Summary:
In collaboration with a multiple departments, performs the administrative tasks necessary to support exceptional patient-centered care, such as reception, managing of phone calls, facilitating image release, communicating imaging reports, validating physician orders, daily roster preparation, and patient registration. Adheres to BHS operating principles, system and department compliance policies, and any applicable laws and regulations. May be required to perform other related tasks or duties as requested or assigned.
Job Responsibilities:
1) Managing the Patient Experience:
Greets patients promptly in warm, friendly manner demonstrating appropriate amount of interest or concern. Smile, make eye contact, use welcoming language (hello, welcome, how can I help you today). To maintain patient confidentiality use the system to verify reason for visit. Gather and/or verify patient demographics. Confirm that we have referrals or pre-authorizations if necessary. Give the patient a provider update (on time or running late, etc.).
Hospitality:
Maintain waiting area, check reading materials, play areas, etc. Direct patient and family members to restrooms and other amenities. Check to see if there is any other way you can assist. Employees at this level are developing their skills and understanding of needs of the patients and their families or caregivers.
2) Communication:
Develops and maintains working relationships with coworkers, providers, other agencies, and ancillaries. Receives and provides information as necessary while complying with policies and regulations (e.g., HIPAA). Addresses public in a cheerful customer service focused manner. Demonstrates awareness of cultural differences and adjusts to accommodate differences. Develop competency in managing difficult conversations.
3) Patient Identification:
Will identify a patient using two identifiers (i.e., name and date of birth). Where required, will place an ID band on the patient following verification of the patient's identity. Will monitor patients stay in our waiting area, to maintain open communication about delays and exam status.
4) Confidentiality and Privacy:
Maintains confidentiality of patient records using extreme care to discuss matters only with appropriate personnel to meet HIPAA Guidelines. Effectively operates hospital information system, ensuring patient and hospital confidentiality in accordance with established policies.
5) Telephone:
Answers telephones in a prompt, courteous manner. Attempts to resolve inquires without transferring calls, if necessary, routes phone calls to appropriate personnel or department.
6) General Duties:
Performs general clerical duties, which include order entry, system downtime recovery, preparation of exam-related materials and records, and makes reminder calls to patients. Observes any discrepancies within patients' records and either corrects them or brings them to the attention of proper personnel. Identifies and communicates all unfinished work, assuring continuity.
7) Mail Processing/Faxes/Rosters/Images:
Demonstrates the ability to operate all office equipment to include fax machines and copiers. Opens, sorts, and distributes all incoming mail and faxes daily according to practice guidelines. Prints orders, CDs, and reports while following the appropriate release and or approval in compliance with practice policy and regulations (e.g., HIPAA) Reviews all orders for validity maintains daily rosters per department criteria.
8) Leadership:
Takes responsibility for teaching and helping to develop and improve procedures and policies. Seeks and communicates process improvement opportunities and workflow optimization.
9) Covers one modality desk, or performs registration. Must have work in the department for a minimum of two years.
10) Registration:
Register and arrive patient. Collect, verify, and update all account demographics and financial information including isurance infromation within established quality assurance thresholds.
Collect co-pay, deductibles, co-insurance, and other patient balances where applicable.
Secures cash drawer according to depatmental procedures with random quartely balance checks 100% of the time.
11) Insurance Verification:
Request proof of insurance; verify using appropriate systems, initaiates contact for finanicial counseling. Assist patients or customers fill out and complete medical release of information accurately.
Understands insurance coverage and understands billing for part A (hospital) and part B (provider).
12) Other Duties-Department Specific:
Responsibilities may be more specialized than as detailed above in larger practices or may include additional duties in some departments.
Required Work Experience:
1) Experience or education equivalent to that generally received by obtaining HS graduation.
Preferred Work Experience:
1) 6 months.

We are seeking a full-time, 40-hour Call Center Representative to join our team! This role will support our multidisciplinary team by handling a high volume of inbound calls, averaging approximately 70-90 calls per day, per agent. Responsibilities include scheduling appointments, answering questions, handling complaints, and troubleshooting problems. The goal is to ensure that our callers receive timely, efficient, and high-quality service!
The ideal schedule for this role is Monday to Friday, from 8:30 AM to 5:00 PM.
Our Call Center is based out of 370 Merrimack Street in Lawrence, MA. Employees are expected to be onsite for all hours worked during onboarding/training for the first few weeks, but there are options for remote work after the successful completion of that probationary period and fully acclimated to the role.

Job Summary
The Opportunity
The team is growing and hiring Remote Customer Service Representatives! The teammates in Patient Billing Solutions (PBS) review and resolve guarantor account balances. Contact with guarantors can be either inbound contacts or outbound contacts that are generated by phone, written correspondence, email or secure Epic in-basket requests. Primary focus includes timely responses to guarantor inquiries generally matching the method that was used to contact PBS.
Account resolution takes many forms including securing payments, making appropriate adjustments, initiating reviews of insurance processing, refunding guarantor balances or resolving a wide range of registration, demographic or insurance coverage issues. Some guarantor accounts will be queued for action due to the account being placed in a Work Queue that is designated for action by a PBS team. Most staff will have some responsibility to answer phone calls via an Automated Call Distribution (ACD) process (i.e. Call Center). This responsibility will vary based on the specific team assignment.
