Brief :
This position performs complex contract assistance and review work. Work involves preparing and reviewing contract material for program signatures, preparing and disseminating regular financial statements. The position is also responsible for review and maintenance of contract file information, and reviews and/or verifies contract data in the Information Management Protecting Adults and Children in Texas (IMPACT) system. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
This position demonstrates professionalism, confidentiality, teamwork, and clear communication. Interacts routinely with various levels of DFPS staff, particularly Child Protective Services, as well as contracted providers and the general public.
Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Provides contract assistance to contracting agency staff on eligibility, policy, and documentation processes. Tracks, organizes, and maintains documents for Residential Child-Care Providers (RCCP) SPARC records related to residential contracts. Update spreadsheets and other information as necessary on SharePoint to accurately reflect the status of contract activities.
Manages distribution and tracking of provider financial statements to a portion of RCC contractors to verify that contract data meets legal and fiscal requirements .
Provides intermediate-level technical assistance to contractors, contract applicants, DFPS staff, and staff of other state agencies others on policies, procedures, rules, regulations, standards and/or requirements. Communicates effectively to address issues and resolve problems or complaints. Researches inquiries in accordance with contract expectations, program policies and procedures.
Provides technical assistance in the development, preparation, and routing of contracts and amendments to ensure correctness and adherence to procedural requirements. Edits procedural guides and other documents to ensure processes are revised and updated.
Updates residential contractor contact information, maintains and reviews contract file information, scans and uploads documentation into the appropriate contract management database.
Supports quality assurance and performance measure tracking and reporting processes, and assists with contract monitoring as needed.
Provides support to other team members to ensure continuity of business practices, including managing and distributing information to contractors from the community mailbox, assisting with eMACs, preparing and shipping archived documents, ordering supplies, and serves as back up to colleagues. Performs other duties as assigned, including special projects.

Knowledge, Skills and Abilities:
Knowledge of DFPS policies and procedures, especially purchased client services and knowledge of Child Protective Services program, is preferred.

Registrations, Licensure Requirements or Certifications:

Initial Screening Criteria:
Graduation from a standard senior high school or GED. A college degree or courses/training in the IT field preferred but not required. Experience operating a computer using Microsoft products (Outlook, Word, Excel) preferred but not required. High Volume Customer Service Experience preferred but not required. Preferred a general understanding of the knowledge, skills, and abilities needed to perform duties and/or conveying during the interview being Open-Minded and welcoming to receiving highly detailed On-The-Job Training.
