We are seeking a detail-oriented and organized Assistant Property Manager to join our team. The ideal candidate will have a background in Accounts Payable (AP) and Accounts Receivable (AR), with experience in commercial property management operations is desired. This role will support the Property Managers in ensuring efficient financial and administrative operations of our properties.
** This position is IN-OFFICE located in San Antonio 5 days per week.

Responsibilities:
Coordinate work orders and ensure timely resolutions
Manage Accounts Payable (AP) and Accounts Receivable (AR) processes efficiently
Record and deposit checks, ensuring accurate and timely processing
Process bills sent to Appfolio or similar property management software
Participate in software training and provide software admin support to broker team
Handle property charges and tenant charges as applicable
Help track tenant work orders and requests
Assist in utility onboarding for new tenants
Request COI (Certificate of Insurance) and W9 compliance from vendors and tenants
Assist in Bank Reconciliations and save bank statements for final monthly closure
Support in yearly reconciliation and budgeting processes using Kardin or similar software
Send tenant statements and letters through management software
Prepare and send FedEx Certified Letters for monthly reimbursements
Qualifications:
Bachelor's degree in business administration, Finance, or related field preferred
Proven experience in Accounts Payable and Receivable within property management
Familiarity with property management software a plus (e.g., AppFolio, Yardi, Kardin)
Strong attention to detail and organizational skills
Excellent communication and interpersonal skills
Ability to prioritize tasks and work independently
Proficiency in MS Office Suite (Excel, Word, Outlook
Effective filing and organizational skills

Contacts delinquent residents and communicates late notices and eviction notices. Adheres to company policies and procedures if rent is not received within a specified period.
Distributes renewal notices to current residents.
Assists with resolving resident issues and complaints.
Assists with planning and attends social and other community events for residents.
Ensures adherence to policies and safety rules; complies with policies for reporting incidents.
May inspect vacated units to assess needed repairs and replacement. Monitors the property landscape and other attributes to identify and report potential safety hazards and concerns and ensure quality property aesthetics.
Completes paperwork and follows processes for households with rental assistance vouchers, when applicable.
Process purchase orders and invoices and send them to accounting.
Always display a friendly and courteous attitude with other employees. Never confronts a supervisor or other employee in front of residents.
Performs other job duties as assigned by the Property Manager or operations to meet the needs of the business.
Must abide by Standard Operating Procedures (SOP) for rent collections.
SKILLS/ABILITIES

Essential Duties:
· Work Independently manage daily property operations.
· Provide exceptional service to customers including answering inquiries, assisting with storage needs, processing rental agreements.
· Maximize sales objectives through unit rentals, unit insurance, and moving supplies.
· Process payments, issue receipts, and manage delinquent accounts to include collection efforts.
· Conduct cash drawer audits and execute bank deposits as per company policies.
· Enforce company policies and procedures to ensure compliance with a focus on safety and maximizing units available for rent.
Job Qualifications:
· Our employees are required to have a valid driver's license.
· Cash handling experience is preferred.
· Ability to work unsupervised.
· Basic computer knowledge
· Ability to multitask.
· Experience in sales
Physical Requirements:
· Conduct property walks often during shifts.
· Employees will spend about 50% of their time in outdoor environments, including walking, climbing stairs and opening large doors frequently.
· Maintain the cleanliness and appearance of the property, including regular inspections and maintenance tasks. This may include sweeping, mopping, changing light bulbs, etc.
· Ability to transport lift/move items weighing up to 35 pounds.
· May be required to run errands for the facility and travel/commute to other store locations.
Average Day: As an Assistant Property Manager, your day will be dynamic and diverse. You will start your day by preparing for opening, ensuring everything is clean and in working order, the cash drawer count is correct, and conducting a property walk through. Throughout the day, you will assist customers to help them find the right storage solutions for their needs. You will handle rental agreements, process payments, and address any concerns or issues raised by customers. In between customer interactions, you will perform regular inspections of the property, checking maintenance needs and ensuring safety and security measures are in place. Additionally, you may
actively engage in virtual meetings, collaborative projects, and continued training. Your day will end with closing procedures and ensuring the property is secure. With a work/life balance that allows you to work five days a week (no Sundays) and be off work by 6pm, you will have time for personal pursuits and a fulfilling life outside of work.

Job Description Summary
The Assistant Property Manager is responsible for assisting the Property Manager in the overall operation of the property and the day-to-day implementation of policies, procedures, and programs that ensure a well-managed, well-maintained building. The Assistant Property Manager will be asked to assume greater responsibilities as needed, as well as knowledge of all aspects of property management. An AssistantManager must display maturity and good judgment.
Responsibilities

Works closely with the Property Manager in learning all aspects of management, including administrative and financial duties.

Assist in the handling of resident service request and various concerns as required.
Manage the collection of rent and submit notices as required.

Essential Skills and Abilities

Associate degree preferred but not required.

Proficient in internet software; systems software Microsoft Office (Excel, Word, Power Point, and Outlook).
