Job Description SummaryCoordinate projects and contribute to the overall administration of College Park Scholars, an academic residential community for academically talented freshmen and sophomores in one of 13 interdisciplinary programs. Duties include:
1. PROJECT AND ADMINISTRATIVECOORDINATION 50%
•Event planning, including room reservations, invitations, and RSVP data, refreshments, and correspondence with the host as needed
•Refine and distribute meeting agendas, capture and distribute meeting minutes.
•Course scheduling, including regular semester sections' instructors, days, times, locations, seats, and registration characteristics. Management of breakout room reservations
•Room reservations for Scholars program staff and community partners, including review of requests under current policy, and reservations in 25Live and/or Google calendar
•Management of office supply inventory, including materials for Scholars Central and program use
•Lead management of office equipment (supplies, communication with vendors, and support)
•Coordinate distribution and collection of new student forms and maintenance of confidential response data (consent and release, emergency contacts, medical conditions)
•Maintain database of Service Day site logistics (transportation, supplies, timing)
•Lead building and office access operations, including requests for faculty, staff, and student workers, liaising with the Department of Residential Facilities for card swipe rosters and physical key distribution and inventory.
•Liaise with the Department of Transportation Services for parking permits
•Develop and maintain faculty-staff directory
•Maintain contact lists (e.g., faculty-staff and central staff Google Groups)
2. FRONTLINE ENGAGEMENT & STUDENT SUPPORT 35%
•Lead response to public inquiries via phone and email
•Welcome visitors and guests, including prospective students and families, guest lecturers, and campus partners
•Oversee outgoing mail and incoming mail distribution
•Support the assistant director on recruitment and orientation programming, including meetings with prospective students, information sessions, and student ambassador presentations
•Maintain inventory and distribute Scholars medallions to graduating students
•Coordinate distribution and collection of award applications as needed
3. SPECIAL PROJECTS 15%
Support central staff on ad hoc projects, potentially including
•Program assessment
•Student engagement
•Peer Mentor program
•Dialogue courses
•Cross-program initiatives
•Student Advisory Board meetings
•Strategic planning and program reporting
•Other duties as assigned
Physical Demands: Physical activity is present in both typical office environments and student programming settings. Lifting of boxes and materials, particularly during occasional evening or weekend programs/duties, is sometimes required.

PREFERENCES:
Preference for a candidate with administrative experience in higher education; familiarity with UMD systems and procedures (including course scheduling, parking permit administration, Workday for procurement and human resources, and student data); and interest in higher education policies and procedures. Should be a self-starter and problem-solver with a proven record of attention to detail, follow-through, reliability, and ability to communicate effectively in written and oral formats with the varied constituencies of College Park Scholars. Should also demonstrate the ability to maintain confidentiality and a high degree of customer service and professionalism.Minimum Qualifications
Education: Bachelor's degree from an accredited college or university.
Experience: One (1) year of professional secretarial, clerical, coordinator, or administrative experience.
Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.
KNOWLEDGE, SKILLS, & ABILITIES:
Knowledge of clerical and administrative procedures and systems such as filing and record-keeping.
Skill in oral and written communication.
Skill in the use of Microsoft Office products.
Ability to multitask and prioritize assignments.

Job Description SummaryOrganizational Summary Statement: The University of Maryland-College Park animal care and use program provides a humane and compliant environment for all animals involved in research, teaching and testing activities. This program is overseen by the Institutional Animal Care and Use Committee. Veterinary care and other aspects of this program are managed by the University Attending Veterinarian, who also serves as the Director, Department of Laboratory Animal Resources (DLAR).
DLAR is a research support unit in the Division of Research. Reporting to the Vice President for Research, the DLAR team is composed of animal care technicians and veterinarians with specialty training and certifications specific to laboratory animal medicine and care, as well as dedicated administrative support staff.
DLAR provides the expertise, care and resources necessary to ensure the welfare of university animals through humane care and use. The UMD Animal Care and Use Program has been fully accredited by AAALAC, International since 2011.
Job Summary:
The Program Administrative Specialist serves as a critical operational, administrative, and programmatic lead for the Department of Laboratory Animal Resources (DLAR) within the Division of Research at the University of Maryland, College Park. Over time, this role has evolved beyond traditional front-office administration to include ownership of systems, processes, communications, and cross-functional coordination that support DLAR's mission of humane animal care, regulatory compliance, and research excellence.
The position requires a high level of independence, judgment, initiative, and problem-solving, and functions as a trusted point of continuity within the department. The Administrative Specialist proactively identifies operational gaps, implements improvements, and ensures consistency, efficiency, and reliability across departmental functions. This is an essential position supporting the animal care program and may occasionally require work during weekends, holidays, or emergency closings (e.g., inclement weather). The position is eligible for overtime pay and reports to the DLAR Assistant Director, Finance.

The Administrative Assistant provides administrative, operational, and data management support for the RSA-LTT Grant and the Department of Rehabilitation. Responsibilities include document preparation, student support coordination, data tracking for grant reporting, confidential file management, scheduling, financial processing, and coordination of student support services related to the grant. Work requires discretion, accuracy, confidentiality, and knowledge of UMES procedures, CACREP Accreditation and grant(s) management
Primary Duties:
1.Document Preparation and Editing - Edits, formats, and revises letters,
reports, forms, presentations, and other materials. Proofreads for accuracy
and compliance with UMES and RSA-LTT communication standards
2.Confidential File Management-Maintain secure and confidential files for
student beneficiaries, RSA traineeship service agreements, and departmental
records. Ensure proper handling and archiving in PIMS and internal secure
drives per FERPA and UMES policies.
3.Telephone, Email, and Visitor Communication - Screens and directs calls and
visitors. Responds to routine inquiries. Use professional customer service
practices to reflect departmental values
4. Scheduling and Meeting Coordination - Schedules meetings/appointments
for the Project Director and grant activities. Prepares agendas and materials
and takes minutes as needed. Coordinates room reservations.
5. Travel and Reimbursement Support- Assists with travel authorization
submissions, conference registrations, and reimbursement processing
following UMES and State of Maryland travel guidelines.
6. Admissions and Scholarship Follow-Up- Communicate with prospective
students regarding admissions and RSA traineeship scholarship
requirements. Track applicant data and maintain scholarship eligibility
documentation.
7. Data Collection & Reporting-Generate monthly/semester reports, including
student progression data, alumni employment tracking, credentialing exam
pass rates, PIMS trainee tracking, completion outcomes, and grant

templates, and survey forms, and assist in course evaluation setup within