Account resolution typically requires expertise in multiple modules in Epic, including HB Resolute, PB Resolute, Registration/ADT and Credit Specialist training. Broad based knowledge of medical billing and insurance processing is also required. Staff must be able to respond knowledgeably to a wide range of issues for every contracted and non-contracted payer, including government and non-government payers presenting their findings professionally in language that the guarantor can understand. Staff must be diligent in following HIPAA Privacy guidelines.
The primary goal of PBS is to resolve the guarantor's concerns focusing on providing excellent customer service that enhances their overall experience with MGB.
What You'll Do
* Respond to patient/guarantor/Customer concerns which span a wide range of issues including payer denials, coding accuracy/appropriateness, secondary billing, Coordination of Benefits, verification of co-payments/co-insurance/deductibles and verification/updates to demographic/insurance information and fiscal registrations to verify the patient's responsibility for all outstanding balances. Verification process routinely includes contacting other departments at MGB/RCO/entities, payers, affiliated physician organizations and other vendors (Collection Agencies and other outsource agents).
* Credit & Collection Policy and Financial Assistance Policy and must inform patients of all assistance available to them when making payment arrangements, processing payments, application, or referring patients to Financial Counseling.
* Provide timely, professional, and accurate account review, analysis, and resolution of patient inquiries. Whenever possible, resolve issues during the initial telephone call. Verify the patient's fiscal and demographic information at every opportunity and make appropriate updates to various billing systems to ensure claims are processed appropriately and Medicare as a Secondary Payer questionnaire. Resolve complex issues with minimal external or supervisory involvement. Document all patient interactions and account actions in assigned billing systems to establish a clear audit trail.
* Obtain information from and perform actions on accounts in Epic (HB and PB Resolute) and for selected HB accounts, TRAC and QUIC. Look up information in other support systems as needed including, but not limited to, Legacy Data Access LDA, document imaging (OnBase), eligibility verification systems (NEHEN, payer web sites) and other document backup (Sharepoint) to identify root cause issues. Use systems and information to resolve issues and respond to the patient's inquiry. Obtain information from internal third-party payer units, intermediaries for professional practices and hospital departments, payers, ambulance companies and other hospitals/Home Health/Rehab Facilities to help resolve the patient's inquiry.
* Understand liability claims, legal basics, medical terminology, a general knowledge of the MGB
* network hospitals including major variations in administrative protocols as well as key industry issues.
* Must provide cordial, courteous and high-quality service to callers. Must listens attentively to patients by placing customer concerns ahead of oneself. Understand and practice concern for patients as the ultimate consumers of service.
* Effectively handle all communications, which may include via Work Queues, correspondence, telephone and emails (MGB emails and Patient Gateway/Epic Inbox messages, from patients and other departments within MGB. Utilize customer service, collections, and billing experience to gather and interpret relevant information to resolve patient account issues and complaints.
* Follow through on commitments and achieves desired results. Exhibits sound judgment, obtains the facts, examines options, gains support and achieves positive outcomes.

* Effective communication, organizational and problem-solving skills required.
* 1-3 years relevant experience in customer service or collections in a health care setting strongly preferred
* Alternative work experience or training in lieu of experience may be considered.
Skills and Duties For Success
Specific expectations and accountabilities include:
* Consistently answer calls at the average of the daily rate for the team, typically at least 40-50 calls per day.
* To the degree possible, maintain a daily list of all accounts accessed. Provide supervisor/manager with an account listing of all unresolved issues weekly.
* Representative resolves at least 80% of patient issues without referring the call to the supervisor/manager.
* Pass routine quality assurance reviews at an average of >90%
* Performs other duties tasks or projects as assigned. Able to work and think independently while being self-motivated.
* Properly document every account that is accessed. Document with clear concise notes.
* Ensure accurate patient billing through review of account history, third party billing activity and analysis of payments and adjustments. Seek expert assistance from other departments such as Coding, Third Party Billing/Follow Up, Revenue Control/Cash Processing, and Group Practice Billing Managers by making appropriate inquiries through established channels.
* Identify root cause(s) of guarantor/patient inquiries and report findings to management for appropriate resolution to future accounts. Follow up on individual issues to assure they are completed. Record and classify all communications in the appropriate systems for statistical reporting.
* Submit patient credit balances that need to be refunded to the appropriate parties for action by verifying the reason for the credit.
* Communicate clearly and concisely both orally and in writing. Follow established regulations and procedures in collection, recording, storage and handling of information. Ensure required documentation of issues is complete, accurate, timely and legible. Protect and preserve confidentiality and integrity of all information according to MGB HIPAA confidentiality policy.
