The Health Unit Coordinator (HUC) provides clerical support to the clinical team in carrying out the daily functions of patient care. The HUC is responsible for transcription of physician's orders, maintaining the patient's medical record, related forms and documents from admission to discharge. Provides the communication link for processing information/requests to and from patients, staff, visitors, physicians, and other departments or agencies.
Responsibilities
Transcription of Physician's Orders
Review orders as written and notify the nurse of any STAT orders.
Complete computer order entry and requisitions in a timely manner and forward to the appropriate department.
Schedule diagnostic tests with the appropriate department.
Document completion of all transcribed orders.
Perform clerical activities related to the admission, transfer, or discharge of patients.
Communication & Clerical Support
Multitask effectively during periods of high activity or stress.
Communicate clearly and professionally with healthcare providers.
Answer phones using proper etiquette and assist with call management.
Provide customer service to patients, families, visitors, and staff.
Enter appropriate information in the electronic communication system.
Answer patient call lights promptly.
Page or call appropriate personnel as needed.
Notify healthcare providers of critical test results.
Act as a receptionist, greeting and assisting patients, visitors, physicians, and staff.
Serve as a unit resource when needed.
Ensure patient information is handled according to HIPAA regulations.
Chart Responsibilities
Assemble charts for new admissions.
Maintain charts throughout the shift.
Add reports to charts promptly as needed.
Facilitate charts to medical records.
Copy charts as required.
Break down discharged patient charts and prepare for medical record pickup.
Unit Environment & Accountability
Perform courier duties as directed by the RN.
Complete admission, transfer, discharge, and statistical logbooks.
Assist with ordering and stocking supplies, equipment, and forms.
Assist with placing patient charges.
Help maintain a clean, safe, and organized environment.
Serve as a patient sitter as needed.
Notify the nurse immediately if equipment is unavailable.
Assist with unit statistics and Quality Improvement data.
Demonstrate flexibility and willingness to work in multiple areas.
Assist with orienting and mentoring new personnel and volunteers.
Qualifications
Education and experience:
High school diploma or equivalent required.
HUC education from college or vocational school preferred.
1-2 years equivalent customer service experience.
Required Skills and Knowledge:
Takes initiative on tasks with minimal supervision, self-starter.
Demonstrated excellent interpersonal communications skills both written and verbal required.
Demonstrated excellent computer skills with Microsoft Software packages, including Word, Excel, Outlook and database management.

Accurate Transcription of Physician's Orders:

Notifies the RN in accepted timeframe of changes in the patient rhythm or if arrhythmia occurs. Documents any change per unit standard. Maintains alarms at all times, and immediately reviews alarms and makes cardiac monitoring the first priority. Notifies appropriate nursing personnel or clinical engineering of any problems not resolved by unit trouble shooting. Maintains equipment, logs and telemetry supplies per unit protocol.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Oversee and maintain day to day office operations, including patient services staffing, coverage, deposit, inventory supplies, training and discipline.
Assist Patient Services Specialists with meeting and greeting patients entering the office. Explain check in procedures, copy insurance cards and schedule appointments. Display professional appearance to public at all times.
Assist Patient Services Specialists with updating and inputting practice management information regarding patients (i.e. insurance, address, phone, etc.). Take co-pays and payment on accounts. Be completely familiar with Patient Management System and procedures for appointment types and recalls.
Train Patient Services Specialists on proper procedures. Establish tracking tools to measure and monitor. Motivate staff to achieve established goals.
Assists clinical providers staff with any questions, etc. relating to front desk.
Train staff and establish measurements to ensure excellent patient service and internal support service to doctors and technical staff. Motivate Patient Services Specialists to reach new heights in service excellence.
Ensure efficient and effective office flow for patients and doctors.
Supervise Patient Services Specialists, including but not limited to coordinating employees schedules. Hire, counsel, and terminate site employees with involvement of Patient Services Manager and VP Human Resources.
Collaborate with patient services manager to develop and implement plan to effectively cross train staff on check in / checkout.
Other duties as assigned.
SUPERVISORY RESPONSIBILITY
Responsible for the overall direction, coordination and evaluation of the Patient Services department. Carries out supervisory responsibilities in accordance with the organizations policies and applicable laws. Direct or indirect responsibilities include interviewing, hiring and training team members, planning, assigning and directing work, appraising performance; rewarding and disciplining team members. This 38-bed unit provides comprehensive treatment for individuals requiring pre/post cardiac catheterization, management of NSTEMI, heart failure, arrhythmias, and those undergoing structural heart procedures such as TAVR, WATCHMAN, and MitraClip. Our dedicated team of healthcare professionals is skilled in electrophysiology, caring for patients who need pacemakers, ablations, and defibrillator procedures. 4200 Tele Unit focuses on acute structural heart conditions.
With continuous cardiac monitoring, our staff is equipped to manage the complex needs of patients with heart failure, arrhythmias, and other cardiac concerns.
As a stroke-certified unit, the 4200 Telemetry Unit also focuses on delivering evidence-based, patient-centered care to optimize recovery and enhance long-term outcomes. Our goal is to provide the highest quality of care, utilizing the latest in medical technology, while offering compassionate support for patients and their families throughout their hospital experience. 4200 Tele Unit works extremely close with our ICUs and is a great pathway to grow in Critical care.
Job Overview:
This position performs clerical duties as well as maintaining skills necessary to observe and interpret central cardiac monitors. This position requires the interpersonal skills to communicate with respect and compassion to customers: communications information through various telecommunication devices; and assists in coordinating patient flow.

