About the Role
We are a growing construction company seeking a highly organized, self-directed Operations & Administrative Coordinator to manage our day-to-day office operations. This role is responsible for overseeing lead intake, billing and accounts receivable, and utility rebate processing.
This is a senior administrative role for someone who is comfortable owning systems, managing multiple workflows, and keeping projects and payments on track with minimal oversight.
Key Responsibilities
Lead & Call Management
Handle inbound phone calls and online lead portals
Route leads appropriately and ensure timely follow-up
Maintain accurate lead tracking and documentation
Billing & Accounts Receivable
Prepare and send project invoices daily
Track all active projects and payment statuses
Follow up on past-due balances professionally and consistently
Maintain accurate billing records and reports
Rebate & Utility Program Management
Process and track rebate applications (PSE, TPU, PUD, Cascade, and similar)
Ensure applications are submitted correctly and on time
Communicate with utilities regarding status updates and corrections
Maintain organized rebate documentation and tracking logs
Office Operations
Maintain internal tracking systems and spreadsheets
Identify inefficiencies and suggest process improvements
Coordinate with field supervisors and management as needed
Keep sensitive client and project information confidential
Qualifications
3+ years of experience in construction, trades, or operations administration
Strong background in billing, invoicing, or accounts receivable
Highly organized with excellent attention to detail
Comfortable managing multiple priorities independently
Confident communicator (phone, email, internal coordination)
Proficient with spreadsheets and basic office software
Experience with utility rebates or compliance paperwork is a strong plus

Summary of Responsibilities:
The executiveassistant acts on behalf of the president in matters that concern the college's administrative functions. Provides confidential, executive-level administrative support to the president and handle a broad scope of confidential information. Performs complex duties within the president's office and accomplish all duties needed to relieve the president of office details and/or routine administrative matters. The candidate best suited to this position will be friendly, flexible, remain calm under pressure, welcome new challenges, and seek opportunities to increase knowledge and skills. This is a contracted, exempt administrative position that reports to the president of Lake Washington Institute of Technology.
* Provide direct administrative support to the President on confidential matters and sensitive issues. Assist the Director of Planning as needed.
* Maintain the President's calendar, including planning and scheduling meetings; developing and distributing agendas/meeting notices; attending regularly scheduled meetings, taking meeting notes and developing formal or informal minutes as appropriate. Review incoming mail and email and distribute as appropriate.
* Coordinate department events (e.g. scheduling meeting rooms, media equipment, catering services, budgeting, finding vendors, creating schedules, etc.)
* Coordinate president's meeting with executive cabinet, administrative team and employee groups and prepare agendas and meeting materials.
* Make and coordinate arrangements for travel and meetings; accurately process reimbursement requests and maintain related documents.
* Provide support, including proofreading correspondence, compose and edit correspondence and reports. Format documents, record minutes, compose and/or prepare letters, acknowledgements, notifications, confidential and sensitive materials. Maintain records in electronic and paper filing systems.
* Maintain the President's office reception area to reflect a welcoming and professional environment for all visitors and staff that reflects the values of the President and the college. Provide excellent customer service. Receive visitors and phone calls for the President's Office.
* Exercise initiative in problem solving; skillfully organize and perform multiple tasks within expected timelines, and demonstrate ability to maintain confidentiality, composure and work effectively in stressful situations.
* Monitor and update budgets and resolve accounting discrepancies. Monitor budgets assigned to the President's Office; take appropriate action to control assigned budgets and keep apprised of status. Prepare reports, budgets, and contracts. Prepare requisitions and route for signature.
* Serve as member of the President's assistants for community and technical colleges listserv (PACTC).
* Establish and maintain effective communication and working relationships with faculty, staff, college relations, college foundation, the community, other agencies, and peers.
* Research documents or materials needed and complete projects as required.
* Other duties as assigned.
* Five years administrative experience in an executive level setting required
* Ability and commitment to project a professional and positive image for the president's office
* Advanced writing and proofreading skills sufficient to prepare a wide variety of documents with correct spelling, grammar, and punctuation
* Expertise in word, database, and spreadsheet applications with speed and accuracy;experience with PowerPoint or other presentation software applications; demonstrated ability and willingness to learn new applications
* Ability to maintain confidentiality required; ability to think critically and exercise mature judgment

Compensation & Work Schedule
Salary is $6,970-$7,387 per month. This is a full-time, 40 hours per week position. Occasional early morning, evening and weekend hours may be required.

