ASSISTANT PROPERTY MANAGER The Assistant Property Manager (APM) is responsible for being a great team member of this high energy community with 173 apartment homes in Wakefield, MA. We expect the Assistant Property Manager to create the greatest possible satisfaction and well-being of all individuals associated with the community while being consistent with the goals & objectives of the company. The Assistant Property Manager will work in conjunction with each Property Manager to oversee the daily activities of the community, including leasing, collections, resident relations, maintenance, general office administration and policy & procedure compliance. As an Assistant Property Manager (APM), your primary responsibilities include:
Leading by example, living the standards and behaviors consistent with the core values and culture of Dolben
Achieving financial objectives through rent collection and by managing delinquency
Sales and marketing to include conducting informative and personalized tours of the community which result in new leases
Building brand loyalty by striving to ensure every resident interaction is positive

Stepping in and taking responsibility for leading when the Property Manager is not present
What You Bring to Us:
A college degree (preferred)
1-3 years of experience in property management, hospitality or retail industries
Exposure to revenue, P&L and budget management
Outstanding communication skills, both written and verbal
Proficiency with industry software (MRI, YARDI, Nexus preferred)
Sales aptitude
Must be able to work Saturdays

We are seeking a dedicated and detail-oriented individual to join our team as an Assistant Community Manager for our multifamily properties. Essential Job Functions
Address resident requests, complaints, and inquiries in line with contractual obligations and standards.
Liaise between ownership and residents, including drafting and distributing resident communications.
Foster positive relationships among residents, management, and building staff.
Assist in analyzing income and expense patterns, budget forecasting, code and process accounts payable and receivable, file compliance paperwork, and maintain office files.
Manage office supplies inventory and monitor storage, bicycle, and fitness agreements for compliance.Prepare monthly reports, ensuring delinquency is below 0.5% of GPR.
Assist in regular community inspections, coordinate Move In/Move Out schedule, collect insurance certificates, and process Move Out Reports and security deposit refunds.
Assist with data entry in the online work order system and support Resident Manager with post-move out walk-throughs.
Collaborate with property management and maintenance on renovations or CapEx projects, obtain vendor estimates and review contracts, provide recommendations for modifications and coordinate vendors for repairs as necessary.
Conduct leasing demonstrations, monitor and maintain new and renewal leases to include optimal renewal rates, process lease administration paperwork, and enter information into property management systems.
Assist in the lease enforcement process, including reviewing applications, conducting inspections, and ensuring notice requirements.
Maintain competitive marketplace intelligence to contribute to sales, marketing, and operational initiatives for budgeted occupancy and customer retention goals.
Supervise programs for resident retention and collaborate with internal departments.
Be available for after-hours emergencies, ensure proper insurance requirements are met, report liability and property incidents to upper management, and submit necessary paperwork.
Must be present on-site and be able to move throughout the building to address community-related matters, including exceptional communication skills to meet with tenants, staff, vendors and visitors.
Ability to ascend and descend stairs and be comfortable with exposure to varying environmental climates and circumstances.
Position may be required to perform duties outside their normal responsibilities as needed.
Qualifications
Bachelor's degree in business, marketing, real estate, or finance is preferred.
Minimum of 1 year of assistant community management experience.
Proficiency in navigating computers and community management software, including Microsoft Office, iLuvLeasing, On-Site, and Yardi.
Technical knowledge of building operations and maintenance.
Understanding of marketing trends, budgeting, and reporting.
Valid MA real estate license or ability to obtain one within the first 120 days of employment. All active license holders must register their license with Rose Associates upon hire.

Who we need:
You will join our Assistant Property Management team in Newton, MA, and provide administrative support to a portfolio of properties. What you'll do:

Customer Service: Communicate effectively with Account Executives and Accountants in-house. Respond in a timely manner to emails and phone calls from owners, brokers, banks and tenants.
Administrative: Mailings using mail merge methods. General correspondence to owners and tenants (violations, fines, invoices and late letters). Process invoices for payment. Research using Yardi accounting software.
Organization: Technical and analytical. Methodical work output so that job routines can be completed on time. Maintain Property files. Complete set of procedures and tasks before new ones are begun.
Skills/Experience: Proficient in Microsoft Office, Yardi knowledge is a Plus.

Ultimately, the Assistant Property Manager helps to maximize property value and enhance the living and working experience for all residents and tenants.
What you'll do:
Assist in the day-to-day management of property operations, including tenant relations, lease administration, recertifications, and rent collection.
Coordinate maintenance requests and work orders, ensuring timely resolution and quality service delivery.
Support marketing and leasing efforts to attract and retain tenants, including conducting property tours and processing applications.
Maintain accurate records of tenant communications, lease agreements, and financial transactions.
Collaborate with vendors, contractors, and internal teams to ensure compliance with property standards and regulatory requirements.
What we're looking for:
Certification in Property Management (e.g., CPM, ARM) or willingness to obtain within the first year.
Experience with real estate leasing and tenant screening processes.
Familiarity with local real estate laws, regulations, and fair housing practices.
Proficiency in advanced property management software platforms.
Demonstrated ability to handle conflict resolution and maintain positive tenant relationships.
High school diploma or equivalent; Associate's or Bachelor's degree in Business, Real Estate, or related field preferred.
At least 1-2 years of experience in property management, leasing, or a related customer service role.
Basic knowledge of property management software and Microsoft Office Suite.
Strong organizational and communication skills.
Ability to work flexible hours, including occasional evenings or weekends as needed.

Who we need:
You will join our Assistant Property Management team in Newton, MA, and provide administrative support to a portfolio of properties. The focus of this job is on producing high quality, detailed work based on established standards, guidelines and procedures. This position is multi-faceted working with multiple Account Executives. Must possess excellent Excel and Word skills, have above-average customer service skills, be cool under pressure, and work independently. You should be comfortable working with a repetitive routine and an even pace to promote accuracy and quality of work.
What you'll do:
Your day to day will include processing invoices, managing calls from owners, brokers, banks and tenants, filling out appropriate paperwork for corporate administrative charges, preparing and sending mass mailings, and maintaining property files. You may also be asked to attend annual meetings for some properties within your portfolio.
Customer Service: Communicate effectively with Account Executives and Accountants in-house. Respond in a timely manner to emails and phone calls from owners, brokers, banks and tenants.
Administrative: Mailings using mail merge methods. General correspondence to owners and tenants (violations, fines, invoices and late letters). Process invoices for payment. Research using Yardi accounting software.
Organization: Technical and analytical. Methodical work output so that job routines can be completed on time. Maintain Property files. Complete set of procedures and tasks before new ones are begun.
Skills/Experience: Proficient in Microsoft Office, Yardi knowledge is a Plus.