Job Responsibilities:

Responsibilities of the monitor reader: Accurately observes and interprets the central cardiac monitors. Is aware of the location of all monitored patients during the shift. Accurately maintains the cardiac monitor log with strips, intervals and interpretations at designated times as well as prn. Recognizes emergency rhythms and notifies appropriate personnel. Notifies the RN in accepted timeframe of changes in the patient rhythm or if arrhythmia occurs. Documents any change per unit standard. Maintains alarms at all times, and immediately reviews alarms and makes cardiac monitoring the first priority. Notifies appropriate nursing personnel or clinical engineering of any problems not resolved by unit trouble shooting. Maintains equipment, logs and telemetry supplies per unit protocol.

The Health Unit Coordinator (HUC) facilitates the efficient functioning of a patient care unit by performing receptionist and clerical/non-clinical support activities. The Health Unit Coordinator has knowledge of age-specific needs of the patient population.
Responsibilities
Teamwork/Collaboration:
Working effectively with the team/work group to accomplish daily team/unit tasks: working proactively to achieve the team/unit goals and facilitate group cohesiveness.
Communication/Coordination:
Supports the patient care environment by communicating clearly, courteously and effectively, verbal and through written and computer documentation, while maintaining confidentiality of information. Provides prompt, courteous communication to patients, visitors and personnel. Keeps the Admitting office informed of patient activity on the unit through the Hospital information system. Communicates with the Environmental and Nutritional Services to ensure appropriate activities occur. Utilizes computer access appropriately for lab, diagnostics, etc. Contact IS&T Help Desk when computer workstations on other devices require repair or malfunction. Answers the intercom and telephone with UCMC standard timeframes and courteously transmits information to the appropriate recipient. Utilizes in an appropriate and timely manner, the correct paging or intercom system to notify other health care members as requested. Pages the resuscitation team during cardiac arrests and remains available at the nurse station for further instructions. Facilitates interdepartmental communication by providing information (e.g. phone messages) to appropriate clinicians.
Clerical:
Support-provides clerical/non-clinical support for the provision with patient services under the supervision of the nursing management. Assembles the patient chart with appropriate forms according to policy, providing additional forms as necessary. Prepares charts for patients scheduled for the operating room, special studies/therapies, transfer or discharge. Prepares maintains and files forms and reports in patient charts. Collaborates with all disciplines for STAT priorities, including medications, IVs, labs, scheduling of tests, et cetera. Dispositions patients through appropriate computer systems to promptly process admissions, discharges, deaths and transfers. (i.e. prepares lab labels, daily charge documents, register, disposition and process charges, maintain unit log [OB]. Facilitates scheduled studies and therapies by scheduling and coordinating in-house transportation for patients. Assists in coordination of discharge process. Should process discharges appropriately, assuring that all of the patient's records is sent to the Medical Records department. Maintains presence at clerical stations arranges coverage for short absences or notifies charge nurse of absence. Performs audit of and follow-up on missing medical record documents (consent, advance directives, etc.) Assists with retrieving information for clinicians via EPIC and other clinical information systems. Adheres to dress code. Completes annual competencies as required by the organization.
Qualifications
Education: High school diploma or equivalent required. HUC education from college or vocational school preferred.
