The Division of Hospital Medicine in the Department of Medicine is seeking a highly motivated and talented administrative professional to join their team as ProgramCoordinator, (Administrative Associate 3) at Stanford Health Care. This position will report to the Program Manager and will work collaboratively with our faculty Program Directors. The ProgramCoordinator will manage the complex coordination needs of the Faculty Development Program, Stanford Mentorship and Advancement in Research and Training for Hospital Medicine (SMART-HM), Quality Improvement Program, Health Equity Program, and Division Wellness Program. The candidate must be highly organized, detail oriented, and able to multi-task and work independently under limited supervision.

Our Division is comprised of 150 primary faculty members (and growing) spanning 5 diverse clinical sections, across 3 facilities in the Bay Area (Stanford Health Care, Sequoia Hospital, and Tri-Valley). We are committed to excellence in clinical inpatient medicine, medical education, quality improvement, patient safety initiatives, and a broad research portfolio ranging from COVID-19 clinical trials to informatics and AI.
Duties include:
* Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
* Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
* Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
* Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
* Create complex reports and spreadsheets which may utilize specialized software and systems.
Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
* Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
* May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

We currently have an opening for an Undergraduate/Masters Program Officer to lead and support all aspects of the Anthropology Department's Undergraduate and Masters Programs. Reporting to the Student Services Manager, the Undergraduate/Masters Program Officer will be the face of the Anthropology Undergraduate/Masters Program and the Medical Humanities Program. The Undergraduate/Masters Program Officer works in collaboration with various department committees with direct oversight on student degree progress, undergraduate program budget for research grants/events (i.e. recruitment, Admit Day, Conferences, Commencement etc.), and advising department leadership on changes in university policies/procedures. The candidate will be responsible for coordinating the production of the Anthropology Undergraduate Journal and program informational materials for social media platforms and recruitment events. They will hire, train, and mentor department UG peer advisors, UG editorial staff and UG student workers.
The Undergraduate/Masters Program Officer is also responsible for the smooth operation of the academic program of the department. Interfaces with central university offices and other departments on all matters related to the curriculum, faculty and student evaluation, and course scheduling. The candidate will work closely with various committees, faculty, and student services staff to consult on course offerings, manage the organization of curriculum (via forms, spreadsheets, course management platform), navigate syllabus/evaluation data repositories, and update the Bulletin/department website to reflect current course offerings.
An ideal candidate is experienced with fostering an inclusive environment, working with students and staff from diverse backgrounds, and incorporates diverse perspectives in their work. The American Film Showcase grant, now in its 14th year at the USC School of Cinematic Arts, is the premier film and TV diplomacy program of the U.S. Department of State, and the largest arts exchange program of the U.S. Government. Each year, AFS partners with U.S. Embassies and Consulates in more than 60 countries to develop their film, TV, and digital storytelling exchange programs. AFS sends American films, filmmakers, and industry experts abroad to lead screenings or filmmaking workshops. In addition, AFS produces regional workshops and a Los Angeles-based residency for international filmmakers. Currently, AFS is funded to produce, over the course of one grant cycle, up to 60 international weeklong exchanges for American filmmakers, four regional and U.S.-based weeklong workshops for international filmmakers, two international alumni film festival exchanges, and up to 20 virtual master classes and multi-day workshops.
JOB SUMMARY
