This is an entry level position. __________________________________________________________________________________________________________________________________________________________ ESSENTIAL RESPONSIBILITIES AND DUTIES Completes all required training to access CJIS data, works in CORIS, Workspace, Xchange, Vinelink, OMS, and ODR in addition to using Google tools, Word, Excel, WebEx, and other programs as needed. Is familiar with and accesses various resources to gather information and support defendants, plaintiffs, and attorneys (utcourts.gov, Self Help Center, MyCase, Utah Safety Council, etc.) Performs all case management duties including file management; creates and files affidavits, progress tracking, probation tracking to maintain jurisdiction, e-filing, e-citations, calendaring, extensions, appeals, correspondence, docket notation, follow-ups, updates contact information, and all other tasks to maintain updated case files. Provides friendly, competent customer service by phone, email, and in-person to all people regardless of ability, temperament, language, etc. Clearly and thoroughly explains court procedures, sentencing requirements, and all other relevant information without providing legal advice. Makes docket notations as appropriate. Confirms contact information and interpreter needs. Receives, files, and processes small claims affidavits and summons, and other small claims documents in CORIS or ODR systems. Cashier for mail and in-person payments (credit/debit cards, checks, money orders, cash) using credit card device, CORIS, Xpress Bill Pay. Follows cash-out procedures and maintains accurate balance in the cash drawer. Cashier for cash bail payments for monetary or non-monetary transactions as well as tax intercept checks following correct procedures. Performs assigned tracking for Pleas in Abeyance, debt collection, fines, time pay, traffic school, and other case specifics. Stays up to date on policies, procedures, and law changes and applies knowledge to daily transactions/ duties. Issues delinquent notices and warrants. Provides IT support for WebEx hearings to defendants, plaintiffs, victims, and attorneys. Receives and enters expungement petitions and appeals following procedures. Processes mail according to procedures: Investigates and notes returned mail. Completes trust mail log and daily mail log as needed. Schedules hearings on appropriate days and times; adds notifications, sends notices, notes interpreter needs, etc. Completes all cashier/customer service window and backup duties as noted on the daily checklist. Knowledge of the Bureau of Criminal Identification and their systems also helpful. Preference will be given to applicants with clerical work experience. Skills: Skilled in typing at 40 wpm (net), taking and transcribing dictation as required by the position, operating modern office equipment including (but not limited to) a multi-line telephone and fax machine, scanner, copier, operating computer equipment and applicable software. This position may require the driving of a motor vehicle. Skill in operating a motor vehicle in a safe manner. Ability to ensure motor vehicle is operating in a safe manner. Knowledge of Utah motor vehicle rules and regulations. Abilities: : Ability to draft basic legal documents; typing at 60 wpm (net), operating modern office equipment, including (but not limited to) a multi-line telephone, a computer, a copy or scanning machine, a fax machine, use of office equipment. Ability to use personal computer, including word processing and case management software. Ability to accurately input data into a computer for case record management. Ability to use other communications and office equipment. Must have ability to read sometimes complex material, to identify protected information, and use appropriate equipment to redact protected information prior to disclosure. Ability to exercise initiative and sound judgment and to react resourcefully under varying conditions, maintain accurate records and strict confidentiality of information and records, follow written and oral instructions, communicate effectively (orally and in writing), establish and maintain effective working relationships with supervisors, other employees, other agencies and the general public. Must be able to interact with sometimes emotional or angry people to diffuse the situation and impart the appropriate information to them. Must be able to complete any specialized training in legal or victim services as deemed necessary by the Victim/Witness Supervisor, Office Manager, Chief Criminal Deputy and/or County Attorney. SPECIAL QUALIFICATIONS : Due to the nature of this position, the successful candidate will be required to complete a pre-employment background check prior to starting the position and must meet and continuously maintain the requirements of the Bureau of Criminal Identification (BCI). Must have a valid Utah Driver's License. Employees driving a personal vehicle while on county business must maintain the minimum vehicle liability insurance as specified in the Utah Code.