* Supports and demonstrates the values of the MGB and affiliates by conducting activities in an ethical manner with integrity, honesty, and confidentiality. Job Summary
The role is responsible for investigating potential recoveries for Coordinaton of Benefits through phone calls, questionnaires, claims, provider inquiries, and other systems as required. This incumbent will also be responsible for the management of communications with internal and external customers and a high level of research work related to the Coordination of Benefits opportunities. Deals directly with providers, members, CMS, and other health plans in the state and nationally regarding laws and statutes governing Coordinaton of Benefits.
Essential Functions
* Responsible for identifying recovery opportunities within the Department.
* Review, research, and process all COB claims for members with other insurance, including retractions and repayments, according to desktop procedures, contractual requirements, and other regulatory rules.
* Responsible for reprocessing claims for COB termed members and ensuring information is added and maintained accurately in QNXT.
* Responsible for reviewing, researching, and resolving email inquiries from internal customers regarding member's claims and/or eligibility updates.
* Responsible for reviewing, researching, and resolving Medicare Secondary Payer (MSP) cases according to Medicare guidelines and procedures. Actively communicate case status to the group and Sales Team when needed.
* Coordinate recoveries per federal regulations with other insurers for services unable to be recovered.
* Process Credit Balance claims, refund checks, and validate claims retractions.
* Process COB questionnaires to members and make determinations of primary insurance in accordance with federal and state mandates.

Job Summary
GENERAL SUMMARY/ OVERVIEW STATEMENT: As a member of the Room Service team, the individual will be tasked to assist and deliver in a pleasant, friendly and timely manner patient specific high-quality food and exemplary service to patients, guests, and staff. This position requires working with and assisting other members of the Room Service team and Hospital staff to ensure that all patients receive prescribed foods, and guests and staff receive requested food following Federal, State, Local and hospital sanitation and safety procedures. As outlined in the Food Service Department's HAACP program. PRINCIPAL DUTIES AND RESPONSIBILITIES: 1. Act as a liaison to food service for the patient, family and staff. Tasks as liaison: explaining the meal selection process; assist menu selection of patients according to prescribed diet order. To assure patients fed within 45 minutes of ordering the meal. 2. To communicate on the telephone in an efficient, pleasant and respectful manner, even during periods of high call volume, in order to assist patients and guests with their meal service selections. At peak time, a call center operator answers the phone and immediately enters a complete order into the Computrition system. A call center operator's average call time will range between 1 1/2 - 2 minutes. 3. To review therapeutic diet orders and modify the patient's order to meet the diet order parameters while attempting to honor the patient's request and be aesthetically pleasing. 4. To speak with the patient, family member(s) or nurse to explain needed modifications regarding meal orders. To communicate changes and if possible find a satisfactory substitution. To assure a nutritionally balanced meal that meets the dietary restrictions of the patient's diet order. 5. Communicate on the phone or in person to patients, staff, and guests according to department scripting policy and procedures. 6. To communicate patient diet order issues to the Call Center Operator Lead, Diet Tech or clinical dietitian when policy mandates. 7. Identify patients who are not able to place an order via telephone or who have not ordered their meal. Interact with patient family and nursing to enter a complete order in Computrition. Facilitates the meal service or communicate via Computrition the reason for refusal. 8. Acts upon patient, family, or staff meal service requests. These requests may include contacting and following through with the clinical dietitian regarding diet order issues or supplement changes, or room service team members to resolve meal service issues or handle special requests. When necessary escalating requests to management 9. Manage patient nourishment, supplement and tube-feeding delivery. 10. Proficient using the Computrition according department policy and procedures and maintains accurate and updated patient information via the electronic diet office system. 11. Manages difficult or emotional situations and responds promptly topatient needs. 12. Pickup diet order sheets from nursing stations and receive verbal diet order changes. Adhere to department policy and procedures when receiving a verbal diet order. 13. For administrative and tracking purposes, monitor, collect and/or record operation specific data. 14. Assist in orientation and on-the-job training of new Call Center Operators and Dietetic Interns. 15.Read hospital email periodically throughout the day to remain up to date on patient and policy and procedures information. Use hospital work stations and email according to hospital policies and procedures. 16. Perform duties of the Call Center Operator I when necessary. 17. Qualifications
1. Knowledge of specialized diets and menus 2. Knowledge of the food and restaurant regulations set by the federal, Massachusetts and Boston City Health Codes and Joint Commission on the ccreditation of Hospitals. 6. Consequence of errors ranges from no harm to serious harm such as incorrect trays to patients, injured employees and broken equipment. 7. Work involves rotating shifts as early as 6:00 AM to as late as 9:30 PM, required to work weekends and holidays. **Summary:**
In collaboration with a multiple departments, performs the administrative tasks necessary to support exceptional patient-centered care, such as reception, managing of phone calls, facilitating image release, communicating imaging reports, validating physician orders, daily roster preparation, and patient registration. Adheres to BHS operating principles, system and department compliance policies, and any applicable laws and regulations. **Job Responsibilities:**
**1)** Managing the Patient Experience:
Greets patients promptly in warm, friendly manner demonstrating appropriate amount of interest or concern. Smile, make eye contact, use welcoming language (hello, welcome, how can I help you today). Understands insurance coverage and understands billing for part A (hospital) and part B (provider).
