This is a CONTINUOUS recruitment for an applicant POOL to fill temporary, hourly assignments on an as-needed basis. Essential Duties & Responsibilities

3. Organizes and maintains various administrative and follow-up files; purges files as required.

Position Summary
Temporary, Staff, Non-Exempt, Full Time, Benefited position through June 30, 2026 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance).
Salary: $4,680.00 to $5,500.00 per month.
Location: CSUSB Campus UCDD Office.
Work Schedule

Typical Activities
Under minimal supervision of UCDD's Director, the Administrative Coordinator will:
Document revenues and expenditures expected and submits to management.
Be responsible for performing any combination of the following-calculating, posting, and verifying financial data-for use in maintaining accounting records such as invoices, purchases, and substantiating business transactions.
Be responsible for procurement, department repairs orders, and office supplies. Collaborate with Facilities to maintain that all rooms of the center are maintained, cleaned, and organized.
Communicate regularly with the Program Coordinator to ensure supplies are available in the center as needed.
Be responsible party to approve payroll for Behavioral Technician Assistants, Behavioral Technicians, and Counselors at the end of each pay period.
Review HR records, plus coordinate with UCDD supervisors and counselors to acquire essential documentation to process payroll.
Develope spreadsheets to track the following: 1) employee hours worked and clients served, and 2) in-house and telehealth sessions.
Beesponsible for tracking client and parent attendance, support services provided (specific code) as well as in-center and telehealth records for accurate billing.
Deliver specific memos to families.
Perform funder billing, and report weekly updates to the Director and the accounting department on the billing status. Responsible for preparing and tracking financial paperwork for vendor approval. Coordinate recruiting and outreach events under the supervision of the Director.
Be responsible for collaborating with the UCDD Program Coordinator in the entire hiring process of Behavioral Technician Assistants (BTAs), Behavioral Technicians (BTs), and Counselors. Report employee referrals, hiring progress, separation updates, and other office operational issues to the Director.
Be responsible for scheduling and tracking employee trainings and certifications (e.g. CPR, NPI, RBT, and CSULearn trainings) to ensure compliance.
In consideration of pending certification deadlines, will contact employees via phone and or email with reminders about training requirements, such as due dates.
Coordinate with the UCDD Program Coordinator regularly to design, document, and update UCDD policies, procedures, forms.
Perform maintenance and renovation to the UCDD website under the supervision of the Director. Participate in weekly office meetings.
Coordinate faculty overload with the Watson College of Education analyst.
Other job related duties as assigned.
This position will not require frequent travel. Occasional in-state conferences, meetings, and networking functions may occur. Approximately 2-3 times per year.
Minimum Qualifications
Education:
B.A. Degree in Accounting, Management, or closely related fields.
Experience:
Three (3) years of experience in general office administration and clerical work.

Other:

JOB DUTIES:
Responsibilities of Assistant Coaches at Sacramento State vary by sport and classification. These may include:
• Recruit academically and athletic ally qualified, full-time student-athletes to participate in the program.
• Plan, organize and facilitate the on-going development of practices, competitions and the athletic programming/activities of the program in order to build a cohesive and competitive program.
• Teach and lead student-athletes including a demonstrated ability to work with a diverse, academically selective student population.
• Promote student development activities that include team bonding and study program in support of academic progress and graduation of student-athletes.
• Maintain knowledge of, and compliance with, in accordance with NCAA, Conferences, and California State University, Sacramento rules and regulations.
• Work schedule will include evenings and weekends.
REQUIRED QUALIFICATIONS:
Bachelor's Degree, from an accredited institution of higher education or TWO (2) or more years of work experience coaching;
1-2+ years' of experience coaching in sport applying to;
Knowledge of NCAA Rules and regulations;
Proven ability to establish good rapport and effective working relationships with student-athletes, administrators, faculty, staff and the community;
Sound judgement, discretion and the ability to maintain confidentiality;
Knowledge of the respective sports' skills, strategies, and teaching progressions;
Possession of a valid driver's license and a safe driving record at the time of appointment. Before operating a vehicle on state business, the applicant must complete and sign the University's vehicle use agreement;
Ability to work during normal business hours, evenings, and weekends
Demonstrated ability to advance the Athletic Department and University toward diversity and gender equity.

