The Department:
The Mayor and Council office is a division of the City Manager's Office. As an integral part of the City Manager's Office, the Mayor and Council division provides administrative support to the City Council and general customer service to constituents and external stakeholders. The Santa Clara City Council consists of the Mayor elected at-large, and six City Councilmembers elected by City Council district.
The Position:
The ExecutiveAssistant is an executive-level support position responsible for interacting effectively with the public, elected officials, City management and key department staff. The position will provide administrative support including calendar management, oversight of event and meeting coordination, managing travel arrangements, administration of office budget, and managing a wide range of complex administrative duties with initiative, independence, while supporting management staff and elected officials. This role requires exceptional organizational skills, strong communication abilities, and the capacity to handle confidential information with discretion.
This class is distinguished from other office administrative classes by its direct reporting relationship to the City Manager and its broader continuing interfaces with political and elected officials, department directors, other government agencies, private business representatives, City staff, and the public. The ideal candidate must be able to handle non-partisan confidential matters with a high level of judgement, practice confidentiality and discretion. An incumbent in this position demonstrates strong ethical, professional, and service-oriented leadership and interpersonal skills, sets a good example, and correctly applies the tenets of the City's Code of Ethics and Values.
As a member of the City's unclassified service, this is an "at-will" position, and the incumbent serves at the discretion of the City Manager.

Position Overview

Reporting directly to the Executive Director, the ExecutiveAssistant will serve as a vital link between the Executive Director, the organization, and the community.
In this role, the ExecutiveAssistant will manage the Executive Director's calendar and projects, correspondence, and communications, ensuring smooth day-to-day operations. This is a single-position class in the unclassified service. It is an executive-level Administrative position in the City Service. Job/Department Summary:
Under the general supervision of the Vice President for Information Technology (VP/CIO), the incumbent serves as the ExecutiveAssistant and advisor to the VP/CIO, handling issues of complex, confidential, and sensitive nature. General Qualifications
Criminal History and Background Checks:

Position Information
The California State University, Office of the Chancellor, is seeking an Executive and Operations Assistant to provide professional organizational and administrative confidential support to the VCAA, who is the Chief Academic Officer for the California State University, and to other members of the Division of Academic Affairs (DAA) leadership team. The EOA serves as the first point of contact for the division and for internal and external constituents on all matters related to the Division. This position performs a wide range of administrative responsibilities, many of which are highly sensitive and confidential in nature, including directing key administrative operations, coordinating, scheduling, maintaining confidential communications and information, and managing or leading special projects for DAA. Responsibilities
Under the general direction of the Vice Chancellor for Academic Affairs, Chief Academic Officer, the Executive and Operations Assistant will perform duties as outlined below:
Executive Administrative and Operations Support
-Provide confidential executive-level administrative support to the VCAA -- including, but not limited to managing, prioritizing, and addressing inquiries to the VCAA from internal/external constituencies; leveraging the VCAA's office team by deploying internal/external inquiries to the appropriate team member; scheduling appointments and managing the VCAA's and Division-wide calendars; coordinating meeting arrangements; managing phone and email inquiries on behalf of the VCAA; managing travel arrangements, and; serving as the primary point of contact for administrative staff matters.
-Monitor and review meeting requests, resolve scheduling conflicts, establish appointment priorities, create master schedule for VCAA and DAA staff meetings. Make conference calls and virtual appointments.
-Arrange and confirm travel in adherence to the CSU travel policies and procedures; prepare and process travel approvals and claims, track reimbursements, prepare itineraries, and provide meeting materials, maps etc.
-Maintain high confidentiality in handling sensitive information and interactions with internal/external constituents. Exercise professionalism and collegiality with all constituents, with the appropriate amount of speed and professional discretion.
-Consult with the VCAA concerning progress on assignments and resolution to student, faculty, and employee issues. Handle sensitive materials such as collective bargaining documents, labor practices, CO personnel materials, and performance evaluations.

Project Management
-Independently manage assigned special projects from start through completion. Attend and participate in meetings and/or college events as related to assigned project responsibilities. -Lead and provide administrative and analytical support for special projects related to DAA and Chancellor Office operations.

-Design and coordinate action plans to achieve strategic goals and objectives of the DAA and VCAA.

