The Diagnostic Customer Coordinator 2 serves as the primary liaison between radiologists, community physicians, imaging departments, and patients across multiple sites. This advanced role ensures accurate communication, complex scheduling, and coordination of high acuity imaging services, supporting timely diagnosis and treatment while maintaining patient safety and satisfaction.
Responsibilities:
* Coordinate complex consults and follow-up on studies and patient care issues, including appointment confirmation and preparation for Computed Tomography (CT) and Magnetic Resonance Imaging (MRI) patients.
* Schedule cardiac MRI patients in collaboration with the contact center and coordinate with nursing and anesthesia departments for procedures requiring sedation or specialized protocols (e.g., Cardiac MRI, pacemaker patients, steroid preps, Nuclear Medicine studies).
* Compile MRI packets for all scheduled outpatients, greet and screen patients accessing the MRI suite, and ensure compliance with safety protocols.
* Obtain and deliver MRI/CT test protocol reviews for daily schedules across five radiology testing locations.
* Participate in weekly tumor boards, ensuring accurate imaging and documentation support for multidisciplinary care planning.
* Ensure timely processing of STAT readings by contacting referring physicians for preliminary reports.
* Relay clinically sensitive messages to radiologists, including addendum requests from ordering providers.
* Utilize Cerner and Picture Archiving and Communication System (PACS) to upload and manage prior films, studies, and external imaging for accessibility.
* Monitor PACS for unread reports and pending prior imaging to prevent delays in diagnosis.
* Send out the daily radiologist schedule to all locations, including New Milford Hospital (NMH).
* Advise patients, physicians, and staff on test preparation, appointment details, and arrival times for diagnostic imaging.
* Accurately document special requests or comments in the scheduling system and create patient encounters as needed.
* Complete pre-registration with accurate demographic and financial data to support billing integrity.
* Perform accurate patient search and selection to maintain Electronic Medical Record (EMR) integrity.
* Upload CDs and external imaging into PACS and burn imaging discs for operating rooms, cardiology, and patient requests.
* Cross train to cover other stations and imaging modalities as needed, supporting workflow flexibility.
* Follow up with patients, offices, and coworkers regarding scripts, authorizations, and paperwork.
* Manage order corrections per financial department requests.
* create encounter for second-opinion registration.
* Answer phones, route calls, and ensure accurate communication both verbally and via EMR.

Summary:
Purpose: Primarily serves as a liaison between radiology professionals and customers to include community physicians, internal physicians, service departments and offsite facilities. Expedites communication to improve customer service for Danbury Hospital, Danbury Diagnostic Imaging, Ridgefield Diagnostic Imaging, and Danbury Medical Arts Center. Ensures procedures are scheduled safely for more complex radiology studies. Position is expected to cross train into minimum of two coverage areas.
Responsibilities:
1.Serves as a primary point of contact between radiologists and community physicians, coordinates consult when needed, and communicating all follow up on studies and responding to patient care issues.
2. Utilizes Cerner system and PACS obtain and upload prior films/studies and reports as requested by radiologists.
3.Performs all tasks as it relates to coordinating and scheduling special procedures and interventional procedures such as kyphoplasty, paracentesis, thoracentesis, biopsies, central line placement, port placements, Y-90 radiation treatment, etc.
4.Coordinates with nursing and anesthesia department for all cardiac MRIï ½s, pacemaker patients, steroid preps, Nuclear Medicine studies, and procedures requiring anesthesia.
5.Answers phone calls, takes detailed messages to ensure accurate and timely response.
6.Advises the patient, physician, or staff of proper test or procedure preparation requirements, accurate date/time of scheduled appointment and correct arrival time for registration. Notes any special requests or comments made by physician office or patient and accurately enters these comments in the schedule.
7. Performs accurate search/selection of patient within hospital system to maintain the integrity of the EMR and to ensure accuracy of patient identification.
8. Performs pre-registration function in the system and enters accurate and complete demographic and financial information to aid in securing payment for services rendered.
9. Responsible for all follow up with patients, offices and co-workers for scripts, authorizations, and paperwork.
10. Ensures timely processing of STAT readings by the radiologist by contacting referring physicians for preliminary reports.
11. Burn imaging discs for the OR, cardiology, and patients when requested.
12. PACS monitoring of reports to be read and prior imaging pending.

Summary:

3.Performs all tasks as it relates to coordinating and scheduling special procedures and interventional procedures such as kyphoplasty, paracentesis, thoracentesis, biopsies, central line placement, port placements, Y-90 radiation treatment, etc.
4.Coordinates with nursing and anesthesia department for all cardiac MRI s, pacemaker patients, steroid preps, Nuclear Medicine studies, and procedures requiring anesthesia.
5.Answers phone calls, takes detailed messages to ensure accurate and timely response.
6.Advises the patient, physician, or staff of proper test or procedure preparation requirements, accurate date/time of scheduled appointment and correct arrival time for registration. Notes any special requests or comments made by physician office or patient and accurately enters these comments in the schedule.
7. Performs accurate search/selection of patient within hospital system to maintain the integrity of the EMR and to ensure accuracy of patient identification.
