Summary: As the Receptionist and under the direction of the Executive Assistant, ensure efficient office operations, including telephone reception, greeting visitors, posting, and distributing daily mail. Perform general clerical duties, including word processing, faxing, and filing. Essential Functions and Responsibilities: Ā· Answer incoming phone calls on multiple lines, determine the nature of each call, and direct the call to the appropriate staff member. If staff is not available, direct a call to voicemail or take a written message as the caller requests. Ā· Greet visitors to NYSID office: announce visitors' arrival to appropriate staff members. Ā· Maintain a clean waiting area for guests, including stocking pamphlets as needed. Ā· Receive and sort incoming mail, sign for packages or deliveries. Ā· Post all outgoing mail on a timely basis for pick-up. Ā· Process customer monthly statements for mailing. Ā· Arrange for pick-up of outgoing packages, including filling out appropriate forms and contacting appropriate carriers. Ā· Stock the staff kitchen and board kitchen with supplies. Ā· Turn dishwasher on nightly and unload in the morning. Ā· Perform word processing and other clerical duties, such as typing correspondence, printing reports, faxing, and photocopying. Ā· Call for maintenance on copy machines as necessary. Ā· Manage all office supplies; place orders and stock work areas and supply cabinet as needed. Ā· Order new business cards, name badges, and tags as needed. Ā· Assist Executive Assistant with set up for Board Meetings. Ā· Work with the Director, Marketing and Communications, to track and follow up on sponsorship donations for the Annual Meeting. Ā· Assist with Annual Meeting registration, set up, check-in table, and take down. Ā· Assist with staff events: holiday and other parties, summer outings. Ā· Manage the Customer Service inbox and document additions in NetSuite. Ā· Support the Finance Department as needed with processing, producing, submitting, and archiving Member Agency, Corporate Partner, and customer invoices through NetSuite.
