Duties: Provides customer service to all patients including, but not limited to, greeting patients, scheduling, and confirming patient appointments using a multi-line phone, performing data entry into the eCW electronic health record software system for patient information and creating patient files. Facilitates patient check-in and check-out, explains payment options, including sliding scale fees, Medicare, Medicaid, and other forms of payment assistance, collects and posts patient payments, completes patient intakes, income screenings, and conducts insurance verifications and authorizations. FrontDesk staff members interact with and support providers and clinical staff. Must be able to multi-task and have great customer service skills. Other duties as assigned.
BASIC FUNCTION
Under the direction of the Clinic Manager, the position of Front Office Associate plays a crucial role by serving as the first point of contact for patients and visitors by managing the frontdesk and related activities ensuring a positive experience for patients from the initial contact with the facility until the patient complete their services.
PRIMARY RESPONSIBILITIES AND DUTIES
Scheduling Appointments:
Coordinate and schedule patient appointments, either in person, over the phone, or through electronic systems
Arrange appointments for new and returning patients, ensuring proper allocation of time and resources through the scheduling processes
Greeting and Check-In:
Welcome patients and visitors as the first point of contact using appropriate organizational techniques and high level of customer service (e.g., AIDET)
Check patients in for appointments either in person or through electronic systems
Verify their personal information, such as but not limited to address and phone number, and update any necessary records
Provide necessary forms or paperwork for completion - either hard copy or electronic
Patient Registration and Financial Information:
Ensure patient's registration is current (signed within the last two years) and update if necessary
Obtain and record necessary insurance information accurately
Verify patients' insurance coverage, including eligibility, and pre- authorization requirements
Verify, engage, and collect co-payments, deductibles, past balances due from patients for healthcare services
Prepare accurate daily point of service collection reports and maintain accurate cash drawer
Screen and educate patients/clients, when needed, on services available and program eligibility/funding sources for which they may be eligible for and offer potentially eligible patients/clients an eligibility appointment.
Administrative Responsibilities:
Answer phones, properly document messages, process medical release of information, and provide information to patients as needed
Communicate and respond to patients and their families for non-clinical healthcare needs and concerns including appointment call reminders and other follow-up items as needed
Order and maintain office supplies and other equipment as needed in the frontdesk area
Process computer generated faxes as needed
Process all medical release of information requests - uploading requests into EMR (Electronic Medical Record) system and faxing documents to requestor through EMR if applicable.

Job Summary: Unbound Now, with the endorsement of regional advisory councils and the financial support and direction of the Office of the Governor's Child Sex Trafficking Team, is committed to implementing the Texas Model for Care Coordination for Commercially Sexually Exploited Youth (CSEY). Care coordination facilitated by Unbound Now will be consensus-driven, collaborative, and driven to identify and recover CSEY and to facilitate tailored, accessible, trauma-informed, and holistic resources through a coordinated network of providers. The goal is for every identified youth survivor of sex trafficking to have access to non-punitive, responsive, high-quality, community-based services that meet their unique short-term and longer-term needs. Care coordination includes awareness, education, creativity, collaboration, continuous learning, and capacity-building to identify and recover CSEY youth. Care coordination teams build trust, transparency, and solutions with each other to mitigate duplication of work and so that local and statewide partners are bridges instead of barriers to services for youth and their families.
The primary functions of the CSEY Care Coordinator are to implement Unbound Now's care coordination program as described above, facilitating regional consensus-building and protocol development and compliance with Unbound Now policies and procedures and the expectations of the Texas Office of the Governor's Child Sex Trafficking Team. Responsibilities include sharing remote 24/7 crisis response with one other regional care coordinator; completing CSE-ITs as needed; securing and retaining release of information and consent for care coordination services; facilitating rapid response meetings, service staffing meetings, and family engagement meetings; developing and maintaining strong relationships with regional partners; ensuring timely and accurate documentation; supporting promotion and hosting of awareness events and education/training events by the care coordination team; conducting case analyses; conducting data evaluation sessions; and scheduling advisory council meetings.
Compensation: Annual salary

THE POSITION: The Patient Registration Coordinator is the first line of customer service for all patients and visitors entering our office. We are looking for a happy, responsible individual who takes initiative. This individual is a team player and sets the mood for patients as they enter the office. The Patient Registration Coordinator is someone that has the opportunity to bring a smile to the patients, to be able to give them a wonderful patient experience. This role provides the bridge between the front and back of the office. They are able to support the patient, staff, and doctors in many different ways. ESSENTIAL DUTIES:
Greet patients upon arrival
Obtain insurance information, review it for accuracy, and route it to the appropriate staff member. Hands out the paperwork to the patient according to their needs handles routine questions and reviews the paperwork for accuracy when it is turned in.
Change and update patient(s) status in the computer according to establishes guidelines
Verifying insurance and frequencies when needed.
This greeter will assist with attaching payments, sending claims, checking billable x-rays
Clean/maintain front office area/lobby
Perform other duties as assigned
REQUIREMENTS:
High school diploma or GED preferred.

Orchestrate seamless check-out experiences and coordinate follow-up appointments to support continuous patient care
Efficiently manage document needs through professional copying and faxing services
Process payments with precision, including collecting co-pays and handling credit card authorizations
Qualifications
High School diploma or GED required
Bilingual proficiency in English and Spanish required