* Proactively manages a complex executive calendar to ensure efficient use of the EVP/CFO's time

Board of Trustees & Committee Support
* Serves as a key partner in the preparation, coordination, and quality control of Board of Trustees and committee materials.
* Manages timelines, deliverables, and review workflows across multiple committees to ensure materials are complete, accurate, and delivered in accordance with established governance processes.
* Conducts first-level review of committee materials prior to EVP/CFO review and coordinates subsequent review by the Office of University Counsel and the President.
* Prepares, organizes, and maintains Board and committee materials, including agendas, meeting overviews, minutes, confidential executive reports, and historical records, and other sensitive documents using established governance systems and tools.
* Coordinates communications and logistics with committee members and their administrative assistants.
* Maintains strict confidentiality and exercises sound judgment in handling sensitive governance materials.
Financial & Administrative Operations
* Manages the EVP/CFO office budget, vendors, including monitoring expenditures, initiating purchases, preparing disbursement requests, and alerting the EVP/CFO to potential variances.
* Performs monthly Purchasing Card (P-Card) reconciliations for the EVP/CFO and reviews related documentation for accuracy and compliance.
* Reviews and approves P-Card statements for designated constituencies and flags unusual activity as appropriate.
Projects, Communications & Systems Support
* Supports special projects and cross-functional initiatives through research, coordination, and preparation of executive-ready materials.
* Partners with the Communications department to maintain the Finance and Administration web content and support approved executive communications.
* Tracks timelines and deliverables for recurring annual processes and initiatives within the division.
* Serves as backup support for authorized institutional communications.
Additional Responsibilities
* Coordinates domestic travel arrangements for the EVP/CFO.
* Serves as liaison for designated external programs and partnerships.
* Provides administrative support for selected leadership searches in collaboration with Human Resources.

Compensation and Benefits:
It is anticipated that the successful candidate will be hired between $28.60 - $30.70 per hour. The rate for an experienced employee in this role may go up to $32.80 per hour, and the starting salary will be based on experience level. Decisions about starting salaries are made based on the extent and relatedness of the candidate's education and experience and on internal equity and market considerations.

Summary of Responsibilities:

* The ExecutiveAssistant will independently plan, coordinate, and implement policies and procedures to support the Chief Ambulatory Officer (CAO), so that all regulatory requirements are met
* Acts as a communication liaison with UW Medicine leadership and community leaders as needed
* Communication and Liaison with various stakeholders, ensuring clear conveyance of the CAO's messages and managing feedback appropriately
* Operate independently, make decisions and take actions with delegated authority to support high-level executives, including the CAO
* Managing time-sensitive communications, which requires the ability to quickly and accurately convey information to various audiences
* Meeting the demands of competing stakeholders, each with unique needs and expectations
* This role requires outstanding writing abilities and the ability to communicate verbally with senior leaders, staff, and the general public
* Records, composes and edits minutes of meetings as requested
* Independently managing both short-term tasks and long-term projects
* Handling highly confidential and sensitive information with the utmost discretion and professionalism
* Serves as a confidential liaison to the Chief Ambulatory Officer and manages the executive calendar and coordinates day-to-day activities of the Chief Ambulatory Office
* Independently arranges and coordinates committee meetings, special events, open forums, and other hospital activities
* Schedules appropriate accommodation, orders/operates equipment, and coordinates logistical activities as needed
* Utilizing various software and tools for document preparation, calendar management, and communication
REQUIRED:
* Bachelor's Degree in Business Administration, Communications, Healthcare Administration, or related degree
* 5 years' experience supporting a C level executive.
* Equivalent experience may substitute for degree requirement
