The Medical Office Assistant performs various duties as a member of the health team in the treatment and care of patients and their families and also assists with tasks to support the unit. The position works under the supervision of an LPN/RN. The Medical Office Assistant must demonstrate knowledge of the principles of human growth and development over the life span, ability to recognize data reflective of the patient's status and inform the Registered Nurse/Licensed Practical Nurse of observations. * Participates and supports the health team in the direct patient care under the supervision of an RN/LPN. * Performs heights, weights, and head circumference measurement. * Performs electrocardiograms. * Assists with medical procedures as required, i.e. sigmoidoscopies, colposcopy, and biopsies. * Maintains Patient Charts/record/clinic logs and database as necessary. * Collects specimens. * Competence in auditory testing, visual testing, EKG, venipuncture and taking vitals. * Keeps examination rooms neat and clean. * Manages time and other resources to meet established goals within the agreed upon time frames. * Meets regulatory, licensure and annual health assessment requirements. * Observes the Health Care System's compliance policies. * Ensures that all patients, visitors, and guests, as well as co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect. Qualifications: * HS Diploma or GED required. * Formal training in a program leading to certification as a Medical Assistant. * Certificate from an accredited medical assistant school. * Minimum of 1 year experience. * Bi-lingual Spanish preferred. * Demonstrated communication and interpersonal skills. * Demonstrated competence in auditory testing, visual testing, EKG, venipuncture and taking vitals. * Certification as a Phlebotomist or EKG technician preferred. * Current Basic Cardiac Life Support. Under the direction of provider does prescription renewals and ancillary testing (i.e. EKG and spirometry). 5. Forwards any appropriate material needed by the consultant. 6. Maintains system to ensure timely receipt of all consultation reports and referred testing results. Follow-up associated problems, missing information, etc. 7. Obtains pre-certification clearances required for medical testing and submits necessary paperwork. Follow-up on requests when pre-certification is not received in a timely manner. 8. Telephones patient with test results and follow-ups with appropriate referral. 9. Performs waived laboratory testing in a timely manner and reports results. 10. Provides age appropriate care to neonate, infant, children, adolescent, adult and geriatric patients. 11. Is responsible to know the proper protocol for disposing of regulated medical waste. Medical Documentation: 1. Transcribes physician's notes and updates patient medical records if required. 2. Is responsible to scan/file results of testing, consults or any other medical record according to office protocol. 3. Processes patient request for information, copies of office medical records and distributes as necessary. 4. Assists with the preparation of Worker's Compensation forms and monitors associated paperwork to ensure progress of compensation cases. Obtains information from the patient's chart and prepare C-4 forms for billing on Worker's Compensation claims. 5. When Billing Department prints C-4's checks them for accuracy and forwards to physician for signature. After signature is obtained, forms are copied/scanned and placed in medical record and original is sent to billing for processing. Other: 1. Assists Administrator, physician(s), nurse(s) and other staff with other practice related functions as required. 2. Functions with awareness for safety of patients, co-workers and self (i.e. OSHA compliance). 3. Is responsible to attending mandatory annual educations programs and participates in the process as appropriate. 4. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health. 5. Participates in a patient-centered care team that focuses on coordinated care for individual patients, supporting patients and families to manage population health, utilizing evidence-based methodologies. Reports to Outpatient Services -Director of Operations. DUTIES AND RESPONSIBILITIES: 1. CHECK IN FUNCTIONS: a. Prepares daily schedule & distributes. b. Answers incoming calls courteously and efficiently-routes all medically related calls to appropriate care provider for further action. c. Prepares charts for appointment. d. Obtains & updates all patient demographic information. e. Sorts distributes mail according to office protocol. 2. CHECK OUT FUNCTIONS: a. Makes all necessary appointments per provider instructions. b. Prepares orders for any testing. c. Obtains any needed prior authorizations. d. Provides patient with test instructions and education materials as appropriate. e. Documents all follow up and appointments in medical record. 3. BILLING: a. Verifies demographic information and updates in computer. b. Ensures information on encounter forms is complete and accurate for billing department c. Tracks encounters and associates them with daily visits. 4. PATIENT SUPPORT: a. Prepares patients for exam, procedures, takes vitals, etc. b. Prepares patients and performs phlebotomy as needed, if they have successfully completed the required Phlebotomy competence. c. Prepares surgical instruments, cleans and sends for sterilization according to protocol. d. Assists provider during exam, surgical procedure and suture removals as necessary. e. Under direct supervision of provider: i. Prescription renewals - medication reconciliation with each visit. ii. Performs ancillary testing such as EKG, spirometry etc. iii. Performs waived testing - has completed annual competency. iv. Phones patient with any pertinent information - refers complex issues to nursing. v. Tracks outstanding results, referrals and authorizations. vi. Follows protocol for disposing of regulated wastes. f. Works closely with office patient care coordinator/office patient case manager and other members of the care team to assure patient receives appropriate education, referrals, medications, and preventative care to optimize patient health. 5. MEDICAL DOCUMENTATION: a. Transcribes notes (when applicable) and updates medical records. b. Files/scans results according to protocol. c. Processes all medical records requests according to protocol. 6. CARE TEAM PARTICIPATION: a. Participates in processes that promote a functional care team, including periodic team meetings and electronic messaging. b. Participates in the practice's performance evaluation and quality assurance activities. 7. OTHER: a. Assists Administrator, provider(s), nurse(s) and other staff with other practice related functions. b. Maintains professional behavior and appearance. c. Functions with awareness for safety of patients, co-workers and self (i.e. OSHA compliance). d. Is responsible for attending all annual mandatory educational programs and participates in the process as appropriate. i. Merit Fair, including a module on population health, in which patients' needs are proactively addressed to optimize the overall health of the population. ii. Effective patient communication, particularly with vulnerable populations, eg. Patient coaching and motivational interviewing. iii. AIDET (acknowledge, introduce, duration, explain thank you), which fosters effective communication with patients. e. Checks expiration dates on all medications and medical supplies disposing appropriately as per institution policy. Maintains a safe, secure, and healthy work environment by following standards and procedures; complies with legal regulations. Complies with established personal protective equipment requirements necessary for protection against exposure to blood and other potentially infections body fluids, chemical disinfectants, radiation and other hazardous substances.
