The patient services representative will serve as the main point of contact for all patients. This position will interact with all patients as they enter, leave, or request assistance within any of our facilities. The patient services representative will exemplify customer service while ensuring each patient interaction is handled with care.

Engages in population appropriate communication. Has knowledge of growth and development milestones and tasks. Gives clear instructions to patients/family regarding treatment. Involves family/guardian in the assessment, initial treatment and continuing care of the patient. Identifies any physical limitations of the patient and deploys intervention when necessary. Recognizes and responds appropriately to patients/families with behavioral health problems. Interprets population related data and plans care appropriately. Identifies and responds appropriately to different needs resulting from, unique psychological needs or those associated with religious / cultural norms. Performs treatments, administers medication or operates equipment safely. Recognizes and responds to signs/symptoms of abuse or neglect.
Front Office Flow:
* Warmly greet patients with eye contact and a smile as they enter and leave the clinic. Answer any questions patient may have. Coordinate day of patient scheduling changes or adjustments. Assist patients in locating their destinations. Contact internal or external transportation services for patients if needed. Round lobby to ensure all patients are being taken assisted. Answer telephone and direct calls to appropriate areas. Adhere to all HIPAA policies and guidelines. Conduct end of day visit reconciliation.
Pre-Registration Process:
* Initiate online verification and/or make phone contact with external groups to verify patient's benefits to certify/recertify all procedural services for patient. Ensure proper authorization is obtained for all scheduled and non-scheduled high dollar outpatient procedures and follow up on any missing data or account problems. Perform pre-authorizations and pre-certifications when needed.
Registration Process:
* Collect data on all new patients and attempt to obtain demographic information on patient. Verifies complete and accurate patient information in registration. Provide knowledge of and assistance with MyChart enrollment for patients. Collect co-payments Follow standard consenting workflow.
Insurance Coordination:
* Coordinate updating insurance changes or adding new insurance information into the appropriate registration fields for visits or diagnostic procedures. Complete Medicare Secondary Payer questionnaires for all appropriate patients. Ensure completeness for insurance billing and compliance. Collect insurance information as indicated in the Pre- Registration Minimum Data Set.
Clinical Coordination:
* Assist with referral and work questions. Assist with pre-visit planning and preparation. Help with scheduling and medical record management. Place reminder calls to patients as needed.
Requirements
* Minimum Required: Minimum Required: High School Diploma or GED. Preferred: Associate's Degree.
* Minimum Required: 0 - 6 Months equivalent experience. Preferred: 1 - 2 Years equivalent experience.

JOB RESPONSIBILITIES
Productivity - Work independently and/or collaboratively with team to efficiently handle work volume and queues to meet or exceed productivity standards. Accurately collect/verify insurance information and demographics, obtaining insurance authorization and entering the information into the required systems.
Collaboration - Serve as a liaison between Hospital/Physicians Billing Service, Admitting, Outpatient Surgery, Outpatient Department, Patient Financial Services, Utilization Review and other Cincinnati Children's departments. Multiple division support; cross trained in order to work insurance pre-authorization for multiple divisions.

Collaborate with internal and external resources regarding specific authorizations scenarios. Accurately enters demographic and visit information into the trauma registry through chart requistion while respecting the patients rights fro informed consent and the handling of confidential information as defined by the hospitals mission and applicable laws and regulations. Reviews accuracy, availablity and security of all information.
Performs abstract completion and submission within 60 days of discharge. Expand coding requirements to include ICD 10.

We are now recruiting for Patient Representative that will support scheduling and registration for Perlman Center locations at Base, Mason, Norwood, and Montgomery. This includes appointments for aquatic therapy, clinical programs and other assistive technology appointments.
This Patient Rep will work Monday-Friday, 32 hours/week (8am-4:30pm) at our Main Campus on Burnet Avenue, as well as our Mason Location. Schedule to be determined.
While experience is not required, candidates with similar work experience are highly desired. EPIC knowledge highly desirable.

Hours: M-F 9:30am-6pm with occasional weekends required. JOB RESPONSIBILITIES * Safety - Ensures patient safety by identifying the correct patient. identifying special needs and preparing isolation precautions for patients who have Infectious Disease indicators.
* Customer Service - Provides assistance and services to patients, families, staff and external agencies in the accurate completion of patient registration, admission and scheduling. Investigates and resolves customer requests, questions or problems according to CCHMC policies and procedures. Contacts outside representatives to request information or assistance in resolving problems.
* HIPAA/Confidentiality - Maintains confidentiality, protects and safeguards patient/family personal medical and financial information at all times during collection, use and storage. Access only information and records necessary to perform the responsibilities of the position.
* Compliance - Completes and authenticates all documents and questionnaires that ensure compliance with regulatory agencies (JCAHO, CMS, ODH)
* Revenue Cycle Support - Supports the Revenue Cycle, Health Information Management, and Regulatory by ensuring that the necessary data, information and forms are obtained and accurately entered into the appropriate system. Talks to management to explain system errors or to recommend changes to the system.

Accurately collect/verify insurance information and demographics, obtaining insurance authorization and entering the information into the required systems.
* Collaboration - Serve as a liaison between Hospital/Physicians Billing Service, Admitting, Outpatient Surgery, Outpatient Department, Patient Financial Services, Utilization Review and other Cincinnati Children's departments. Multiple division support; cross trained in order to work insurance pre-authorization for multiple divisions.
* Pre-Authorization - Utilize systems including medical records to obtain needed clinical support to efficiently confirm receipt of or to obtain pre-authorization for scheduled services and medications. Collaborate with internal and external resources regarding specific authorizations scenarios. Work with team to make contact with families prior to patient scheduled visits and/or services to confirm insurance eligibility, referrals/authorizations with minimal stress to the family/patient.
* Problem Resolution - Initiate calls to appropriate parties both internal and external to resolve issues. Escalate to appropriate staff regarding system errors, recurring divisional problems/errors identified within work queues or reports.

SUMMARY

* Systems Support - Maintain and update departmental system, including templates, and payer and physician information.
* Collaboration - Act as a preceptor for new employees. Perform specialty services functions. Act as a resource within the department/division. Provide instruction for performing non-routine functions. Conduct utilization review for the division from insurance companies and working in conjunction with Cincinnati Children's Utilization Review department. Process, post, and balance payments to accounts timely, accurately, and in the correct period.