Assistant Coach appointment is considered a FLSA exempt position that may qualify for full benefits and may have a less than full-time time-base. However, the number of hours worked per week throughout the period of employment will vary depending on needs of the department, and exempt employees do not receive overtime pay. Appointment is non-tenured and renewable annually dependent upon satisfactory performance, budget considerations, enrollment, and programmatic need.

The Administrative Officer (AO3) provides comprehensive administrative and operational support for the Education in Palliative and End-of-Life Care (EPEC) - Pediatrics Europe program. Working under the direction of the Principal Investigator, Dr. Stefan Friedrichsdorf, and program designees, the AO3 plays a key role in managing program activities, managing logistics, and supporting effective communication among international partners.
The AO3 serves as the primary liaison to the administrative and leadership team in Prague, Czech Republic, facilitating alignment between U.S.-based and European program operations.
The AO3 will coordinate activities in collaboration with the European-based program coordinator, UCSF, and the steering committee on programmatic work. The AO3 will also assist with travel and reimbursement logistics for the annual Train-the-Trainer and Professional Development Workshop. Financial responsibilities include process, monitoring payments and reimbursements for all U.S.-based program participants-such as honoraria, vendor invoices, and travel-related expenses-using UCSF systems and in collaboration with the UCSF grants management team. In addition, the AO3 will work with the GME Office to manage and coordinate activities related to EPEC program to meet CME standards including orientation, registration and enrollment, marketing, booking location and RFP site selection, manage mailing lists, send notification and save the date, content development with course lead, brochure coordination and dissemination, review space, coordinate IT support related to audio/visual, catering event, and communicate information in a timely manner.
The AO3 supports the EPEC-Pediatrics Europe Steering Committee, Advisory Council, and Task Forces by scheduling and organizing recurring Zoom meetings, preparing materials, recording minutes, and ensuring timely follow-up on action items. The Department of Medicine is comprised of 11 divisions representing various subspecialties. The Division of Hospital Medicine & Palliative Medicine delivers high-acuity, multidisciplinary care across the enterprise and supports a growing faculty base engaged in clinical, research, and academic missions. The administrative team provides critical infrastructure to support faculty operations, clinical scheduling, onboarding, academic actions, and institutional compliance, ensuring the division's continued success and growth.
Responsibilities
Under the general supervision of the Division Administrator for the Division of Hospital Medicine & Palliative Medicine, the Administrative Officer II (AO2) provides high-level administrative support to Division Leadership and plays a key role in managing a variety of operational functions. The AO2 is responsible for coordinating academic personnel actions, overseeing the onboarding of faculty and Advanced Practice Providers (APPs), scheduling and coordinating learner rotations and evaluations, managing provider profiles and compliance, and contributing to strategic planning efforts. Additionally, the AO2 serves as a liaison between division leadership and administrative staff, ensuring smooth communication and efficient operations. The AO2 also supports clinical operations by assisting with faculty clinic scheduling, including the creation, modification, and closure of clinic templates based on approved time off and clinical assignments. The position monitors clinical productivity across division sites, tracks performance against established benchmarks, and escalates any issues to the Division Administrator as necessary. In addition, the AO2 plays a vital role in the seamless onboarding of new faculty and APPs, ensuring that all operational and systems readiness requirements are met. By collaborating with other administrative staff, the AO2 helps maintain operational continuity, streamline workflows, and improve administrative processes across the division, contributing to the overall efficiency of day-to-day operations.
Qualifications
Required:
* Ability to gather, organize, and analyze operational and scheduling information to support clinical and academic programs.
* Excellent written and verbal communication skills with the ability to clearly convey complex information to diverse stakeholders.
* Proficiency using Microsoft Office and database tools (e.g., Excel, Outlook, and institutional systems such as EPIC, Tableau, or DSS).
* Demonstrated ability to prioritize tasks, work under pressure, and manage multiple assignments in a high-volume environment.
* Ability to adapt to changing priorities.
* Ability to function as a member of a team.
* Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
* Experience maintaining or updating institutional data such as provider profiles, clinic templates, or reporting dashboards.
* Bachelor's degree in related area and / or equivalent experience / training
* Minimum of two years of administrative experience in an academic institution.
Preferred:
* Strong working knowledge of UC administrative policies, reimbursement processes, and clinical operations workflows.