The California State University, Office of the Chancellor, is seeking an Executive and Operations Assistant to provide professional organizational and administrative confidential support to the VCAA, who is the Chief Academic Officer for the California State University, and to other members of the Division of Academic Affairs (DAA) leadership team. The EOA serves as the first point of contact for the division and for internal and external constituents on all matters related to the Division. Job Summary

Background Investigation Requirement

Vacation: Maximum earned vacation is 10 days each year up to 3 years; 15 days after 3 years; 20 days after 10 years; and 23 days after 20 years.
Holidays: Effective July 1, 2017, all civil service status employees earn 14 paid holidays each year. Please see the appopriate MOU for details regarding holidays, accruals, use, and cashability of accrued time.
Sick Leave: 12 working days of sick leave annually with unlimited accumulation. Sick leave incentive: An employee is eligible to receive eight hours administrative leave if the leave balance equals at least one- half of the cumulative amount that the employee is eligible to accrue. The employee must also be on payroll during the entire calendar year.
Bereavement Leave: 3 days of paid leave for the death of qualifying family member, 2 additional days of accrued leave for death of employee's spouse, domestic partner, parent or child.
Merit Salary Increase: New employees will receive the starting salary, which is the first step of the salary range. After employees serve 52 weeks (2080 hours) on each step of the range, they are eligible for a merit increase to the next step.
Job Sharing: Employees may agree to job-share a position, subject to approval by a Department Head and the Director of Human Resources.
Educational Reimbursement Program: Eligible employees may be reimbursed for career-related course work up to a maximum of $850 per fiscal year. Eligible employees enrolled in an approved four (4) year College or University academic program may be reimbursed up to $800 per semester for a maximum of $1600 per fiscal year.
Parking Supplemental Downtown Stockton: The County contributes up to $20 per pay period for employees who pay for parking and are assigned to work in the Downtown Core Area.
School Activities: Employees may take up to 40 hours per year, but not more than eight (8) hours per month, to participate in their children's school activities.
Selection Procedures
Applicants who meet the minimum qualifications will go through the following examination process:
* Written Exam: The civil service written exam is a multiple choice format. If the written exam is administered alone, it will be 100% of the overall score. Candidates must achieve a minimum rating of 70% in order to be placed on the eligible list.
* Oral Exam: The oral exam is a structured interview process that will assess the candidate's education, training, and experience and may include a practical exercise. The oral exam selection process is not a hiring interview. A panel of up to four people will determine the candidate's score and rank for placement on the eligible list. Top candidates from the eligible list are referred for hiring interviews. If the oral exam is administered alone, it will be 100% of the overall score. Candidates must achieve a minimum rating of 70% in order to be placed on the eligible list.
* Written & Oral Exam: If both a written exam and an oral exam is administered, the written exam is weighted at 60% and the oral exam is weighted at 40% unless otherwise indicated on the announcement. Candidates must achieve a minimum rating of 70% on each examination in order to be placed on the eligible list.
* Rate-out: A rate-out is an examination that involves a paper rating of the candidate's application using the following criteria: education, training, and experience. Candidates will not be scheduled for the rate-out process.
Note: The rating of 70 referred to may be the same or other than an arithmetic 70% of the total possible points.
Online Written Exams: Written exams may be administered online. Candidates will be notified of the examination date and will be responsible to complete the written exam within a given period of time (typically within five calendar days). Certification/Referral: Names from the eligible list will be referred to the hiring department by the following methods.
* Rule of the Rank: The top rank or ranks of eligibles will be referred for hiring interviews. The minimum number of names to be referred will be equal to the number of positions plus nine, or 10% of the eligible list, whichever is higher. When filling nine or more positions in a department at the same time, the top rank or ranks will be referred and the minimum number of names shall be two times the number of positions to be filled or 10% of the eligible list, whichever is higher. This applies only to open competitive recruitments.
* Rule of Five: The top five names will be referred for hiring interviews. This applies only to department or countywide promotional examination.
Physical Exam: Some classifications require physical examinations. Final appointment cannot be made until the eligible has passed the physical examination. The County pays for physical examinations administered in its medical facilities.
Pre-Employment Drug Screening Exam: Some classifications require a new employee successfully pass a pre-employment drug screen as a condition of employment. Final appointment cannot be made until the eligible has passed the drug screen. The County pays for the initial drug screen.
Employment of Relatives: Applicants who are relatives of employees in a department within the 3rd degree of relationship, (parent, child, grand parent, grand child or sibling) either by blood or marriage, may not be appointed, promoted, transferred into or within the department when;