The Program Administrator oversees the programming of the exchange programs of the American Film Showcase, serving the diplomacy goals of up to 50 U.S. Embassies each year, by planning and overseeing all in-person and virtual international film exchanges, as well as designing and implementing regional and U.S.-based film workshops. This position evaluates and develops operating procedures and best practices around AFS exchanges, designs special workshops to serve U.S. Embassy or Department of State priorities and international filmmaker needs, and consistently communicates the status of exchanges within the organization and with the grant funding body. The Program Administrator builds and maintains a network of American film and TV professionals who serve as film experts on AFS exchanges, as well as serves as the primary resource for American foreign service officers, offering guidance on how to implement and lead AFS film-related exchanges and workshops effectively.
The position offers the opportunity for significant international travel while working closely with filmmakers, American diplomats, and international arts organizations.
The ideal candidate will have significant experience within the American film and TV industry, familiarity with international film or TV trends, extended international experience, as well as awareness of international relations. JOB RESPONSIBILITIES
* Oversees and implements the Exchanges Program of the American Film Showcase. Plans and develops, in collaboration with U.S. Embassies and Consulates, the programmatic content of all weeklong international film exchanges, virtual exchanges ranging from 3 hours to 10 days, and regional and U.S.-based workshops. Assesses the effectiveness of programs and modifies exchanges goals and activities for more impactful engagements. Tracks and identifies trends in U.S. cultural diplomacy as well as global film and TV trends to maintain AFS's relevance and demand in the field.
* Develops all written communication, both specific and general, related to best practices, operating procedures, opportunities, and policies for all exchanges for dissemination to U.S. Missions. Navigates the occasionally conflicting requests of U.S. Embassies, the U.S. State Department, the American film experts, and the requirements of the university. In doing so, resolves problems and establishes new program precedents and exceptions.
* Maintains and builds a network of American professionals in film, TV, animation, gaming, and AI who, as independent contractors for USC, serve as AFS experts, traveling abroad to teach various aspects of filmmaking to a range of audiences. Provides leadership and guidance when working with these experts as they develop curriculum and presentation materials for targeted audiences. Understands the skills sets of the experts and appropriately selects professionals to serve the goals of specific U.S. Missions. Develops evaluation methods to gauge the effectiveness of potential and current experts.
* Serves as the primary point of contact for the AFS network of American film experts, international exchange participants, foreign service officers, and local employees at U.S. Missions and international partner cultural institutions. Liaises all communication between U.S. Embassies and exchange experts. Navigates cross-cultural communication, managing embassy expectations and preparing American experts for possible cultural barriers inherent in international exchanges.
* Working closely with U.S. Department of State, develops the goals and curriculum of the many major AFS-produced regional and U.S.-based 1-2 week filmmaking workshops including drafting program proposals, identifying instructors, recruiting and selecting participants through a competitive process, and collaborating with AFS colleagues on event logistics, promotion, and reporting, and assessment.
* Effectively and regularly communicates the detailed status of exchange programs and workshops to the AFS staff, as well as the grant funding body, identifying problems and offering solutions. Develops and maintains systems to share information consistently within the organization. The Program Administrator will work in tandem with other AFS staff who oversee the budgets and logistics of each program.
* Regularly travels and represents AFS on international exchanges and workshops, overseeing the implementation of programs, and occasionally speaking on panels and for press about AFS.
* Contributes to the annual AFS grant writing process by providing lessons learned and innovative exchange ideas that address U.S. public diplomacy needs. In collaboration with the Program's Director, develops proposals for special projects and additional funding opportunities.

