Responsibilities Contract & Account Setup and Review Review new customer contracts and accounts for accuracy, completeness, and compliance. Identify discrepancies and work with internal stakeholders to resolve issues promptly. Maintain organized, accurate documentation for all new accounts. Account Maintenance & Updates Conduct periodic reviews and update accounts on an ongoing basis Identify accounts requiring updates, follow-ups, or additional documentation Maintain clear, complete, and accurately updated account histories. Lien / Loan Payoff Process Management Manage the company's lien, UCC, and loan payoff process Coordinate with sellers, finance, title companies, and other partners to facilitate timely filings and releases. Prepare, submit, monitor, and update UCC filings and related documentation. Ensure all legal timelines, requirements, and procedures are met. Cross-Department Support & Training Serve as a liaison between sales, finance, operations, and title partners for loan and lien and contract-related inquiries. Provide guidance and training to the sales team on the lien process, documentation needs, and best practices. Assist with improving workflows, documentation, and communication processes to increase efficiency and compliance. Qualifications Required Experience in project coordination, project management, or a similar administrative role. Strong attention to detail and excellent organizational skills. Ability to manage multiple priorities and meet time-sensitive deadlines. Clear and professional written and verbal communication skills. Proficiency with Excel, Word, and internal management or CRM systems. Preferred Experience with financing, loan-payouts, UCC filings or lien processing. Background in the construction industry, construction billing, or contract administration. Familiarity with reviewing contracts or financial documents. The overall team of five faculty and investigators (faculty, staff, post-doctoral fellows and doctoral students) and four research staff rely on this position to develop, submit and manage multiple grants. This position will provide administration and day-to-day management of all research activities, assuring operational efficiency for the faculty, students and staff of the research group. The person in this position is in regular contact with sponsor agencies, investigators within the University of Washington as well as directors and investigators at other research organizations (domestic and international). The Department Chair and Administrator will rely on this position to answer all key questions and manage issues related to research administration. Additionally, this position will provide support for study material development and improvement for a large pregnancy cohort study. DUTIES AND RESPONSIBILITIES Pre-Award Management 30% • Manage preparation and submission of all competitive and non-competitive grant proposals for submission to granting agencies, including multi-university and multi-department proposals. • Develop complex budgets and other administrative sections of grant and contract proposals and prepare non-engineering portions of grants and both incoming and outgoing research sub-awards, applying appropriate stewardship of available funding streams. • Monitor, review, communicate, integrate, and implement complex federal, state, foundation, and University regulations and policies into ME's grants and contracts to ensure compliance. • Provide technical advice and interpretation of governmental and foundation regulations as well as University policies and procedures to Principal Investigators (PIs), researchers, chair, administrator, related support staff, and third parties. • Facilitate timely adherence to sponsor deadlines such as proposal deadlines, progress report deadlines, and requesting extensions, supplements, or revisions as needed.
