares Facilities Management files for retention and handles archive issues for the cost center. Prepares Records Destruction Requests.

Administrative Assistant III Duties:
This position serves as administrative staff member in the Office of Agricultural Law Enforcement (OALE).
COMMAND STAFF LIAISON: This position conducts highly independent and highly detailed administrative support work at the direction of the special operations chief. This administrative assistant liaises with all command staff administrative personnel to ensure accurate and detailed reporting of areas of responsibility. The administrative assistant assists with scheduling hiring interviews and liaises with the personnel section for hiring matters. The position is also responsible for tracking vehicles and vehicle movements within special operations. This administrative assistant receives myriad reports and periodic updates from all functional areas to combine and categorize information for reporting to command staff. The position is also responsible for preparing any and all weekly, monthly, and other assigned reports to command staff. The position tracks deadlines for reporting and works with command staff and their administrative support to ensure timely submission of required reporting.
ADMINISTRATIVE DUTIES: This position assists the special operations chief with calendar management, appointment setting and meeting coordination. Liaises with other agencies and state partners on behalf of the special operations chief when necessary in preparation of agendas or provision of executive summaries. Makes arrangements for meetings/conferences including space, time and location, informs participants of topics to be discussed and researches and provides background information. Schedules travel itinerary and makes travel reservations for the special operations chief and liaises with Budget and Finance for travel needs for special operations. May assist the training section administrative assistant with duties assigned at the direction of the special operations chief.
SHAREPOINT: This position maintains reports for special operations on the OALE's internal Sharepoint site and liaises with administrative section personnel and others in updating the OALE's Sharepoint site. Utilizes tools such as Microsoft Power BI to graph statistical and other information for review by command staff.
OTHER ADMINISTRATIVE DUTIES: Provides assistance and/or completes other administrative or support tasks assigned by the chain of command. Administrative duties may include any functions or tasks supporting the administration, operations, or functions of the Director's Office at the direction of the assistant division director. Attends meetings and travels as required. Operates and/or utilizes a variety of business and office equipment and machines including computers, photocopying equipment, scanners, calculators, etc. Acts as a backup for reception desk responsibilities as required.

Minimum Qualifications:
* A bachelor's degree from an accredited college or university and three (3) years of administrative or office support experience.
* A master's degree from an accredited college or university can substitute for one year of the required experience.
* Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
* An equivalent combination of college education and experience which equals (7) years can substitute for the above requirements.
* Requires possession of a valid driver license.

JOB DUTIES AND RESPONSIBILITIES:
This position is primarily responsible for providing administrative support services to DOH Orange WIC and Nutrition Services management staff. Position requires travel within Orange County; therefore, a valid state of Florida driver's license is required. The Administrative Assistant II works assisting the Program Director and the Public Health Nutrition Consultants with all human resources actions. Update and maintains paper and electronic records of position descriptions, and emergency contact records. Develops agendas for WIC supervisor and staff meetings.
Produces reports, tables and query files upon request of management. Develops and/or prepares documents for media, State WIC Program office, DOH-Orange WIC Program as directed or assigned.
Maintains and updates the DOH Orange WIC SharePoint site. Coordinates the annual review of WIC policies and procedures. Prepares request for travel reimbursement and submits according to pre-established departmental procedures as needed. Maintains a courteous and cooperative working relationship with program and departmental staff, as well as community agencies and the public.

Assists in the management of the Civil Surgeon Program for the Florida Department of Health in Miami-Dade County. Works with the clients and TB providers to ensure the Civil Surgeon operations and requirements are met. Which consist of internal and external requests completing the immigration medical exam and required assessments for communicable diseases of public health significance, evaluation, and immunization requirements. Ensures the immigration Form I-693 is filled out properly and submits the form for review to the Advanced Registered Nurse Practitioner Specialist before collecting the final physician's signature. Upon form completion uploads proper documentation to client's records in HMS. Communicates with clients to provide original and copies of the official I-693 form, collects client's receipt signature as the documents are handed and educates clients regarding the expiration period.
Assists the Physicians and Radiology Technicians by preparing drafts and correspondence, memos, reports and other documents using Microsoft Word. Distributes memos as directed to appropriate staff. Gathers data as needed by the physicians and Radiology Technicians to resolve issues or to work on special projects. Follow up on all assignments in progress to ensure timely completion. Keeps the Radiology Technicians and physicians' calendar by scheduling and recording meetings and functions as needed. Attends meetings with the staff and take minutes as required. Files documents for the physicians as needed.
Prepare paperwork for commitment and coordinate with Legal Office, Jackson Memorial Hospital, JMH TB Respiratory Unit as needed with regards to the commitment and emergency hold of TB patients. Coordinate with the sheriff's office for pick up and transportation of patients to JMH TB Respiratory Care Unit with the assistance of the DOH-Miami-Dade Legal Office, the patient's attorney and the sheriff's office.
Participate in workgroups and meetings and attends required trainings. Ensures for self that email communications are maintained daily and accurate completion and timely submission of all administrative requirements including EAR's, timesheets, reports, respond to SERVFL emergency alerts, etc.

