Position Summary
Under the direction of the Lead Internship/Employer Relations and Professional Programs Coordinator and Career Center Director, the Internship Programs Analyst (IPA) plays a key role in the development, implementation and analysis of tools and development of employer contacts, resulting in employment opportunities for students and recent alumni. Such opportunities include paid internships, instructionally related activities (IRA) fee funded internships, cooperative education, apprenticeships, fellowships, on-campus student employment, Federal Work Study, and early talent development programs. The incumbent supports strategic campus partnerships by performing outreach to connect with area employers, community leaders, faculty and students, resulting in an expanded database, campus-wide benefits, and increased employment opportunities.
The IPA assists on-campus employers with the utilization of Handshake (software used to schedule campus job postings), networking sessions, campus recruiting, and Internship Site Fair registrations. The incumbent is responsible for logistical planning and support for programs targeted to, but not limited to, Pell and Cal grant eligible, underrepresented, EOP, and Hispanic Serving Institution, AANAPISI and Black Serving Institution students.
The IPA implements integrated, cross-unit program components related to employer relations business processes; intercampus coordination; and program tracking and reporting to facilitate a variety of inclusive student internships and learning aligned employment programs. The IPA supports helping students to grow, work in their areas of interest, and explore a wide range of activities and ideas. IPA further helps introduce students to new fields of study and interest areas they might not encounter in their regular coursework.
The IPA communicates and coordinates regularly with SASEEP, Financial Aid/Federal Work Study directors, Procurement, Accounting, and Student Employment, to ensure accurate program expenses and implementation; works with Career Center to maintain and establish new employer sites and internship opportunities; communicates program requirements to employers and students; and performs other analytical business functions (e.g., preparing reports on program outcomes) as necessary.

Anticipated Hiring Range: Anticipated hiring rate is at the minimum of the classification range ($4,799 per month).

Schedule:
The training program runs Monday through Friday, 8:00 AM to 5:00 PM, and includes a living stipend.
Commitment:
The program includes remote learning and remote hands-on internship/externship training. Accepted participants must complete 40 hours per week, Monday through Friday, during regular business hours for the entire duration of the program.
Compensation
: $31,200, This stipend is distributed over approximately 44 weeks for participation in both remote learning and remote hands-on internship/ externship training. Stipend payment is made on OCHIN's semi-monthly pay schedule.
Benefits:
Eligible for monthly benefits reimbursement of up to $600 (participant cost only). Some restrictions apply. Also, Internet Stipend $35/month for 44 weeks
Attendance Policy:
Participants are not eligible to receive paid holidays or paid time off (PTO), all missed time will need to be made up.

Learn to apply specialized health care and database management insights to analyze important clinical data, identify trends, and create targeted reports.
Develop expertise in managing health information and EHR systems to support healthcare organizations.
Apply data management skills using tools such as EPIC, SQL, Tableau, and Crystal Reports to analyze and report clinical data.
Understand and implement system design, testing, and security protocols to ensure data privacy and compliance.
Prepare for the HIMSS CAHIMS certification exam, focusing on healthcare IT, leadership, and system analysis.
Support healthcare teams in optimizing operational workflows and improving patient outcomes through technology
Requirements
The
EHR Support Analyst (ESA)
plays a key role in helping healthcare teams use electronic health record (EHR) systems efficiently and accurately. ESAs monitor system alerts, resolve technical issues, and support staff with tools like Epic to ensure patient data flows smoothly across departments. They help maintain user access, troubleshoot application errors, and guide clinical teams through system updates and workflow changes.
This role requires attention to detail, strong communication skills, and a commitment to improving how health information is managed. ESAs contribute to better patient care by making sure the technology behind the scenes works reliably, securely, and in alignment with clinical needs.
The ESA duties include, but are not limited to:
· Review communications from OCHIN and internal teams via email and Jira to stay informed of system updates and notifications.
· Relay system notifications and updates to appropriate end users to ensure timely awareness and action.
· Troubleshoot Epic-related issues in collaboration with end users and support teams, using Jira and other designated channels.
· Monitor and manage Epic workqueues including Interface Errors, EMR Errors, E-Prescribing Errors, Failed Fax, Charge Router Errors, and Claim Edits.
· Monitor and respond to internal help requests and departed provider pools to support data integrity and workflow continuity.
· Attach to and monitor the Default Provider In Basket to ensure timely resolution of outstanding items.
· Review and process scanning and indexing issues, including training end users on redaction procedures.
· Update and maintain user records (EMPs, SERs, Ella access) and system configurations to support accurate access and functionality.
· Build and inactivate user access as needed, following onboarding and offboarding protocols.
· Update Fee Schedules, Preference Lists, SmartPhrases, and SmartLists to reflect current workflows and provider needs.
· Request destination map updates and maintain Lot Manager to support accurate routing and inventory tracking.
· Assist users in optimizing their Epic experience through personalized support and workflow enhancements.
· Review Weekly Change Notices and update training documentation and workflows accordingly.
· Implement internal trainings on Epic functionality and system updates to support staff development.
· Create and modify letter templates to support communication and documentation needs.
· Assess existing workflows and contribute to the development of more efficient processes based on operational needs.
· Run and review system reports such as Open Encounter Reports and Duplicate Patient Reports.
· Maintain the security and integrity of health information by adhering to privacy policies and regulatory standards.

Working independently and problem-solving challenging situations
Collecting and graphing data daily and maintaining client databook(s) in a clear, accurate and organized manner.
Communicating questions/concerns regarding program implementation (including status, problems, or intent to change any aspect of the behavior/educational program) to Supervisor(s) during scheduled session times via direct communication, communication logs and/or supervision notes.
Attending and participating in mandatory direct services meetings, training and/or certifications as scheduled.
Strictly following any and all ACES policies and procedures, including, but not limited to, the policies described in this Handbook, or any other rule or regulation as may be communicated to employees from time to time.
Completing all Behavior Analyst Intern Checklist Items within the time provided, including training, assessments, competencies, and application of concepts with clinical staff and clients out in the field.
Attending and preparing for all required Behavior Analyst Intern meetings per the direction of their ADAM.
Completing all necessary paperwork and education requirements to be in compliance with BACB and/or college requirements for advanced degrees (e.g., MA, MS) and certifications (e.g., BCaBA, BCBA).

Qualifications
Required Qualifications:
Minimum enrollment in a MA or BCaBA Program; MA Degree and/or BCaBA preferred
Exposure to individuals with disabilities or Autism Spectrum Disorder
Background check clearance and up-to-date immunizations may be required
CPR certification
3 months experience working with clients with ASD or other special needs
Valid driver's license and/or reliable transportation
Background check, tuberculosis test, Livescan fingerprint, and any other funding source required clearance
Comfortable working in home, community, school, clinic, and military base environments
Strong desire to support and develop skills and abilities of staff
Proficient with MS Office Suite, word processing, spreadsheets, email, database software, and project management software
Highly organized
Professional, positive attitude and appearance
Excellent communication skills
Physical Requirements:
Ability to exert up to 10 pounds of force and lift/move up to 25 pounds
Direct work with clients may include, without limitation, the following physical demands: sitting, kneeling, squatting, running, twisting and turning, reaching above shoulders and/or frequent physical transitions

*The pay scale provided is the hourly wage range ACES reasonably expects to pay for clinical work (i.e., direct treatment services) performed by team members in the position. ACES pays a different rate for non-clinical work (i.e., trainings, travel time, meetings, etc.) performed by team members, which is paid at $16.50/hour.
