Job Description
The University of Nevada, Reno Extension is seeking a detail-oriented, customer-service-focused AdministrativeAssistant 3 to support the State 4-H Office. This position plays an important role in helping deliver high-quality statewide youth development programming by providing administrative, fiscal, and logistical support to the State 4-H Program Leader and statewide 4-H faculty and staff.
The AdministrativeAssistant 3 helps coordinate daily program operations, assists with fiscal and travel processes, maintains statewide databases and records, supports statewide 4-H events, and serves as a key contact for county 4-H offices, volunteers, families, and community partners. This position requires strong organizational skills, excellent communication, and the ability to work independently within established procedures and guidelines.
Key Responsibilities
Provide administrative support to the State 4-H Program Leader and statewide 4-H team, including scheduling, communication, and document preparation.
Process travel, purchasing, reimbursements, and other routine fiscal documents.
Support statewide 4-H programs-including 4-H Online, Shooting Sports, and the State 4-H Camp-through data entry, recordkeeping, and general program assistance.
Coordinate logistics for statewide 4-H events, trainings, and meetings.
Maintain office operations, including supplies, mail, and preparation of program materials.
Required Qualifications
This position requires graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR

Experience supporting statewide programs, volunteer-based organizations, or youth development programs.

Job Summary Resnick Sustainability Institute (RSI) was founded in 2009 and has supported research in the areas of energy and sustainability at Caltech since then.
RSI is seeking an experienced AdministrativeAssistant to work with RSI senior managers in support of day-to-day activities of RSI and its staff, including RSI events.
The AdministrativeAssistant will report to the RSI Executive Director of Operations.
Essential Job Duties Assist with and manage a wide range of communications, which may include meeting minutes, correspondence, e-mails for internal and external audiences, and social networking postings.
Manage and track RSI databases and digital assets.
Oversee service contract schedules.
Proofread and edit RSI materials, such as white papers, grant applications, and communications.
Create visually sophisticated communication materials.
Schedule meetings and appointments; keep and manage calendars; keep and maintain RSI mailing lists and contact databases.
Support RSI events, including the design of initial event goals, concepts for the event, catering needs, and budget; use commercially available web products to set up meeting websites; manage event registration lists and participant tracking; support overall production of event materials; coordinate the work of event vendors; and process event-related invoices.
Use P-card or TechMart (e-procurement application) to purchase goods and services for RSI staff and process reimbursements.
Support RSI staff and RSI visitors as needed with travel logistics and expense reports.
Work with modern AV equipment and troubleshoot issues throughout the Resnick Sustainability Center.
Process and maintain sensitive and confidential information.
Perform other related job duties as assigned.
Basic Qualifications Two or more years of administrative support experience.
Excellent writing, proofreading, and editing skills.
Demonstrated ability to coordinate events, including budget planning.
Ability to conduct online research pertaining to RSI tasks.
Proficient computer skills, including working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Adobe; must be comfortable with learning new applications.
Aptitude and willingness to learn about and gain proficiency with internal AV systems.
Excellent customer service skills; must use good judgment, diplomacy, and patience.
Attention to detail and good time management skills; must have the ability to prioritize, organize, and multitask.
Must be ethical, discreet, and committed to maintaining confidentiality.

POSITION SUMMARY

Minimum Qualifications
Strong written and verbal communication skills, including thorough knowledge of English grammar, spelling and punctuation
Working knowledge of standard office software packages including word-processing, spreadsheets, databases, electronic mail and calendaring systems
Experience with web page development and maintenance
Excellent customer service skills
Ability to operate standard office equipment
Ability to establish and maintain cooperative working relations and to interact effectively with a diverse population
Ability to quickly learn basic university infrastructure, policies and procedures
Education and Experience:
Completion of a high school program or its equivalent.
General office support or technical experience (experience requirement may vary based on the opportunity)

Responsibilities are expected to include outpatient evaluation of patients with suspected autonomic disorders, supervision of autonomic testing in the neurodiagnostic lab, and active participation in the teaching of medical students, neurology residents and autonomic fellows. Participation in autonomic section meetings and autonomic fellowship didactics is also required.
QUALIFICATIONS:
The successful applicant should have an MD/DO (or equivalent) and ABPN board certification, with eligibility for a California medical license. Applicants should have completed autonomic fellowship training or have extensive clinical experience in autonomic medicine. Recent graduates who have completed an autonomic fellowship are encouraged to apply.