Position Summary
This is an administrative position assisting the Regional Operations Manager in the operation of the Suncoast Region. Duties include assisting supervisors, officers, and administrative support staff with the proper management and operation of the field office. Reviews, prepares drafts of memoranda and correspondence for staff. Completes assigned tasks related to, but not limited to: citations, subpoenas, off duty, vessel inspections, derelict vessels, purchasing (office and officer equipment needs), invoice processing, captive wildlife exams, events/outreach, printing/scanning needs, mail, publications, notary responsibilities.

Assist all administrative personnel with the Division of Law Enforcement's Southwest Region. Performs other related duties and special projects as assigned by GOC and/or Regional Command staff.

Your Specific Responsibilities:
The Bureau of Vital Statistics provides for the statewide registration of all Florida vital record events, which includes all Florida births, deaths, fetal deaths, marriages, and divorces. The bureau issues more than 2.8 million certified copies annually. A centralized database allows all 67 counties to issue birth certifications, 1850 to present: death and fetal certifications, 2009 to present. Marriages, and divorces, 1927 to present, are available for certification from the state office. The bureau maintains more than 22 ½ million vital records. The bureau produces routine and special analysis and reports of vital statistics data; provides policy, procedure and monitoring of 67 county local registrars of vital statistics; 118 birthing hospitals; funeral directors, medical examiners and certifying practitioners; and numerous tax collector offices, in accordance with Chapter 382 Florida Statutes and Chapter 64V, Florida Administrative Code.
Position Description
This position is in the Computer Issuance & Lobby Operations Unit. The incumbent is responsible for complex technical work in the operations of records management involving the storage, preservation, and issuance of Florida's birth, death, fetal death, marriage and dissolution of marriage records. This position requires independent judgment and interpretive skills to ensure compliance with Florida Statutes and Florida Administrative Code as they relate to the issuance of vital records and records management retention schedules.
Handles large volume of incoming telephone calls received through the client services hunt group from clerks of court, state and federal agencies, attorneys, and the general public and provide information on eligibility and issuance, procedures for requesting additional searching, or the status of a request.
Consults person-to-person with clients visiting our facility to obtain information, and/or vital records, verifies eligibility for confidential records based on requirements as defined in Florida Statutes, conducts thorough search of e-Vitals database, creates electronic application, issues certification from computer database or digital image, and ensures proper tracking of safety paper audit control number. Hand delivers record to walk in client. Calculates applicant's expense based on type of service and number of certifications requested, and balances funds at the end of each day.
Reviews requests for computer generated vital record certificates, verifies eligibility for confidential records based on requirements as defined in Florida Statutes, conducts thorough search of e-Vitals database, creates electronic application, issues certification and ensures proper tracking of safety paper audit control number. Verifies mailing information and prepares package for shipping. Ensures expedite orders are given top priority. Calculates applicant's expense based on type of service and number of certifications requested, and balances funds at the end of each day.
Processes downloads received from our contracted vendor 7 times daily, prints work orders for distribution to appropriate unit within the Vital Records Section, imports orders into database. Closes batches at the end of the business day and reconciles funds against electronic payment from contracted vendor.
Corresponds with clients by phone, mail, or email regarding requests for vital records and restrictions as to the issuance of confidential information, fees, search capability and other activities associated with the issuance of these records.
Maintains reports on work production, safety paper audit control number tracking and money reconciliation. Organizes and boxes the applications and accompanying correspondence for retention pursuant to Records Management requirements by the Department of State.
Performs other related duties as assigned including records preservation projects.
