Key Responsibilities
+ Serve as the first point of contact, providing exceptional customer service to patients and visitors in person and by phone.
+ Act as a liaison between patients, providers, and care teams to ensure a smooth patient experience.
+ Perform front and back-office duties, including scheduling, registration, insurance verification, updating demographic information,and patient support.
+ Maintain clinic efficiency through accurate documentation and adherence to workflows within the electronic medical record (EPIC).
+ Demonstrate growth and proficiency in supporting Providence's mission of compassionate, high-quality care.

Required Qualifications:
+ 6 months of customer service related experience.
Preferred Qualifications:
+ 6 months of office experience, medical office preferred. Recent experience in the medical field.

As a Patient Access Associate I / Registration Specialist, you need to know how to:
Register patients. Confirm, enter, and/or update all required demographic data on patient and guarantor on registration system. Avoid overlays and duplicate patient medical records. Follow procedures when identifying a patient and applying the patient identification bracelet. Register patients during downtime following downtime procedures and enter data into registration system immediately upon system availability.
Obtain and explain copies of insurance card(s), forms of ID, and signature(s) on all required forms. Verify information on appropriate accounts to determine insurance coordination of benefits, pre-certification/prior-authorization if not verified by PASC. Complete the Medicare Secondary Payer (MSP) questionnaire when applicable. Verify insurance to determine coordination of benefits and obtain authorization and/or referrals as required. Screen for and process non-covered services and waiver of liability (ABN) through automated screening at time of service.
Inform self-pay patients of liability due, prepayment requirements and coordinate screening of alternate funding sources if applicable. Prepare estimate of procedures, calculate advance payment requirements on previous or bad debt and current balances. Refer potentially eligible patients to financial counseling and/or contract eligibility vendor(s). Coordinate with clinical areas and other ancillary departments to obtain accurate orders in order to establish patient financial expectations.
Collect patient payments and provide accurate receipt. Post all payments in system. Reconcile receipts with cash collected and completes required balancing forms. Document patient account notes for all interactions/transactions.
Maintain departmental and/or individual work queues and reports as required. Explain/answer patient billing inquiries and interpret statement data to resolve accounts. Escalate account issues which cannot be resolved. Update the emergency department room tracking system.

The Patient Engagement Access Center (PEAC) Referral Management Specialist is an important role for processing internal, incoming, and external referrals for all ambulatory services. In this role you will obtain prior authorizations, schedule patients, work inbound and outbound phone calls. Job Summary:
The Patient Services Representative is the first line of quality service to our patients and the community. This position will be responsible for processing patient registration, verifying demographics, obtaining insurance cards, and patient identification. Responsibilities include scheduling appointments, transcribing orders, explaining financial options to patients, and updating medical records accurately and efficiently. This position will provide excellent customer service and may be asked to occasionally cover other physician practice locations as needed.
Essential Functions:
Serves as the primary point of contact between patients and physician practices
Provides strong communication and excellent customer service skills by greeting patients and the community in a respectful manner
Answers internal and external calls in a friendly and helpful manner, routes calls, schedules patients, and enters necessary information for patient scheduling into the computer system in a timely and accurate manner.
Processes patients in practice as they present for their appointments.

Reconciles cash drawer at the close of the day.
Performs charge entry for external services (i.e. nursing homes) as necessary.
Schedules referrals or follow-up appointments and/or assists with scheduling, rescheduling or canceling other services for patients. Assists patients with online scheduling and MyChart as necessary.
Assists patients in obtaining necessary referrals for follow-up services and record referrals on tracking tool (referral/consults).
Responsible for and/or assist in obtaining proper authorizations and pre-certifications if applicable for all procedures scheduled through the physician practice
Pulls patient charts as needed per office policy, files and maintains information as appropriate in chart per policy, and routes charts to clinical staff as indicated in office per policy
Verifies RX benefits in electronic health record, per protocol
Refers patients to financial counselors when additional financial counseling or payment arrangements are needed. Completes accounts in revenue cycle software

Primary Function/General Purpose of Position
The Spec Patient Access LOR is responsible for performing admitting duties for all patients admitted for services at Mercy Health. The Spec Patient Access will work within the policies and processes as they are being performed across the entire organization.
Essential Job Functions
Patient Access staff are responsible for assigning accurate MRNs, completing medical necessity / compliance checks, providing proper patient instructions, collecting insurance information, receiving, and processing physician orders, and utilizing an overlay tool while providing excellent customer service as measured by Press Ganey. Operates the telephone switchboard to relay incoming, outgoing, and inter-office calls as applicable. They are to adhere to Mercy Health policies and provide excellent customer service in these interactions with the appropriate level of compassion. Spec Patient Access will be held accountable for point of service goals as assigned.
Patient Access staff are responsible for the utilization of quality auditing and reporting systems to ensure accounts are corrected. These activities may include accounts for other employees, departments, and facilities. Conducts audits of accounts and assures that all forms are completed accurate, timely to meet audit standards and provides statistical data to Patient Access leadership.
Patient Access staff are responsible for the pre-registration of patient accounts prior to patient visits. This may include inbound and outbound calling to obtain demographic, insurance, and other patient information including the patient financial liabilities including collecting point of service collections as well as past due balances including payment plan options.
The Patient Access staff explains general consent for treatment forms to the patient/guarantor/legal guardian, obtains necessary signatures and witness's name. Explains and distributes patient education documents, such as Important Message from Medicare, Important Message from Tricare, Observation Forms, MOON form, Consent forms, and all forms implemented for future services.
Reviews eligibility responses in insurance verification system and appropriately selects the applicable insurance plan code, enters benefit data into system to support POS (Point of Service Collections) and billing processes to assist with a clean claim rate.
Responsible for accurately screening of medical necessity using the Advanced Beneficiary Notice (ABN) software to inform Medicare patients of possible non-payment of test by Medicare and distribution of the ABN as appropriate. Responsible for distribution and documentation of other designated forms and pamphlets.
Perform all other duties as assigned including answering the phones at applicable facilities.