Liaise closely with academic advisors and articulation office regarding course plans and articulation of overseas courses. Interface with academic advisors and faculty to exchange and update information or to enlist support for programs.
Review student applications for determination of program eligibility. Grant or deny admission to programs, providing alternatives or referrals as appropriate.
Coordinate and manage all logistics of assigned study abroad program portfolio, including invoice payments and transcript processing.
Coordinate exchanges with partner universities, advise inbound exchange students, facilitate DS-2019 documentation, and liaise with academic units receiving students.

Job Description
The Academic Integrity Coordinator is responsible for Investigating, processing and resolving reported incidents of conduct of an academic nature by students in violation of university policy. Promotes and ensures accountability to and understanding of university practices and policies through intervention and disciplinary action and serves as a primary point of contact for student, faculty, staff, and external parties and witnesses.
Job accountabilities include:
* Meets with students through informal and formal processes to discuss reported incidents of alleged academic misconduct. Conducts investigations, when necessary, as outlined in the university's student handbook and other university policies. Determines and processes investigative plan and timeline. Identifies and interviews faculty, respondents, and witnesses, and serves as the primary case processor and point of contact for all interested parties. Gathers, reviews, and analyzes information/ evidence as outlined in the student handbook and other university policies.
* For formal resolutions, convenes and conducts hearings with student respondents and advisors to inspect and review all information/evidence and allegations brought against respondents. Conducts further investigation as appropriate. Weighs information/evidence from various sources, determines credibility, makes a determination of responsibility when supported by the information/evidence, and proactively identifies conduct or academic work violating the student handbook, the course syllabus and other university policies. Prepares and maintains necessary reports based on investigative determinations, documenting the chronology and content of the investigation and information/evidentiary review process. Resolves cases, renders findings of responsibility when supported by the information/evidence and determines violations of policy. Determines outcomes as appropriate that support the mission, values, health, safety and wellbeing of the university community and the mission of the office. Ensures students complete assigned outcomes. Provides information as needed to the appeals coordinator.
* ·Communicates and provides information about the disciplinary review process. Provides guidance and support resources to students involved in the investigation and disciplinary review process. Tracks case developments, completion and follow-up including outcome compliance. Identifies trends in student academic integrity incidents in various campus communities for education and outreach.
* Provides consultation when appropriate to faculty and other members of the USC community regarding academic integrity expectations and the conduct review process.
* Provides training to individuals or groups relevant to policies governing academic integrity and other university guidelines as appropriate. Develops, plans, and presents student, parent, and faculty/staff educational programs. Assists in preparation or updates of publications. Provides training and guidance to graduate and undergraduate workers.
* Collaborates and coordinates with campus partners, faculty, and staff as appropriate to mitigate threat and increase student support. Addresses and responds to student behavioral problems and mental health concerns. Guide students in examining their decision-making process within the context of their health, safety and wellbeing, and adjustment to campus life. Educates students about community expectations related to academic integrity standards at USC. Guides students in identifying problems, resources, and developing strategies to best address issues that pose challenges to students' personal and educational success; helps students refining conflict resolution and decision-making skills; refers students to appropriate resources to address issues of concern.
* Maintains compliance with federal and state laws regarding privacy. Maintains compliance with university policy and legal mandates regarding fair process and student procedural rights. Maintains statistical data, department and student records, documentation of procedural compliance, communication, and case management.
* Assists with Review Panel recruitment, training, and facilitation.
* Updates website and communications; works with various student populations on the campus, as assigned.
* Engages proactively in the USC community in outreach, prevention and education efforts related to academic integrity expectations.
* Participates in campus activities, events, and celebrations to enhance office visibility (e.g., new student orientation, move-in, Homecoming, Commencement, etc.).
* Serves as a Campus Security Authority (CSA) and mandatory reporter under the Clery Act based on university responsibilities. Has responsibility and is required to receive reports of crimes or criminal incidents from victims of crimes and/or third parties; notifies Department of Public Safety immediately of any reported serious crime or criminal incidents that indicates the presence of an ongoing threat to the university community; and notifies the Clery Compliance Coordinator in the Department of Public Safety.

Reconcile and generate financial reports. Provide faculty with account summaries and projection reports on regular and as-needed basis. Prepare financial and/or progress reports requested by agencies for award continuation and/or final reports.
Demonstrate ability to quickly integrate into a dynamic workload, assume key responsibilities, and build strong, collaborative relationships across varied personnel, departments and units.

The mission of the Pullias Center for Higher Education is to bring a multidisciplinary perspective to complex social, political, and economic issues in higher education. Our work is devoted to the key issues of college access and admissions/enrollment, retention, and accountability for underserved students, and the effectiveness of the colleges and universities - and their faculty - that serve them. In addition, our College Advising Corps delivers direct college advising services to more than 10,000 high school students in Los Angeles each year. Both directly and through our research, policy development and practice, we engage with institutional leaders, policymakers and the community at large to address major challenges in educational equity today.
The position will begin in April 2025. It is a temporary, fixed-term, position renewable based on grant funding. Hybrid arrangements for this full-time (37.5hr/week) position will be considered.
