Position Summary
The Data Entry Specialist will support ORA by entering, maintaining, and organizing research administration data across institutional systems. This role ensures the accuracy of proposal and award records, compliance documentation, internal routing materials, and subaward information. The position is essential to ORA's modernization and process improvement efforts, supporting efficient workflows for Grant Administrators and Monell scientists.
Responsibilities
Enter, extract, and update data for proposals, awards, amendments, subawards, and reporting in systems such as Cayuse, SignNow, IT Works, and Monday.com.
Maintain and audit spreadsheets, ensuring accurate tracking of deadlines, award activity, PI assignments, reporting schedules, and compliance requirements.
Format, prepare, upload, and organize internal routing documents, ensuring correct templates, naming conventions, and routing order.
Conduct routine data audits to identify missing information, discrepancies, or incomplete documentation.
Track internal compliance requirements, including IRB/IACUC approvals, COI disclosures, research security training, biosketches, Other Support, and required administrative forms.
Maintain organized digital repositories of agreements, amendments, reporting files, and sponsor correspondence.
Coordinate with the Business Office and other offices to ensure alignment of data.
Support ORA leadership and Research Administrators with maintaining records by preparing updated trackers, spreadsheets, and documentation needed for internal reporting and workflows.
